Frontline Absence Management (Formerly Aesop)
Frontline Absence Management (Formerly Aesop) is an automated substitute-calling system. Frontline Education
has a paperless way to perform absence (leave) approvals. ​Staff ​will ​submit ​absence requests via Frontline
Education.
The Frontline Education website is www.frontlineeducation.com or individuals can access the district website
www.newulm.k12.mn.us – Absence Management. The employee's ID is the employee's home phone number,
including area code, without the dashes. The employee's PIN is assigned by the administrator. The employee will
create the absence that also doubles as the absence request. (The absence (leave) request can also be made from
the telephone 1-800-942-3767.)
Sick leave (self) and child sick leave (NOT medical) have been setup to bypass this approval procedure.
Employees will still need to create the absence so that it goes to the substitute pool. With all other absence
reasons, employees should know enough ahead of time to be able to get the absence created, approved and a
substitute assigned.
When an absence is created, in the area titled "Notes to Administrator," please indicate the reason for the absence:
i.e., doctor appointment, aunt's funeral, child ortho appointment, closing on house, wedding out of town, ​be
specific​.
REMEMBER: The absence the employee creates does NOT go to the substitute pool until it is nally approved by
the building administrator. Keep this in mind so that the absence is created in a timely manner to get the substitute
in place.
For those employees that do not need substitutes (administrators, etc.) will still need to create the absence request
to obtain approval.
Sub Preparation​ - ​Teachers are expected to have detailed and thorough substitute plans prepared and should be
kept in a visible place in the classroom. The plans should include: class lists, seating charts, daily schedule,
duty/supervision assignments, special information about students, classroom discipline plan, lesson plans and the
name of a staff member to contact if the substitute has questions.

Paraprofessionals are also expected to have substitute plans on hand with their supervising case manager and in
the office. They should include an up to date daily schedule, supervision assignments and instructions, as well as
any needed information about students.

Attendance of Students
Attendance is a critical component of the record system. The classroom teacher is responsible for taking
attendance in a timely manner each morning and afternoon. If parents contact a teacher about a student absence
please note that in the explanation eld in the Campus attendance program. Otherwise, parents will be contacted
by ofce staff regarding absent students.

Attendance
Attendance is recorded each day before 8:30 a.m. and at 12:30 p.m.
1. Enter complete names of absent/tardy students on the computerized system. Once entered all
      changes/updates will be made by the ofce.
   2. Parents are required to inform the ofce when students are absent for any reason. The ofce will contact
      the teacher.
   3. Students returning to school after serious illnesses or injuries should have a written excuse from parents
      and the school nurse should be informed.
   4. Record student tardiness and absenteeism according to the following:
          o Students who arrive:
                  ▪ 8:10-9:30 a.m. - record as tardy
                  ▪ 9:30-11:30 a.m. - record as absent for the morning
                         ● When marking a student tardy or absent please record the time they arrived in your
                             classroom & a reason as to why if known (breakfast, locker, etc.)
          o Students who leave:
                  ▪ 11:30-1:30 p.m. - record as absent for the afternoon
                  ▪ 1:30 to 3:10 p.m​. - record as present for the afternoon
                         ● When marking a student absent please record the time they left for the day & a
                             reason as to why if known (going out of town, appt., etc.)

Directory Information (District Policy #406)
“Directory Information” means information contained in an education record of a student which would not
generally be considered harmful or an invasion of privacy if disclosed. It includes, but is not limited to; the
student’s name, address, electronic mail address, photograph, date and place of birth, major eld of study, dates of
attendance, grade level, enrollment status (i.e. full-time or part-time), honors and awards received, and the most
recent educational agency or institution attended. It also includes the name, address and telephone number of the
student’s parent(s). All other information is considered condential student data. State and federal law regulates
the release of condential student data.

Donations (District Policy #706)
All donations, whether instructional, equipment or monetary, must be acknowledged by the school board and
become the property of the district. ​All donations must be recorded and approved by the building principal.
Donations may be received from parents or family members of students, community members, co-workers, or
outside organizations (i.e. Donors Choose, ISD88 Foundation, Friends of Jefferson + K, 3M, etc.).

Duty Schedules
Schedules for morning/noon hour/dismissal supervision will be shared with you via google docs. Anyone unable
to perform their duty obligations on the assigned date should nd their own replacement and inform the ofce of
the change. Every paraprofessional will have either a morning or lunch/recess supervisory duty. Please include
your supervision information in all plans to be used by a substitute.

End of the Day Dismissal
Every certified staff member will have and end of the day supervisory duty. This schedule will be shared with you
via google docs.

Grade levels will be responsible for the supervision of their own students at the end of the school day. Each
classroom will have a designated student group based on how a student gets home at the end of the day. Students
will be walked through the bus line by a grade level teacher or paraprofessional. Students riding a bus or meeting
walk up parents at the canopy will exit the building through door 8 at the front of the building. Students utilizing
curbside pick up will exit door 2. Staff may begin dismissing students per the end of the day bell at 3:00 P.M.

