Application periods
(For students who have NOT done the LAB Mobility-Online application yet)

• Student exchange (and placements via partner institution):

   • Spring 2022 (places that are still available)  until 15.9.2021!!
   • Autumn 2022/Spring 2023  application period around mid January-
     early February 2022

”Small Exchange Dictionary”

• Mobility-Online System = mobility application system used
  at LAB
• Home Institution/ Sending Institution = LAB University
  of Applied Sciences
• Host Institution/ Receiving Institution
   = the school where you are going to study abroad
• Student exchange contact person at LAB
    = Miia Tuominen (email outgoing@lab.fi)
• Responsible person in home/sending institution
    = your LAB Departmental Coordinator
• Learning Agreement (LA) = study agreement and
   approved credit transfer plan between you, LAB and host
   institution
• ECTS= European Credit Transfer System, 1 ECTS = 1 LAB

Am I allowed to apply?
Selection Criteria

1. Minimum of one (1) year of studies completed before the student exchange.
    • some degree programmes require 2-4 semesters before student exchange
2. Success and progress in studies at LAB.
3. Suitability of the exchange period to the student’s curriculum at LAB.
4. Suitability of the host institution courses to the student's curriculum at LAB.
5. Sufficient knowledge to study in language of instruction based on transcript
   and other documents. Tested if needed. Knowledge and interest to local
   language.
6. Study and career related goals and motivations specified in the application.
7. Department’s approval
8. If needed, an interview.

    • Do not start the host institution application process yet
      nor contact them without our permission!
• Pay attention
    • Course offering (available courses you have not done at
      LAB)
    • Language
    • Your budget

• Select 3 options for your application in preferred order
• Complete the application form carefully with thoughtful
  answers on motivation

Note! If you have problems in your life here in Finland,
exchange is not a way to escape your problems  problems
tend to grow and became larger in new environment!

   • Saarbrucken UAS (Germany) NB! You need to have studied at least 2 courses of
     German before starting your DD-studies.

   • Southern Oregon University (USA)
Language competence
• It is highly recommended to learn the basics of the spoken language of the
  host country  it is easier to get along at the campus, everyday life and to
  integrate with the local people

• Benefit:
   • LAB language courses
   • open university, community college
   • self study highly recommended, mobile apps etc.
   • Erasmus+ students: Online Linguistic Support (OLS)

• Remember to inform your relevant language skills in the application form 
  language competence is one of the selection criteria
Student exchange budget
Think your budget already and choose affordable exchange options
• You’ll get grant from LAB (=apuraha): current grant amounts informed in eLAB
• Student Financial Aid (=opintotuki) from KELA if eligible
• Grants from communities or corporations
     • Search and apply independently
• Special needs grant available within Erasmus+/Nordplus programme for student with special needs
(that causes extra costs for student)
• In Erasmus+: additional support for students with underaged children

• Your own savings

• Note that you might need document of sufficient funds for visa application

APPLICATION TO THE HOME INSTITUTION
Information
    • You’ll find the instructions for exchange process in eLAB (english site)
    • Check available places in portal! Select three options for the application
    • Online application (LAB Mobility-Online system) link available at eLAB – follow
      instructions received via email
    • Application period 1.9.-15.9.2021 (finish all application steps by the deadline, no
      changes after the application has been submitted)
    • Only one application / application round
Internal acceptance
    • Departmental coordinators together with the International Services will make
      decisions according to the selection criteria
    • If needed – invitations for interviews
    • Acceptances will be made by end of September After acceptance you can apply to
      the host institution you have been accepted to! Do not contact the host institution
      before this.

    This is official application process that you need to commit to!
Mobility-Online Application Form
• Answer to the questions with thorough replies (e.g. Finnish PIC/hetu in full form
  ddmmyy-XXXX)
• If you are applying to destination that provides several minors/programmes, specify the
  minor/program that you would choose
• Remember to inform your relevant language skills
• Think carefully what you write for the motivation questions
• ?-icon provides further help text
• You need to fill out the application form from up to bottom
• Possible cancellation of previous exchange application due to COVID-19 is one
  of the questions the application form – be honest.

Mobility-Online application

• Note! After submitting the online application form the application process still
  continues:
   • Follow the instructions that you receive by email
   • Documents that need to be uploaded
       1. Photograph of yourself (does not need to be an official one), max. 500 x 500 pxl.
       2. CV (in English)
       3. Transcript of records (opintosuoritusote), your own printed version from Peppi (Atomi) is
          enough.
        Submit your application via workflow link ”Submit application”
                 You confirm that the application is complete and all information is correct and up-
                to-date
                 You cannot edit your application after this is done!
                 Needs to be completed by 15.9.

LAB Mobility-Online System
• Once you have submitted your online application form (link available at eLAB),
  you can enter the system:
    • via direct link received by email
    • link available from eLAB (do not make new application)
• Log in to your application by using HAKA (click HAKA logo and enter your LAB
  ID)
• If password problems, you need to follow IT instructions for LAB ID password
  change
• Problems with Mobility-Online system? Contact only outgoing@lab.fi and
  specify your problem carefully, add screenshots if possible
• Host institution might use M-O aswell, but your information does not transfer

Note! (1/2)
•   Make sure that you have valid email address that you are using actively in Mobility-
    Online system (check SPAM folders also actively!)
•   If you are filling out the online application form together with your friend, make sure
    you have logged in to computer/in the systems only via your own LAB ID and delete
    all browsing history (internet options) before starting the application form (this way
    your HAKA identification won’t be mixed)
•   Exchange programmes have some own requirements – e.g. Erasmus
    studies/placement possible for max 12 months / degree level
•   Check that you have valid passport and it will be valid for the whole exchange period
    (and possible extra time if visa needed). Passport number needed in some host
    institution application form (e.g. South Korea) so check already the validity of your
    passport.
•   Exchange period will not prolong your study time in LAB  courses will be transferred
    to your LAB degree
•   Note that this an official application process that you need to commit to

• Design students: Portfolio is usually needed to the host institution application. Start
  preparing your portfolio and get your tutor teacher’s approval for it before applying to
  the host institution (portfolio is not needed for the LAB internal application yet). Note
  that rejection from the host institution is possible – realize the importance of the quality
  of your portfolio! Application is sent to only one host institution. If you’ll get
  rejected please contact International Services immediately – we can check if there still
  are some options available.
• Social and Health Care students: if completing only placement via partner school:
  make student exchange application normally.
• Students with mandatory exchange: note that selections are made based on the
  selection criteria; all applications are handeled equally according to the selection criteria
  and you have no special treatment.
• Master students: exchange possibility needs to be checked/confirmed individually from
  the host institution
Brexit

• Regardless of the Brexit, Erasmus +
  exchanges to the UK are still possible until
  31.5.2023
• Check the updated entry regulations for EU
  students
• Updated Brexit information can be found in
  eLAB
Intercultural Competence and
Communication KE00CF69 (5 ECTS)

• Highly recommended for students going abroad
• Helps you to orientate to the host country,
  understanding the cultural differences and
  adapting to different culture.
• Two implementations this autumn– both online
  via Zoom
• Note! Almost the same content than in previous
  Intercultural Awareness courses
• You still have time to enroll until 5.9.!!
Impact of the COVID-19

• Spring 2022 exchanges are processed
  normally at this point
• Be prepared for changes and unexpected
  situations!
• Possible cancellations from the host
  institution (or from LAB) might come at a
  late stage
• Cancellation by student understandable too
