OUR GIFT TO YOU - THE HONEYMOON ROOM:
Each bridal couple receives the following:
•   Complimentary one night stay on the day of their wedding in one of our luxurious sea facing rooms. These rooms offer a private
    terrace overlooking the sea, for you to relax in after your wedding.
•   Romantic rose petal turndown
•   His and Hers bathrobes with embroidered initial - A gift from our hotel
•   A bottle of Bouchard Finlayson
•   Complimentary first anniversary dinner in The Grill Room restaurant (Excludes beverages)

OUR VENUES:
Ceremony:           We have a beautiful secluded garden and gazebo available for intimate ceremonies
Pre Reception:      Our Oyster Bar & Lounge is a wonderful venue to host your guests before the reception starts - Non exclusive
Reception:          Our majestic Pearl Room is the perfect venue for a memorable reception

VENUE HIRE & OVERTIME:
Ceremony:       R15 000 for the hire of the Gazebo venue (firm price for period January 2018 to end December 2018)
				            Situated within the hotel’s private gardens
				            Seats a maximum of 100 guests
				            Oyster Box Hotel white umbrellas supplied (one per two guests) – applicable for Gazebo
				            In the event the Ceremony is moved from the Gazebo to the Pearl Room or any other venue within the hotel, due
				            to inclement weather, the venue hire for the Gazebo is non-refundable
				            Excluded in this package: music, sound equipment, microphone for the Ceremony Vows, printed programmes,
				            floral arrangements, unity candles
Pre Reception:      R5 000 for the hire of the Oyster Bar & Lounge for the Pre-reception drinks
				                (firm price for period January 2018 to end December 2018)
				                No décor, music or entertainment permitted in this area
Reception:          R35 000 for the hire of The Pearl Room (minimum 60 guests and maximum 130 guests)
				                (firm price for period January 2018 to end December 2018)
				                The package includes the following:
				                • High quality white linen tablecloths
				                • High quality white linen napkins
				                • White chairs with white leather cushioned seat
				                • Glassware, crockery and cutlery
				                • Waitrons and bar staff (excluding gratuity)
				                • Silver base plates
Please Note:
• Venue hire and overtime is subject to availability of the venue
• The Pearl Room hire ends at midnight, an overtime fee of R6 000 per hour will be charged thereafter

• Please be advised that the costs mentioned in this package are valid from January to December 2018

SEATING STYLE:
Bridal table - either long traditional table or round table is available
Round guest tables seat a maximum of 10 guests per table

ACCOMMODATION/SPECIAL WEDDING RATE:
The Oyster Box offers a choice of 86 luxurious, tastefully decorated rooms and suites to suit the needs of every visitor.
Your guests receive special wedding discounted rates for accommodation. The 2018 block out dates are noted and the wedding special
accommodation rate will not apply if your wedding is held during these specified periods. All reservations are subject to availability.

Please advise us if you wish to receive our special accommodation rate letter which is addressed to your guests to encourage them to stay
with us. The letter confirms what our special wedding guests’ stay over rate is, subject to your wedding not taking place in our block out
periods which are indicated below.

Rates valid January 2018 to December 2018
Room types (single or double occupancy) – subject to availability
•   Classic Garden Rooms and Garden Villa Lofts at R3 920 per room per night
•   Classic Sea Facing and Luxury Sea Facing Rooms at R4 570 per room per night
•   Family Rooms and Sea Facing Cabanas at R6 415 per room per night

The 2018 block out dates are:
01 - 06 January, 30 March - 01 April, 27 - 30 April, 06 - 07 July, 9 - 11 August, 21 - 23 September, 14 December - 05 January 2019
Best available rates will apply during the above block out dates and minimum night stays may apply.
Rates are not valid in conjunction with any Promotion.

Quoted room rates are:
• Inclusive of full English breakfast
• Per room, per night
• Nett, non commissionable and inclusive of 14% VAT
• Subject to availability and may change without prior notification
• Exclusive of a 1% Tourism Levy

Guests of The Oyster Box receive:
• Complimentary welcome drink
• Access to the hotel’s gym and private swimming pools
• Complimentary newspaper daily
• Free access to WI-FI throughout the hotel
• Complimentary scheduled transfers to and from The Gateway Theatre of Shopping, between 08h00 and 20h00 daily

All rooms offer:
• Complimentary mineral water, tea and coffee making facilities
• Fresh fruit and flowers, plus a selection of current magazines and newspapers
• Flat screen Satellite TVs with over 25 channels to choose from
• In-room CD/DVD players
• Deluxe bathroom amenities, luxurious bathrobes and slippers
• Housekeeping service twice daily
• Soap and pillow menus
• Direct dial telephone lines with voicemail
• Heated towel rails
• Well stocked minibars
• Beach gear - sun umbrellas, beach bags, balls, bats and suntan lotion

The Complimentary honeymoon room – either a Sea Facing Luxury room or a Villa:
Check-in time for the complimentary Honeymoon Room is 14h00. The bridal couple is responsible for signing in or alternatively for
nominating a family member or friend to sign in on their behalf by 14h00.
It is recommended that you also book a room for the night before your complimentary wedding night at the special wedding guest
discounted rate. This will allow you to check in the day before and will alleviate any unnecessary pressures and or stresses due to the time
constraints for the reasons as detailed above. It is important to advise the hotel that you want a late check out of this room and find out if
this is possible.

