Your Worker Kit Contains:
Pledge cards assigned to you - Please contact all the cards in your envelope. Fill
in the pledge card completely and return in the worker report envelope.

Blank pledge cards - For new contributors you have contacted. All new
contacts must be cleared through financial development department to be
sure no one else is contacting them. Kathy and Tracy’s phone numbers
and email addresses are on the front of your packet. If the contact is
approved, put their complete name, address, phone number and pledge information
on the card.

Worker report envelopes - Please fill in your name and team name and turn in
any completed cards you have throughout the campaign at any Y’s front desk or to
your staff liaison.

Volunteer Guide – Instructions on making calls, filling out pledge cards,
answering questions, and how to “make the ask”.

Matching Gift Information- Matching programs are a great way for companies or
foundations to help support their employees’ charities, while non-profit organizations
like the YMCA get the benefit of a doubled donation.

Thank You Cards- If you would like to send a note to someone who has made a
pledge, write a quick note, address the postcard, and turn it in with your pledge
cards. The Y will mail the card for you. This is a nice personal touch that builds the
bond for next year and helps share the story of how their donation helps.

On-line Campaigner Info - Share your Y story with your friends, family and co-
workers through a personal web page. It makes fundraising easier than ever. Set-

We Need You To Tell The Y Story
As an Annual Campaign volunteer, you are an important ambassador communicating the
values of the YMCA and its programs to individuals and businesses alike. You are one of the
YMCA’s best assets, a campaigner/storyteller. As a campaigner/storyteller, you will have the
opportunity to share with others the unique and personal ways in which the YMCA and our
programs have touched and enhanced your life. Did you learn how to swim at the YMCA?
Did your child have his or her first camping experience at the YMCA? Did the YMCA offer
your family financial assistance at a critical time in your life? By telling your YMCA story, you
allow others a chance to see the power of the YMCA in action. You become living proof that
the YMCA is a making a difference every day.

Why Invest in the Annual Campaign?
The YMCA is committed to providing quality programs and facilities to everyone, regardless
of their ability to pay. While we strive to keep values-based programs and fees affordable by
subsidizing some of the real costs, we know that during difficult times some individuals and
families will need financial assistance. Through the Annual Campaign, we are able to ensure
that no one is turned away based on their ability to pay. Your volunteer and financial
commitment will help thousands of youth and families share the YMCA experience!

Keys to Success

1. Make your own pledge first
   This is the single most important step to guarantee success. Once you have made your
   own commitment, you can proudly ask others to join you in financially supporting the
   Annual Campaign.
2. Share your story about the Y with potential donors, friends, family and colleagues about
   the ways in which the Y has impacted you and the community. Share with them your
   own personal commitment to the Y.
3. Ask your best prospects first
   Practice asking those potential donors who you feel most comfortable with or have the
   greatest likelihood to give. By going to the people who are most likely to say “Yes,” you
   will gain the confidence and skills you need when approaching more challenging
   solicitations. Success breeds success!
4. Solicit only if you have the pledge card
   There are more than 200 volunteers working on this year’s Annual Campaign. We issue
   pledge cards to organize the campaign so that no single volunteer campaigner is
   overwhelmed or donor is asked twice. Please talk with everyone about the good things
   that Y is doing, but only ask for a gift if you have the pledge card. If you would like to
   call someone not in your campaigner packet check with a Y staff member first to make
   sure they are not already assigned to a campaigner.
5. Aim high

When asking for a specific dollar amount, aim high. Talk about the good things those
   dollars will do. Then BE QUIET and let the donor respond. Don’t hear “no” unless they
   say “no”.
6. Make friends for the Y
   Not everyone will choose to donate to the campaign. However, try and make a friend for
   the Y. Even if they decide not to make a contribution now, you have told the Y story and
   brought them closer to the organization. Celebrate this success!
7. Respect donors’ concerns and complaints
   If someone has a complaint about the Y, listen to and record the complaint, but try not
   to comment on their specific issue. Assure the person that you will follow up with the
   YMCA staff and that someone will get back to them. Let them know we will respond to
   every concern. Once people feel that their concerns have been heard, they will be more
   ready to listen to your request for their support to the campaign.
8. Encourage pledging
   Most of us can give more when we make small payments over a period of time as
   opposed to giving one larger gift. Encouraging people to make a pledge they can pay
   over the course of the year helps their ability to do more. Consider asking prospects to
   contribute $10, $25, or $50 a month instead of asking for one lump sum.
9. Report results regularly
   Turn in your pledge cards and contributions at any center’s front desk using the supplied
   envelopes. They Y will generate the proper thank you and tax statements.
10. Write a personal thank you using the postcards provided. Include them in your worker
   envelope and the Y will mail them out for you.

