Welcome to Springhallow School

Springhallow School is an all age (4-19) special school for pupils with Autism. We are
proud of all that our pupils achieve and particularly of the positive atmosphere that
exists in our school. We have a Post-16 provision offsite, based at Redwood College
in Greenford. Please respect all our facilities across both sites and help us to
maintain our special working and learning environment.

General Information
Access to the Main School

Opening Times: The school will be open between 07:00 and 18:00

All staff and visitors should use the main entrance, at the bottom of the pedestrian
walk way. This door is access controlled and can be opened with staff ID cards or by
the Admin team. Staff are required to sign in and out using their ID cards.

Second floor staff should access the first floor through the staircases located at each
end of the ground floor circulation space. A lift is available to the right of the
reception area – fob access. (where possible please use the stairs for access to the
first floor).

Access to Post 16 (Redwood College)

Opening Times: The school will be open between 07:30 and 17:00

All staff and visitors should use the main entrance, this door is access controlled and
can be opened with staff ID cards or by the Admin team. Staff are required to sign in
and out using their ID cards.

All permanent staff members will be issued with an access card fob. The fobs will be
needed for access into the school and all external areas, apart from play areas
outside of classrooms. There is a £4.50 charge to replace a lost fob. PLEASE
REMEMBER TO BRING YOUR FOB TO SCHOOL. Access in and out of the school will be
difficult and time consuming for the admin staff to manage.

Access to the school sites is limited during holidays; Pam Wiggins (School Business
Manager) will email details before each holiday.

Visitors
Supply staff, students, voluntary helpers, parents, visitors and workmen should sign
in with the InVentory access system on arrival to either site – a screen is located in
the foyer areas; visitors, students and volunteers should wear their respective
lanyards. Anyone wearing a red lanyard are without DBS clearance and should be
accompanied by a member of staff at all times. Staff should politely challenge
anybody not wearing any lanyard.

Parking
There is no parking available on either school site.

When parking in neighbouring roads please park considerably. We have a positive
relationship with our neighbours and wish to maintain this.

Cycling
Bicycle racks are available for staff to secure their bikes at both sites. Shower
facilities are available at both sites.

Hospitality
There are staff rooms on both sites, which include a kitchenette, for staff, volunteers
and students on placements. Please be considerate of others when using your
mobile phone – the staff area is for rest and relaxation. Please clean up after
yourselves and do not leave dirty cups etc. in the sink. Fridges are available for lunch
storage – please clear out any unwanted items.

Governors have agreed that the school may provide tea and coffee for staff – please
only use the milk for this, it is not provided for breakfast cereals.

Staff Lockers
Lockers are available for staff and keys and a log are held by the Assistant Site
Manager. Staff are responsible for their own keys – duplicates will not be held in
school.

School Meal Facilities – Staff
Permanent staff at the main Springhallow site can receive a daily free school meal–
please choose this in advance on the clipboard in the entrance corridor. Anyone
taking a meal, having not notified the kitchen in advance, will be charged the school
meal price.

School Meal Facilities – Visitors/Students on Placements

The cost of an adult meal is £3.10 and this must be paid in advance by registering at:

Payments can also be made via debit/credit card by calling 0208 280 0319/0312.
Please pay for meals in advance – the school is responsible for 50% of any debts

Use of Classrooms, Office and Communal Spaces
The School facilities must be respected so please do not use blue tack to stick up
notices where noticeboards can be used. Please be careful when carrying food and
drink around the sites, please use flasks for tea/coffee.

Password Safety
Password for the school network are set to change automatically every 60 days, have
to be 8 characters long, and need to be a mixture of letters and numbers.

To change your password yourself - Login and then simultaneously press the ‘ctrl’,
‘alt’ and ‘del’ keys, select ‘change password’ option and follow instructions.

you are unsure of your logon details.

There is a staff area containing useful documents and links, which is password
protected. The password is: Autism120 – please don’t share this with non-staff
members.

Printing / Photocopying
All printing / photocopying is available through the ‘papercut’ system. You will need
your pc logon to first access this service – after that you will just present your staff ID
card to the card reader on the machine.

Building Operation – Main Site
Any issues with either building should be reported via the helpdesk option at

Please help the premises team by closing windows and locking external classroom
doors at the end of the day.

Building Operation – Post-16 Site
Please report any small repairs/issues via Parago (as above).

More serious issues should be reported to the Ealing Facilities Management help
desk, via 020 8825 9000, option 2.

Fire Regulations/Drills/Lockdown
Procedures for emergency evacuations and a map of school showing assembly points
are displayed in each classroom/shared area and all staff and regular visitors should
be familiar with these.

The fire alarm is sounded by smoke and heat detectors throughout the buildings, or
by manual activation of the alarms.

