ESPN Wide World of Sports at Walt Disney World in Orlando, Florida
I. Event Overview
In 2011, approximately 46,000 people attended the weeklong event which features various pro athlete
appearances, college football awards ceremony, skills clinics, and special promotions by Pop Warner and its
partners, and includes extensive media coverage, special VIP events, and a private Pop Warner Party at Disney’s
Hollywood Studios. Partners are encouraged to attend to promote their services/products and obtain direct
feedback from Pop Warner families, volunteers, coaches and participants from all over the world.
The Pop Warner Super Bowl is a weeklong event running Saturday Dec. 1st through Saturday Dec. 8th
featuring 64 competitive football teams in Divisions I and II matching up in a championship format at the ESPN
Wide World of Sports Complex (WWOS). On most days, 4 games take place simultaneously on the main
football fields 4 times a day for a total of sixteen daily action packed games. In addition, over the course of the
week many exhibition teams partake in the event such as Tiny Mite (5 & 6 year old tackle football) teams,
Mitey Mite (7-8-9) teams, Challenger League (designed for physically and mentally challenged participants)
teams and International Pop Warner leagues. Please see the enclosed schedule of events for exact game times.
The Pop Warner Cheer and Dance Championships is a 6 day long event beginning on Saturday, Dec. 1st with
a Mitey Mite Cheer Event and national finals taking place Monday Dec.3rd through Friday, Dec. 7th, at the HP
Field House Arena at ESPN’s WWOS, just upstairs from the football fields. Over 400 cheer and dance squads
participate in small, medium and large squads in four divisions at novice, beginner, intermediate and advanced
levels. This year marks the 25th Anniversary of our National Championships. Competition begins with the
youngest age divisions performing on Monday and the eldest cheerleaders on Friday, and is broken into morning
and afternoon sessions each wrapping up with a festive parade of champions and awards ceremonies.
WHAT’S NEW FOR 2012?
We will open the event Saturday morning with our First Annual Mitey Mite Football Jamboree featuring 16
teams from across the country plus those adorable Tiny Mites who will exhibit Saturday after the jamboree.
Our first annual Cheer Mitey Mite Exhibition will take place Saturday afternoon as well in the Field House.
Some Football Game Times have been moved later this year and cheer teams are now following YCADA
Levels so a 4th level has been added to the existing 3 Pop Warner levels resulting in more qualifying squads.
The NFL Mascots will be back as will more International, Unlimited and Challenger Exhibitions, and our
Second Annual Bracket Reveal Show will be aired on ESPN3 on Tuesday November 27th . Our Character
Breakfast will take place Wednesday this year at the Complex beginning at 9:30 AM.

II. Event Details
RSVP
Please fill out the exhibit application and email to business@popwarner.com or fax it to (215) 752-2879 by no
later than Thursday, November 1st to request an exhibit and obtain any sales/exhibit/product giveaway
approvals. If you are exhibiting, you do not need to RSVP to the separate event invitation.
Hotels/Travel Arrangements
The official hotel of the Pop Warner Super Bowl is Disney’s Beach Club Resort ($209 Pop Warner room
rate). We have also have a block at Port Orleans Resort ($132 room rate). Space is limited and hotels sell out
quickly so please reserve ASAP by contacting Beth Dietz at (215) 752-2691 x122 or via email at
bethdietz@popwarner.com. You can always cancel if needed at a later date.
Getting to the Complex/Transportation
The Complex is located at Disney World so it is easy to just follow signs for ESPN Wide World of Sports
Complex once on Disney property. The street name is Victory Way in Lake Buena Vista, FL.
Travel by car is the easiest way to get around. Even though the Disney hotels offer shuttle service to the parks,
they may not offer service to the Sports Complex, and when they do, it is often time consuming to loop around
on the shuttle.
Our official rental car supplier is Avis. The Pop Warner Avis Worldwide Discount (AWD) Number of T859799
is available when booking your rental vehicle. You may book by calling Avis at 800-331-1600 or online at
www.avis.com.
Disney’s Magical Express offers complimentary shuttle service between our property hotels and Orlando
International Airport and is available with advance reservations. Please call (866) 599-0951or email
wdw.dme.service.center@disney.com for details. Mears Transportation Group provides passenger van and
private car service and taxis are also available on property. Mears may be contacted at 407-828-8900 for rates
and details.
Parking
Designated complimentary event parking is located in the main lot of the Sports Complex on Victory Way. If
you need help unloading upon arrival, please indicate your arrival times on the exhibit application form so we
may arrange for assistance in advance. Parking at the back of the complex is strictly prohibited and any
unauthorized vehicles will be towed.
Credentials and Entry Information
In order to gain entry into the Sports Complex to set up your exhibit or to watch the competition, you must first
pick up your information packet, which will also contain your credentials and any other event tickets, at the Box
Office located at the main entrance of the Sports Complex adjacent to the Disney Sports Retail Store. Please
advise the box office attendant you are a Pop Warner VIP to obtain your packet and credentials. Packets will be
left under the last name of the guest(s) you designate on your application or under the name of the applicant or
company if no designation is made.
The box office is open every day of competition beginning at approximately 6:30 AM on days with cheer
morning competition (M, T, W & F) and at 8:00AM other days. Please call Mary at (310)779-8674 if you have
any difficulty obtaining your credentials and we will send someone to assist you. You MUST RSVP by the
deadline in order to have your credential packet at the box office.