A ROOM TO GET READY IN BEFORE THE WEDDING – FOR THE BRIDE AND GROOM
Should you wish to take the honeymoon room from the night before as a “getting ready” room, you will be charged R4 750 for the night
before. This is subject to availability.
Based on either a Sea Facing Luxury room or a Villa.
Should you not wish to book the honeymoon room from the night before as a “getting ready” room, you will need to book another room at
the normal wedding rates.

PARKING:
Parking is strictly subject to availability. The hotel has only 150 parking bays subject to hotel occupancy and conferences hosted at the hotel.
Overflow parking can be arranged at the centre across the road at no additional charge.
CATERING:
Please note that all the catering prices are firm prices for 2018 and are subject to increase on an annual basis. Before finalising your budget
please ensure that you have received the updated menus and menu prices as they may have increased since you booked your wedding date.

MENU:
Pre Reception:     Please see the attached ‘menu selection’ for the arrival stations and canape menu options
				               (optional additional charge)
				               A variety of delectable arrival snacks and drinks are available to choose from

Reception:         2017 Menus are priced at a minimum of R790 per person for a plated menu and minimum R810 per person for a
				               buffet menu (please note that final menu pricing depends on which menu you choose therefore this price could
				               be more - refer to the various pricing brackets in the menu selection pack).
				               These prices are valid for the period January to December 2017.

Please Note:
Please be advised that a 10% service charge will be levied on to your total food cost.
In the event you wish to deviate from the menu selection, your choices will have to be costed by our Executive Chef.
Please be advised that under no circumstances can any food - including biscuits and sweets - be brought in to the hotel. The only exception
to this is the traditional wedding cake and wedding cupcakes.
Finalised menus and numbers to be submitted in writing no later than 14 days prior to the wedding date.

CHILDREN’S MENUS:
Children over the age 10 will be charged the full adult menu price
Children between the age of 4 and 10 will be charged 70% of the adult’s menu price
Children under the age of 4 will be offered a children’s menu to choose a main course and dessert

SUPPLIER’S MEALS:
It is considered “the norm” to offer your suppliers a meal during the Reception. We offer your entertainers, photographers and videographers
a table in a nearby venue close to the Pearl Room, unless the bridal couple specifies that they should be seated within the Pearl Room and
form part of the guests’ seating plan. The suppliers will be served the same menu as your guests at the same cost, plus non alcoholic drinks,
which we then charge to your master account. Please advise them of this arrangement.

DIETARY REQUIREMENTS:
Special meal requirements i.e. Halaal, Vegetarian or Kosher are to be indicated 14 working days prior to your function. Unfortunately we do
not cater strictly Halaal or Kosher, as we do not have the facilities. Our menus can be prepared Halaal friendly, which means that all pork and
alcohol products will be eliminated from the menu. Alternatively, vegetarian options are available.
Strictly Halaal or Kosher meals can be purchased from the hotel’s supplier. As per hotel policy, we will outsource up to 10% of your
final number of guests’ special meal requirements and will be based on your menu selection. Please receive pricing from the Wedding
Coordinator.

BEVERAGES:
Please see the attached ‘menu selection’ for the wine, cocktail and drinks lists.
We recommend you budget for an estimated R350 to R450 per person for the beverage master tab limit, and this could include all beverages
during the Pre-Reception hour and during the Reception (champagne, wine and other beverages).
Please note there is a minimum spend of R250 per person plus 10% gratuity on the beverages master tab.
Please specify in writing your requirements:
•   Specify if there are any restrictions on what drinks must be charged for under the master tab
•   Beverage requirements in the Oyster Bar for Pre-Reception drinks
•   Beverage requirements in the Pearl Room for Reception which would include
    • Approved Champagne/Sparkling Wine for toasts
    • Approved wines
    • Approved drinks from the beverage list
Guests will pay cash for any drinks not specified under the master tab instructions
Note: Please be advised that a 10% service charge will be levied on to your total master tab beverage cost
Note: We have no corkage policy. We are aware that many people have connections in the wine industry but we do not permit any beverages
being brought into the hotel. We are more than happy to assist with sourcing your perfect wine.

