Invitation Dear Inner Wheel Members, Warm Greetings!!! I would like to welcome you to our extended Inner Wheel Family from all over the world to the 18th International Inner Wheel Convention in Jaipur from 3rd to 6th March, 2021. There is this very popular saying in India, Guests come in a form of God and guests should always be treated like one. We plan to leave no stone unturned to help you get the best hospitality for many years to come. India is a diverse country, just existing amid the crowd may overwhelm you yet leave you fascinated and wanting for more of its vibrant colours. India's rich heritage and culture is exceptionally phenomenal with varied cultures, each different in almost every state. The East, West, North and South have their own distinct traditions and costumes carving out its own cultural niche. In the North, the grandiosity of the mighty Himalayas lives up to its legend being the highest mountain in the world. Flanked by arid desert, the West has an expansive sand dunes and glistening Arabian Sea. The South joins the Arabian Sea and the Bay of Bengal forming into an Indian Ocean. And the East, offers something unique and awe inspiring quite different from the rest of India. India offers an extremely vibrant and unique experience to its visitors. The Convention is being organised in the UNESCO World Heritage city of Jaipur, Rajasthan, in the State of the Art Jaipur Exhibition and Convention Centre. The state of Rajasthan is famous for heritage and culture, forts and places, shopping and food. The land of Kings and Queens is a treasure trove set in the golden sands of a barren desert landscape. People in bright vibrant clothes and beautiful jewellery live in rural places. But not far from the rural Rajasthan are metropolis dotted by towering modern buildings amidst the ancient forts and palaces. Jaipur is also known as the Pink City because of the colour of the stone used exclusively in the walled city. Every day in Jaipur is a shopping esta with artistes and shop owners selling embroidered leather shoes, blue pottery, tie and dye scarves and other exotic wares. Of course, while in such a historic state, you'll have to take time out for sightseeing historic attractions in some of most inuential cities. Udaipur, the city of Dawn is a breathtakingly stunning place around the azure lake Pichola, and surrounded by the lush mountains of the Aravalli. Udaipur has a kaleidoscope of fairy-tale palaces, shimmering lakes, vibrant temples, lush gardens and enchanting narrow lanes strewn with stalls that carry the avour of a heroic past, epitomizing valour and chivalry. The city of Jaisalmer is home to the Thar. Expansive sand dunes surround the city with staggering windmills and one of the stunning forts. The Camel Safaris are the most exciting activity to do here giving you a change to explore the Thar Desert while sitting on the back of the swaying Camel. Come and see the largest fort in Rajasthan, the Chittor Fort at Chittorgarh and replete with amazing legends of romance and heroism you can delve into the blue city of Jodhpur. The famous Taj Mahal in Agra and India's capital city New Delhi, are two of the prominent cities worth a visit. These are only a few places close to the Convention City but if you have a lot of time at your hands then your trip to India can be tailored depending on what you want to do and see. Pre and Post Convention tours have been planned for all of you and Convention Secretariat will be too eager to help you to make your tours a life time experience. With an aim to offer a unique opportunity to the members to meet and greet friends from across the globe over besides deliberating on important Inner Wheel issues, we organize International Inner Wheel Convention once in every three years. In order for your inner growth and to and for our Organization, do participate in these discussions. Method of Payment:
Payment of registration fees must accompany all registrations. Payment can be made by the following methods

If you are making a credit card payment from a country outside India, for security reasons you must rst advise your banking
institution of the impending charge and authorize them to allow the charge to India to go through. Please note that charges

Please include your Full Name and attach the scan copy of MT100/Bank advice if paying through bank transfer and email the

Terms and Conditions
• Only registered delegates will be allowed to attend the Convention.
• Registration fee is transferrable to another attendee only till 1st February 2021 and not beyond that.
• Registration is conrmed only after the receipt of payment.
• Charges incurred for Bank Transfer & Credit Card payments to be borne by payee .
• The registration fee does not include any travel cost, accommodation, sightseeing tours or airport transfer.
• Above rates are inclusive of GST @18%, as applicable.
• Convention Identication Badges are mandatory for all Convention events (Program, Lunches, Dinners, Cultural Events
& Exhibition)
Cancellation of Registration
Deadline: 1st February 2021
• Cancellations must be made in writing to the Convention Secretariat.