Meals
The ESPN Café opens during the course of competition and offers eat in and take out service. You can pre-order
select meals from Disney Catering and pick them up or have them delivered to a pre-arranged location. Details
are provided on the Group Event and To Go Meals Order Forms on the Exhibitor site. Additionally, food and
beverage locations will be open throughout the complex. (Special Note: Most food and beverage locations at the
Pop Warner Hollywood Studios Private Party are complimentary).
Discounted Park Tickets
Disney is offering discounted theme park tickets. Tickets will be mailed to you if you purchase them at least
two weeks in advance of the event otherwise you will need to pick them up at will call. The order deadline is
December 7, 2012. Please click on the following link and enter the code:

Please feel free to visit the Welcome Center at the ESPN WWOS offers assistance with theme park tickets,
reservations and other travel needs you may have.
III. Exhibitor Application and Information
All interested exhibitors must fill out the 2012 Pop Warner Exhibit Application in order to obtain approval to
attend the event. The Application and any and all event related information can be found at:

Interested exhibitors must register or re-log into Disney’s exhibitor database to fill out any Disney required
information such as proof of insurance and sales and booth agreements. You should have received a separate
email from Disney with a log in, password and URL for this site. If you have not, please email
Michael.t.cain@disney.com for access.
The deadline for registering and receipt of the above items is Thursday, November 1, 2012.
Set Up and Break Down
Once again for safety and presentation purposes, exhibitors will be permitted to set up and break down ONLY
during the specified hours stated on the Exhibit Application. For daily set up you must have your exhibit ready
at least ONE HALF HOUR prior to competition start and you may not break down your booth until each
competition has finished for the day. We will confirm your load in and break down schedule as indicated on the
application prior to the event. You are expected to staff your booth at all times during competition from the time
of your load in until the final break down. Any exceptions must be approved in advance of the event.
Exhibit Space
A basic football exhibit set up includes a 10 x 10 red ESPN tent with sides that can be rotated open and
a 6 ft. folding table and 2 chairs aligning the main path of the four football fields.
Space in the cheer arena is limited so we will be offering tents outside on the main concourse as
needed or if preferred. A 6 ft. table and 2 chairs will be available for any indoor exhibits.
For outdoor exhibits, you are welcome to bring your own booth, but space limitations and other restrictions
(permits, etc,) may apply. Booths will be labeled by Exhibitor Company Name in order for you to easily locate
your space upon arrival. The placement of your booth(s) will depend on the set up schedule indicated on your
application as well as other criteria such as space, electrical needs, etc.

Exhibit Fees
Unless other contractual arrangements apply, an advance exhibit fee is required for all participating exhibitors
and the following a la carte costs will also be required as necessary per new ESPN WWOS regulations. Pop
Warner does not permit unaffiliated vendors to exhibit and has the right to refuse any exhibitor. After
submitting your appliation, we will follow up with an invoice for any costs, which must be paid prior to
exhibiting in order to hold your space and attend the event. All fees are per event (football and cheer):