VENUE SET UP:
Ceremony:
• Gazebo, Hotel Gardens (if applicable)
• Hotel provides the Gazebo and maximum 100 chairs
• Music, sound system and microphone to be organised by bridal couple
• Floral arrangements for the Gazebo and aisle to be organised by bridal couple
• Rose petals to be organised by bridal couple (confetti is not permitted in the Gazebo)
• Hotel will supply white Oyster Box Hotel umbrellas (one per two guests) which are handed back at close of the ceremony
• Printing of order of service programmes, reserved signs to be organised by bridal couple
• The bridal couple is required to brief their entertainer/musician in the Gazebo on the sound levels which should be kept to the minimum
   to avoid disturbing the hotel guests
• The hotel does not permit marquees or tents to be erected in this area
• In the event of bad weather and the Ceremony is moved to The Pearl Room, the venue hire for the Gazebo is non-refundable
Pre Reception:
• Pre reception venue: The Oyster Bar & Lounge
• No décor, music or entertainment is permitted in this area

Reception:
• Round guest tables (maximum 10 per table)
• Maximum 130 seats in The Pearl Room, including the bridal table of minimum 10 persons seated at the bridal table
• 1 x dance area in The Pearl Room
• 1 x bar area (off Pearl Room and not open to the guests)
• 1 x entertainer area for the musicians or DJ. In the event you would like to hire a band, please consult with the Wedding
   Co-ordinator first on the space available for the band members and the band’s instruments.
• 1 x cake table and silver cake stand set up in The Pearl Room (bridal couple to supply special cake knife)
• 1 x podium set up in Pearl Room (bridal couple to organise sound system and microphone through their DJ)
• 1 x gift table set up in the Pearl Room for gifts from guests

DANCE FLOOR:
A dance floor is not required as The Pearl Room has a beautiful wooden floor, where a dance area will be demarcated.

DÉCOR & FLOWERS:
Please consult with our Wedding Co-ordinator for a list of preferred suppliers.
Please note that flowers may not be assembled in the Gazebo or the Pearl Room or anywhere else in the hotel. They should be assembled
off site and delivered directly to the tables or position of display.
Draping inside the Gazebo is permitted but no draping is permitted in the Pearl Room. Please liaise closely with the Wedding
Co-ordinator on what table dressings and décor are being supplied.
All flower arrangements, including containers and other material, should be removed either at midnight on the wedding day or by 08h00 the
following morning. The hotel is not responsible for any of the equipment left behind.

SUPPLIERS:
All other services such as floral/table decor, wedding cake, Minister for Ceremony, photographer, videographer, Music/DJ, printing stationery
are additional costs. We can certainly guide you on which suppliers are recommended as we work closely with all of them. They play an
integral part towards the success of your special day.

The bridal couple is responsible for appointing a family member or friend to set up printed material and décor on the tables e.g. menu cards,
name cards, table numbers, gifts for guests et cetera, and the hotel’s Wedding Co-ordinator will oversee the final set up and ensure it is as
per the bridal couple’s final requirements.

The bridal couple is responsible for the suppliers’ actions and performance and all suppliers should be recognised by the
Oyster Box Hotel as “credible suppliers” with a credible track record.
In the event of any damage whatsoever caused by the suppliers and/or their staff, this becomes the responsibility of the
bridal couple.

SMOKING:
Please be advised the hotel adopts a strict non-smoking policy in all public areas except the Chukka Bar. Due to the passing of the Tobacco
Products Amendment Act, we kindly request all our guests adhere to the non-smoking policy within the designated areas of the hotel.

THE SPA AT THE OYSTER BOX
The Oyster Box has a unique spa, exquisitely designed to spoil you, to soothe and restore mind, body and soul. There are six treatment
rooms, as well as a traditional oriental Hammam, with genuine Turkish stone, all providing an oasis of tranquility. Offering a variety of
treatments and therapeutic massage, some based on ancient cleaning rituals.

PAYMENT TERMS:
We required that you settle the Non Refundable Deposit of R 50 000 to secure your booking. The balance of the invoice is due
14 business days prior to the start of the function. The function will not proceed without full prepayment. Payment cannot be allocated
without a proof of payment. Please email your deposit slip to Ginny Eslick on weddingplanner@oysterbox.co.za or send via fax
on +27 (0)86 275 0189.

In the event the master tab limit for beverages is exceeded on the night of the wedding, the bridal couple are obliged to settle the additional
beverage costs either on the night of the wedding or when they check out of the hotel. In the event the bridal couple has nominated a family
member or friend to settle the additional beverage costs, this must be put in writing to the Wedding
Co-ordinator and must be signed off on the final function sheet prepared by the hotel.
Note: Please be advised - The above quotation excludes:
• 10% gratuity will be levied onto the final food and beverage bill.
• Entertainment and Decor
• Specialized sound and technical equipment
• Late staffing fee - the venue is included until 24h00, thereafter R 6 000 per hour will be charged.
Please be advised no booking has been made at this point, a provisional booking can only be made once a signed contract
has been received.