Emergency Preparedness
Each room should have a three ring binder/red folder with emergency guidelines. Please review the guidelines
with your students during the rst week of class. State law mandates ve re drills, ve emergency drills, and one
tornado drill each year.
In accordance with the crisis management plan, all exterior doors will be locked during the day except the main
entrance door.

Leaving the Building
It is occasionally necessary to leave the school during a prep time or noon break. The working day for staff is from
7:30 a.m. to 3:30 p.m. Before and after school, is district time and should be used for preparing for classes,
meetings and student assistance. Any staff member who would need to occasionally arrive late, leave early, or
leave during the working day must obtain prior approval from the building principal.
During the working day all staff must sign out in the ofce when leaving and sign in when returning.

Lunch and Recess Guidelines
   A. Lu​nch Time Guidelines
      ● The students are asked to stay seated until they are nished eating and dismissed by a supervisor.
         Conversation should be in normal voices.
      ● Students will be responsible for returning their trays to the window after properly disposing of the
         paper products. Milk will be emptied from the carton.
      ● There will be no unnecessary walking from table to table allowed. There will be no clapping, loud
         noises or kicking the tables to make excessive noise.
      ● Students need permission to use the bathroom.
      ● Sharing food is not allowed in the cafeteria.
      ● Food must never be taken out of the cafeteria unless permission is given.
      ● All students are required to participate in outdoor recess unless a child's parents have sent a note
         requesting the child stay indoors for recess.
   B. Consequences for not following Cafeteria/Playground Guidelines
      ● First offense​: ​A verbal warning will be given. Supervisor will remind students of the expected
         behavior and the purpose for the expected behavior.
      ● Second offense​: ​ Student will take a break. Before the student returns to their seat, the supervisor will
         have a conversation with the student regarding the situation. The student should leave the take a break
         area knowing why they were asked to take a break, what the expected behavior is, the purpose for the
         expected behavior, and a student/supervisor created plan to discontinue the unexpected behavior.
      ● Third offense​:​ Student will take a break in a Buddy Classroom. Supervisors will be responsible to set
         up an alternate supervised area to utilize for a Buddy Classroom. The student should leave the Buddy
         Classroom knowing why they were asked to take a break, what the expected behavior is, the purpose
         for the expected behavior, a student/supervisor created plan to discontinue the unexpected behavior,
         and know the classroom teacher will be notified. The supervisor will notify the classroom teacher of
         the behavior and consequences. ​Parents should be notified by the classroom teacher.
      ● Fourth offense​:​ Child will be sent to the office.
● Children will be sent to the principal's ofce when ghting has occurred.
      ● Disruptive children are not to be sent back to the classroom during the lunch period. Teachers have a
         duty-free lunch and many are not in their rooms.
      ● Disruptive behaviors are to be shared with the classroom teachers upon student pick up. This is to keep
         classroom teachers aware of concerns.
   C. Special Winter Rules
      ● Children will not go outside before school or during a recess time if the actual temperature is below 0
         °F or windchill is below 0 °F unless staff request and receive approval for a limited time outside for
         learning experiences when the temperature is below 0 °F.
      ● Students will be going outside unless he/she has written permission to stay inside.
      ● Snow pants and boots must be worn if children want to play in the snow, on playground equipment or
         any space off of the blacktop area.
      ● Throwing of snow or ice will not be allowed.
   D. Procedures for Lunch and Snack Break
      ● Lunch
             ● Payments may be made in the kitchen area of the cafeteria before school.
             ● Students may line up in any order, as directed by the classroom teacher.
             ● Classroom teachers will supervise the first 10 minutes of lunch unless the teacher’s 30 minute
                 duty-free lunch is scheduled at the same time, then support staff will supervise.
             ● Teachers must pick up students at the assigned time from the cafeteria.
             ● Promptness is expected!
             ● Children will receive a monthly statement indicating his/her lunch balance.
      ● Snack Break
             ● Tables are to be cleaned before and after snack break.
             ● When possible, snack break is restricted to hard surface areas.

Mandated Reporting (District Policy 414)
All school employees are required by state law to report suspected cases of neglect or abuse. Please see the
counselor if there is a suspected case of neglect or abuse. The counselor will assist with the process of reporting.

Media Services
The Media Center will be open from 7:30 a.m. to 3:10 p.m. daily.

       Media Center and Computer Classes
   ● Media center and computer schedules will be determined cooperatively between classroom teachers and
     the Media staff.
   ● The content of media center lessons will be designed using the media curriculum and input from classroom
     teachers.

Morning Supervision ​(7:30-until all students are cleared from supervisory area)

   ● Beginning at 7:30, students will have morning location choices. Students who want to eat breakfast should
     make that their first choice. Upon finishing breakfast or if a student chooses not to have breakfast they can
     choose one of the several morning station locations.​ ​ If a student attempts to choose an area that is at
     capacity, they will have to choose an alternate location.
● At 8:00 the first bell will ring. This signals that students must clean up their morning location and make
     their way to their class room. At this time, all staff should be ready to greet students at their classroom
     door.
   ● All certified staff members will be posted at their doors and ready to welcome all learners for the day.