Frequently Asked Questions
   1. I already pay membership fees. Why does the Y need money?
      Membership and program fees cover the cost of maintaining and operating our
      facilities and programs. We count on the generosity if our members and community
      to help people of all ages and from all walks of life be more healthy, confident and
      secure. The Annual campaign helps the make the Y affordable for all. Your
      membership is the good thing you do for yourself. Your donation is the good
      thing you do for others.
   2. Does the YMCA receive funds from United Way?
      No, we are fortunate to have a great network of volunteers who reach out to our
      community and raise the funds that support our mission.
   3. Which YMCA center, School-Age Child Care, Camp or program does my
      donation benefit? The pledges you solicit automatically go to the center you are
      volunteering for. A donor may ask that their gift be used to fund a specific center,
      program or cause and we will honor their wishes. Write specific requests in the
      connect to a cause section of the pledge card.
   4. Someone already contact me. Why are you contacting me again? Despite our
      careful efforts, occasionally this happens if the person participates in activities at
      more than one facility or program. Apologize for the inconvenience and thank them
      for their time.

STORYTELLING
Sharing your “why”

                                                Storytelling has emerged as one of the most powerful methods for
                                                communicating the Y’s cause and advancing critical efforts such
                                                as fundraising; engaging staff, members, boards, and community
                                                representatives; and building a cause-drive culture. Storytelling is
                                                a key technique that celebrates and reminds us to live our cause
                                                every day.

                                                As a YMCA volunteer, it is important that you can share your own
                                                story with people in the community. Fill out the prompt below to
                                                think about and articulate how the Y has made a difference in
                                                your life or someone you know, then practice your story with a
                                                friend. This tool will help you communicate the Y’s cause to your
                                                potential donors. Give it a try!

     they can find that balance as well?

    Matt, you have been a member of the Y for 6 years now and you’ve seen the impact the Y
     makes on the community through our programs. Would you be willing to donate $100 this year
     to help make an even bigger impact?

    Lisa, your son Johnny has been in our program since kindergarten. You as a parent realize the
     importance of a safe place for your child to go after school. Would you consider lending a hand
     to our cause by donating $40 so a less fortunate child can attend this same program?

    Jennifer, you have a school age child navigating virtual learning. You understand the challenge
      both parents and kids are having with virtual learning. Would you consider a gift of $150 to
      sponsor a child to participate in our Y Learning Academy?

    Tom, you as camp alumni know the impact a week of camp can have on a child. You
     understand the importance of children having the opportunity to learn new skills, make new
     friends and explore the outdoors. Would you consider a gift of $150 to help a child attend a
     week of camp?

    Brett, you know first-hand the effects of cancer. You understand the importance of cancer
     survivors being part of a supportive community to help move beyond cancer both physically
     and emotionally. Would you consider a gift of $250 to help a cancer survivor be a part of the
     LIVESTRONG at the Y program?

    Rob, you have been a loyal donor to the Y for the last 3 years. You understand the importance
     of giving back to others in our community. Would you consider a gift of $50 to help a child in
     our community be part of the y?

    Cindy, you being a working parent you know how important it is to have a safe place for your
     children to go afterschool. You understand the importance of all children having positive role
     models and receiving academic support. Would you consider a gift of $1,500 to help 100 3rd
     graders receive academic enrichment opportunities in our 21C afterschool program?

THE PLEDGE CARD
   1. Name of prospective donor.
   2. Please verify address, phone and email. If needs updating, please fill in info box
      below.
   3. Listing of previous giving history. A listing of all $0’s does not mean that the
      donor has declined to give, but maybe has just hasn’t been asked to give to the
      YMCA.
   4. Fill in pledge amount and make sure your name is the campaigner.
   5. Indicate billing information
            • If YMCA member we can charge membership account on file) please
                check the box “I wish to set-up auto draft for my payment.”
            • If they would like to receive an invoice, please check “Don’t draft
                me; please send a reminder for my pledge payments”
   6. Please ask if their company has a matching gift program and write the company.
   7. If they declined to give, prefer to be removed from calling list or would like more
      information mailed, please check the appropriate box.
   8. Will let you know any notes we have about the donor, i.e. banner hanging at
      branch, supports a certain program, if we know of a matching gift. Please write
      any additional information we should know about this pledge or donor for future
      use.

Matching Gifts
Do you want to double your donation to the Y? Some area companies have a corporate match program, where your
contribution to the Y is matched, dollar for dollar by your corporation or its charitable foundation. Matching programs
are a great way for companies or foundations to help support their employees’ charities, while non-profit organizations
like the YMCA get the benefit of a doubled donation.

“Mentioning matching gifts in fundraising appeals results in a 71% increase in the response rate and a 51%
increase in the average donation amount prior to receiving matching gift funds,” - According to Forbes Magazine