On hearing the alarm staff must lead the pupils out of the area through the nearest
exit to the designated assembly point. Fire notices are displayed near fire exits
throughout each building.

The person in charge of the group should ensure that all pupils are out of the
building.

When in the assembly point admin staff and the person in charge of each group will
check that all pupils are accounted for.

No-one should re-enter a building until given permission by a fire warden conducting
the ‘sweep’ of the building.

The school practices lockdown procedures. If the alert for ‘take shelter’ is
announced, please move into an internal safe space and encourage the pupils you
are supporting to do the same.

Movement of pupils in and around school should be managed safely and in a
controlled way, especially outside where there are parked or moving vehicles. Staff
are responsible for assessing the level of support needed to ensure the safety of
pupils.

First Aid
There are several trained first aiders, please see details on the medical room doors.
If you bring your own medication into school, please make sure this is securely
stored.

School Closure
In the event of adverse weather conditions or other emergency situations the
decision to close school will be made by the Headteacher and relayed via the text
system. All staff have a duty to attend school whenever possible.

Health and Safety
All staff have a responsibility for their own health and safety whilst at work and that
of others who might be affected by their work. Any concerns should be brought to
the attention of the Senior Leadership Team.

The Governing Body Resources Committee considers Health and Safety as part of its
remit and meets regularly throughout the year.

Security
Staff must not allow visitors into school through any other door other than the main
entrances.

Staff have a duty to politely challenge anyone in school who is not wearing any
lanyard.

Safeguarding
The school’s designated safeguarding lead is: Cathal Owens – Deputy Headteacher

All concerns should be reported to Cathal Owens using the agreed pro-forma. In
Cathal Owen’s absence, all concerns should be reported to one of the deputy
designated safeguarding leads.

Absence Procedures

Staff absences should be reported to the school by 7.30am – please leave a message
on the school answerphone on 020 8998 2700.

Please call the school by 3.30pm to advise whether you will be returning to work the
next day.

On return to work a ‘Notification of Sickness/Absence’ form must be completed.

Staff applying for special leave must complete a leave of absence form available on
the network in T-share/proformas or in the staff area of the school website. At least
a week’s notice must be given for these applications, except in exceptional
circumstances. Special leave requests will be considered and will typically be unpaid.

Evidence of medical appointments must be shown and reasonable notice of at least
a week given where possible. Dependant on times, location and nature of
appointments, staff are expected to attend/return to school prior to and after
appointments.

Staff applying to use lieu days must give at least a weeks’ notice, and put the request
in writing to the School Business Manager – please email to

calendar months – this leave cannot be carried over.

Dependents Leave – Staff are entitled to up to 5 days paid dependents leave per
calendar year to support anyone who is dependent on your care/support.
Dependents leave can be taken for childcare, care of immediate family member,
accompanying children/immediate family members to hospital/medical
appointments.

Religious Observance – Staff are entitled to one paid day for Religious Observance
annually, where the Religious Festival falls outside of the school holidays.

Please refer to the school’s Staff Absence Management Policy, at Appendix 1, for
further information.

Teacher Absence
Where a class has been without a teacher due to sickness or planned whole day
absence, an honorarium payment of £46 per day will be made to the Teaching
Assistants. If the absence is due to a part day planned absence, no payment will be
paid – this includes medical appointments

Where a class has a HLTA staff member covering an absent teacher, honorariums will
not be paid.

Where a class has a trainee teacher covering an absent teacher, honorariums will be
paid to this member of staff only as they will be taking the lead.

Additional Hours - Additional hours forms are kept in the School Business Manager’s
office. Please try and complete these on a weekly basis and please ensure that the
form is signed.

Staff Supporting Residential Trips
Staff will be able to take time in lieu if they have been supporting a residential
experience. For every 24 hour period, this will entitle staff to a half day in lieu,
awarded in recognition of the additional support that has been provided in addition
to their typical daily salary.

Payroll
Staff will be paid on the 26th of every month, except when this date falls on a
Saturday, Sunday or Public Holiday – staff will then be paid on the nearest working
day before the 26th.

Each member of staff has a personal area on the LA’s employee self service facility,

Each member of staff has a username and password to access this facility, please call
the above number to reset passwords or if you are having any problems with the site
or logging on. Payslips and P60’s can also be downloaded from this site.

Staff are also responsible for maintaining their personal details on iTrent, such as
change of address and bank details.

For first time users – please enter your employee number and default password,
which is Lbe and your date of birth in 6 digit format eg. Lbe010987

Staff Well Being
Working in a Special School can be challenging at times. If you have had a difficult
day, please share this with someone (class teacher, colleague, member of the SLT).

The school has a Staff Well Being Committee, please see them if you have any ideas
on how we can make the school the best place to work in.

The school buys into a staff counselling/support service – Workplace Options. The