Name Badges
All employees are required to wear a district issued picture identication while on duty in a school district
building or on district property.

Nuisance Articles
Phones, Ipods, laser pens, toys and other articles that disrupt the learning process are restricted in school. Such
articles should be conscated. Teachers will decide when and how the articles will be returned to the student.
Articles that could be considered dangerous will be turned in to the ofce.

Parental Objection to Curriculum (District Policy #606)
Parents have the right to withhold students from curriculum to which they object. They must do this in writing
through the principal’s ofce. Once this has been submitted, the teacher is responsible to provide an alternative
curriculum during the necessary time period. Parents who further object to curriculum materials and want them
withheld from use with all students should be referred to the principal’s ofce.

Parent Portal
Parents have real time access to their students’ attendance. Because all parents may not have access to the
technology needed to open the parent portal, it remains the teacher’s responsibility to communicate student
progress to parents.

Pledge of Allegiance
Weekly recitation of the Pledge of Allegiance is required for all Minnesota public schools. Students and staff
have the constitutional right to refrain from participation if they choose. This right to participate or not participate
must be respected. Students will also be instructed in proper etiquette towards the ag, its correct display, and
respect for the ag and in patriotic exercises.

Purchasing
All equipment and supplies, which are to be paid for by the district, require prior approval by the principal.
Purchases require a signed purchase order/requisition. Ownership of these items shall remain with the district
and/or grade level. All district property must be labeled. Property labels are available in the office. All purchases
that are not pre-approved are the responsibility of the individual teacher.

School Closing
Occasionally, school may be canceled due to emergency situations. The school district has an instant messaging
system known as Campus Messenger. Parents and staff will automatically receive a telephone message
announcing the cancellation. Local and metro television/radio stations will also be notied. Parents and staff may
access closure information on a station of their choice. In addition, the school district website will have an
announcement on the home page. All school closings, delayed starts or early dismissals will be announced as
early as possible.

Staff Children
Children of staff members are welcome to remain in the staff member’s classroom or in supervised areas available
to all students before or after school. Staff children may not attend meetings or other duties with their parents nor
wander the halls.

Staff Meetings
Meetings will be held in the Media Center. An administrator will facilitate the meetings. The dates, meeting times,
and the agenda will be emailed prior to the meeting. All faculty members are required to be in attendance.
Non-teaching staff members are welcome at any time, but attendance is not required.

Student Individual Education Plans and 504s
IEPs and 504s are contracts between the parents and the school regarding the individual modications for
students. It is the responsibility of the case manager to make teachers aware of the contents of the IEP or 504 plan.
Each individual teacher must follow the plan.
Classroom teachers may be asked to attend IEP or 504 meetings on a periodic basis for their students or to provide
student achievement data to the case manager when requested.

Student Illness
Any student feeling ill during the school day should be sent to the nurse’s ofce. The nurse will notify both the
classroom teacher and the ofce if students are to be sent home. Classroom teachers are not to notify parents and
send students home due to illness.

Tobacco Free Environment (District Policy # 419)
It shall be a violation of this policy for any student, teacher, administrator, and other school personnel of the
school district or person to use tobacco or tobacco-related devices in a public school. This prohibition extends to
all facilities, whether owned, rented, or leased, and all vehicles that a school district owns, leases, rents, contracts
for, or controls. This prohibition includes all school district property and all off-campus school district-sponsored
events.

Videos in the Classroom
If a video is longer than 30 minutes in length, please consider the following guidelines before the video is shown:
     ● Is there another curriculum resource that can be used instead of a video?
     ● If a video is used, the movie should be rated G only. Any movies rated other than G need parent approval.
     ● Movies are not permitted for rewards or recreational purposes.
     ● Any full length movie needs prior approval from the building principal. Submission of course outcomes
        which this movie directly addresses will be required prior to approval.
Visitors/Registration of Visitors
Visitors must register in the ofce and be issued an identication badge before conducting any activity within the
school building. Employees are expected to approach any individual who is not wearing an identication badge,
ask if they can be of assistance and direct/escort the individual to the ofce.

Weapons and Assault Policy (District Policy #501)
New Ulm Public School bans all weapons on school property. Staff should conscate from students any item
considered to be a weapon or notify the ofce.

Weekly Bulletin
A bulletin will be published each week on Friday informing staff and students of the schedule for the coming
week, with consideration that things can change. A daily update with staff absences, daily happenings, special
education meetings, playground dutie​s, etc. will be shared through Smore. A link to the daily Smore is provided
on the Washington Internally Calendar as well as shared the first day of each new month.​ If you should not be
receiving these notices please notify the office so that the issue can be addressed.

Yellow Vests
All staff will wear a yellow vest when they are supervising children outside of the building. This includes before
and after school at bus and parent loading areas, all school grounds, and field trips. Each employee will be
provided with one (1) yellow vest. The vest should be made accessible to substitutes.