Voting Slip Collection
Important Message for National Representatives, District Delegates and Voting Delegates
Ÿ Voting Slips may only be collected by the designated person (National Representative or District Delegate).
Ÿ No other delegates should go to the Voting Desk. Voting Delegates will be told in advance from whom and where they
are to collect their booklets.
Ÿ National Representatives and District Delegates Please Note: You will receive a list of all the people to whom you must
distribute the booklets. Please bring this with you to the Convention.
Single District Countries
Ÿ District Chairman/National Representative collects all voting slips relating to her country and distributes them to
District and Club delegate vote holders.
Multiple District Countries
Ÿ National Representative collects her own, the National Governing Body Booklet and any IIW Past President voting
booklets for onward distribution at the Convention.
Ÿ District Delegate collects the District booklet and all booklets for the Clubs in her District, which she will distribute to
the individual Club vote holders at the Convention.
Where and When Voting Slips may be Collected
Voting slips may be collected from the Voting desk, located in Jaipur Exhibition & Convention Centre on the

ONLY the designated person may collect Voting Slips.
Please arrange to distribute the Voting Slips to your delegates correctly and efciently BEFORE the start of
the Opening Ceremony – 0900 Hrs Thursday 4th March 2021.
This timing is most important to ensure your Voting Delegates have their necessary paperwork in time for the
commencement of the Business Session. Failure to do so will result in your members being unable to cast the votes they are
carrying.
Prior to departing for the IIW 2021 Convention it is the responsibility of every National Representative and
District Delegate to:
Ÿ Ensure you have the Names, Convention Accommodation and Contact Details of every Voting Delegate from your
country and that she knows how to contact you if necessary.
Ÿ Arrange a meeting time and place to distribute the Voting Slips at the Convention.
Please Note
All Voting Delegates have a responsibility to collect the Voting Slips from the designated person at the designated meeting
place on time. Please be considerate.
Deputies and substitutions will not be accepted on-site. Any changes to delegate names must be sent to IIW in advance of
the event with a reason for the change. The Stewards will do spot checks. If you are holding a booklet not in your name,
the booklet will be taken from you and all the votes will be forfeited.

TERMS AND CONDITIONS:
Deadline for Accommodation Bookings: Monday, 1st February 2021
The Secretariat must return all unsold rooms to the hotels on 1st February 2021, therefore accommodation bookings after
that date cannot be guaranteed. The rates quoted are only valid for bookings made prior to Monday, 1st February 2021.
Late bookings can be made through the Convention Secretariat after 1st February 2021; however they are subject to
availability.
Early Arrival
Some international ights arrive early morning in Jaipur. However, since most of the hotels have their check-in timing not
before 2:00 PM, your rooms may not be ready for immediate occupancy. The hotel will take action to help you secure your
room but if you want your room to be completely booked for you, you can pay an extra day's tariff for the night before you
are due to arrive.
If you wish to take this precaution, please advise the Secretariat on the registration form so that we can notify the hotel that
your room is pre-registered.
Late Arrival and No Show
Please inform if you will arrive at your hotel after 6:00 pm. If you fail to inform, your booking will be cancelled and given to
someone else. However, you will be charged for the full stay.

Accommodation
Early Departur
Please note that if you check-out from your hotel earlier than your conrmed departure date, you will be charged for each
night that is not used as this is taken as a cancellation by the hotel.
Change of Booking
All the changes you make in booking must be given in writing to the Convention Secretariat and not to the hotel.
Cancellation
Ÿ In case of emergency, the blocked accommodation is transferrable to another attendee, only if informed before 1st
February 2021.
Ÿ No accommodation deposits will be refunded to those who cancel after 1st January 2021.
Ÿ Delegates who conrm attendance and make the full payment but do not advise of cancellation before 1st February
2021 will incur charges as per the 'no-show' rate, as penalized by the hotel. This charge is calculated as the room rate per
night multiplied by the dates booked and secured. Please ensure that accommodation dates are correct at time of
booking.
TRANSPORTATION
Free Shuttle Services
Free shuttle services to and fro from the Convention/Social Functions venue to the ofcial hotels are available for all the
delegates.
Airport Transfers
Airport Transfer Services from New Delhi International Airport / Jaipur Airport / Jaipur Railway Station to hotel of stay in
Jaipur will be arranged specially for IIW delegates on payment basis, These can be pre-booked through the website while
registering for the Convention.
Prepaid Taxi Services
Uber & Ola services are available in Jaipur and the cabs can be booked using the mobile apps. You can download the apps
for Android and iOS from Google Play Store and Apple App Store.
Auto Rickshaws (Tuk-Tuk)
Auto rickshaws or tuk-tuk are a great option to weave through the trafc jams and narrow streets. You will easily nd auto-
rickshaws across the city.
The charges are xed for xed routes, just ask for a meter card to know how much you should be paying for a particular
route. The same can be booked through your Ola & Uber App if available.