*Larger booths will incur an additional charge.
Coaches’ Bags
You are welcome to include a flyer, advisory, and/or a pre-approved promotional sample, etc. in a team gift bag
that is distributed to each head coach. Any product giveaways or promotional items must be pre-approved or
shipment will not be accepted. Therefore, we recommend you choose the safest products available for your
giveaways to ensure your items are approved and not subject to testing and undue scrutiny by product integrity.
Individual product giveaways, samples, etc. must be done at your booth to encourage interaction with the guests.
If you would like to place something in the bags, you should provide enough for 85 football teams and/or 400
cheer and dance squads or a total of 494 for both sports (feel free to round up to 500 in case). Please DO NOT
include a sample or giveaway item for each person on the team/staff, but instead place ONE per team and retain
the items for the rest of the team/staff at your booth for pick up to encourage interaction with the guests. We
will provide you with event coaches/teams’ contact lists prior to the event.
Approximate attendance figures for giveaways/booth items are as follows:
Cheer and Dance
400 squads (1 bag per head coach): 10,000 participants plus 2000 coaches = 12,000 items
Football
94 teams (1 bag per head coach); x 3290 participants plus 940 coaches = 4,230 items
TOTAL for Both Sports = 16,230 items
Exhibit Requirements
All exhibits must include a family friendly interactive element(s). This does not have to be elaborate or
expensive– items as simple as trivia, stickers, poster board and markers for fans to make signs, noisemakers, a
football toss, periodic raffles or giveaways are encouraged, as well as more structured fan friendly competitions
and contests, athlete/celebrity autographs, skills and drills, etc. The goals are to maintain the fun energy of a
youth event and help guests connect with your brand and be engaged.

Signage
Opportunities are available to display signage on the football fields or in the Field House. We invite you to send
a maximum of 6 banners for football (one per field) and one hi resolution logo for the Cheer and Dance event.
Signage display will depend on various factors including but not limited to date of receipt, contractual
obligations and proper sizing. Banners must approx. 4x6 in size and must be received at the Sports Complex no
later than Tuesday, November 27th in order to allow enough time for delivery, receipt and set up prior to the
start of the event.
Broadcast, Public Service Announcements (PSA’s) and Hi Resolution Logo Display
Each Game on Field 17 will be broadcast on ESPN3. If you are interested in purchasing live telecast
sponsorship opportunities on ESPN3, please contact business@popwarner.com. Various levels and pricing are
available.
We provide you with the opportunity to air a complimentary PSA communicated by the announcers during the
week. The purpose of the PSA is to encourage traffic to your booth and to inform attendees about your
products/services. All PSA’s must be approved by Pop Warner in advance. PSA’s are distributed daily and aired
at least once during each game and competition. Please fill out the PSA question on the exhibit application if
you would like to participate. Your PSA can be updated during the week by emailing business@popwarner.com
in order to announce contest winners, promote a special appearance at your booth, etc.
If we do not have a current hi resolution logo on file for your company, please send one with your application.
Also, if you have a short video PSA (no longer than 30 seconds), you may send it to us for replay at the football
championship games and/or in the cheer arena as available.
Shipping Information
SPECIAL NOTE ON RETURN SHIPPING: Disney Sports will NOT accept items to store for you at the
conclusion of the event unless you provide return shipping information to them prior to sending your items.
Please send your return shipping postage, details, and information to michael.t.cain@disney.com prior to
shipping your items to Disney and he will approve your shipment acceptance and let you know if additional
details are needed.
Items for Your Exhibit Booth: These items are to be picked up by you or your representatives upon arrival at
the Sports Complex and packed up by you or your representatives prior to departure. Disney will provide a
locked storage facility to store your items at the Sports Complex during the event either at your exhibit booth or
in a general Disney locked storage area. Please advise us in advance of your arrival time so we may be prepared
to meet you and assist in obtaining your exhibit items from the locked storage facility. Disney and Pop Warner
staff will assist during the scheduled set up and break down times.
Shipping Dates: Please note that any and all packages shipped to the Sports Complex will be accepted ONLY
between the dates of Monday, November 26, 2012 - Wednesday, November 28, 2012.
Please be advised that due to other events taking place, Disney may not accept packages prior to Monday and
packages received after Wednesday may not be delivered from the dock in time for proper set up. We strongly
suggest you email or fax a copy of your shipping details to phyllisfarruggio@popwarner.com and retain that
information in order for us to assist you in promptly rectifying any shipping problems that may occur given the
large amount of packages coming in that week. Please make sure your shipments contain both a destination
and description as indicated below in order to easily locate and direct your items. Please feel free to contact