This State of the Art Jaipur Exhibition and Convention Centre (JECC) is the largest pillar-less exhibition convention centre

Ofcial Language
The ofcial language of the Convention is English.
Local Language
Hindi & English
Time
India has one time zone which covers the entire country. Indian Standard Time (IST) is 5 hours and 30 minutes ahead of GMT.
Climate
November to March is the perfect time to visit India. It is warm and pleasant with moderate temperature ranging from 15 – 26 degree
Celsius. However, it may get chilly during the evenings, and we recommend you to carry a shawl / light woollens.
Visa Information
Ÿ Valid visas are required for everyone coming from overseas.
Ÿ The visas are issued electronically (e-Visa) or can be obtained from the Indian missions abroad through application. E-Visa is available
in many countries of Europe, and US and Australia etc.
Ÿ Guests’ passport should have at least 02 blank pages and the passport should have minimum 6 months validity.
Ÿ You can apply for an e-Visa on Indian government website; the visa application should be made at least 7 to 30 days prior to the
arrival date in India.
Ÿ An approval normally takes in advance of the travel date and an approval normally takes 72 hours after application.

Letter of Invitation
Personal letter of invitation will be sent by the Convention upon request to facilitate obtaining of visa for participation in the
Convention.

1 Euro = 80 INR 1 GBP = 90 INR
1 USD = 70 INR 1 AUD = 50 INR
Although the above values are approximated as of current exchange rates, we recommend you to visit www.xe.com to know the exact
currency values, because of changes that occur frequently.
Baggage Allowance
Most domestic ights within India allow only 15 kgs of check-in baggage allowance and 7 kgs of cabin baggage. The airlines are strict
about the luggage and will levy excess baggage charges. So, it is very important that you plan accordingly, as it is likely that you may be
ying from Delhi / Mumbai to Jaipur for the Convention.
Credit Card/ ATM / Cash
Ÿ In cities you can change most major foreign currencies and brands of travellers' cheques but you'll widen your options and save
yourself hassles if you stick to US Dollars or Pounds Sterling.
Ÿ Credit Cards are widely accepted in all major shops and restaurants; however, it may not be accepted in small shops so it is
recommended to carry cash.
Ÿ ATM machines are available in the cities; it may not be available in small towns and villages. Always have enough cash with you while
travelling.
Safety and Security
Follow the same rules of safety that you follow while travelling anywhere else. Use the hotel safe deposit boxes and keep travel
documents safe. Make sure to keep extra photocopies of the pages of your passport.
Insurance and Liability
The Organizers are not responsible for any individual's travel, medical, or personal insurance. It is advised to secure your own insurance
policies before departure from their countries.
While every attempt is made to ensure efcient, trouble-free hospitality, including hotel accommodation, sightseeing and tours,
participants are advised that no liability accrues to the Organizers in the event of any necessary modications, including change in
itineraries for tours due to delays or cancellations of ights/other exigencies beyond the Organizers' control.

Electricity
Ÿ Standard Voltage in India is 230 Volts. For convenience, you can carry a universal travel adapter. The wall sockets in India support
two and three round pins.
Food and Drink
Ÿ Please note that drinking from tap is unsafe in India, drink only bottled water. Most hotels and restaurants provide ltered/RO
water which is safe to drink, however we recommend you stick to bottled water only.
Ÿ We recommend you to eat from hotels and restaurants that maintain good hygiene. Make sure to steer clear of uncooked or
unpeeled fruits and vegetables that are served outside in the streets.
Ÿ Curd or yoghurt is served with most Indian meals. They are considered good for digestion and it also helps to temper the spicy
food.
During Sightseeing
Ÿ It is custom to remove your shoes before entering any holy place out of respect. Recommended to dress conservatively with
full length pants and shirts.
Ÿ Some of the temples do not allow leather articles and are not open to Non-Hindus.
Ÿ Most of the museums in India are closed on Mondays.
Ÿ The Taj Mahal in Agra is closed on all Fridays.
Ÿ Avoid staying outdoors in the sun for long in order not to get sun burnt. Wear sunscreen in exposed body parts and wear
sunglasses to screen out harmful rays.
Ÿ Stay hydrated by drinking water. Bottled water is strongly recommended.
Useful Information
Ÿ Always carry your ID Proof since it is mandatory while checking into the hotel.
Ÿ Stay alert of impostors - porters or guides. Make sure that they are in proper uniform and are identied. Do not leave your
luggage unattended.
Ÿ Use ofcial transporter for all your travel.
Ÿ Tipping is completely a personal gesture and depends on the service and assistance you get.
Restrictions on Export of Articles
Ÿ Illegal transport of wild animal indigenous to the country like goods made of animal skin is banned.
Ÿ Peacock feathers and handicrafts made from them are not banned.
Ÿ Antiques items of historical interest which have been in existence for not less than 100 years are not allowed to be exported
from India.
Ÿ Aesthetic and non-artistic value not less than seventy ve years, historical itinerary and manuscripts and other documents art
treasures is not allowed to be exported out of India.
