IAEM provides a unique opportunity for open dialogue and the creative exchange of ideas
among participants. Students may not endorse brand names or specific products in their
presentation. Under no circumstances may this platform be used as a place for direct
promotion of a student’s product or service. Any student who violates this policy
jeopardizes his or her opportunity to present at future IAEM conferences.

Academic Research Presentation Competition –
                  What is it?

The IAEM-USA Conference, Awards, and Training and Education Committees, in
cooperation with the IAEM-USA Student Region, are pleased to offer the
Academic Research Presentation Competition (Poster Contest).

The Poster Contest is an opportunity for students to showcase their research.
Presentations will be judged in either the Undergraduate or Graduate Level, and prizes
will be awarded for first, second, and third place in each category. Judging and awards
presentation will take place at the IAEM 2016 Annual Conference in Savannah,
Georgia.

                              Who Can Enter?

This competition is open to IAEM-USA student members only.

Entries will be divided into two separate categories –Undergraduate Students or
Graduate Students.

Only one entry per person and one person per entry is permitted.

Abstract Submission Requirements

The Call for Entries will be open from May 2, 2016 through June 3, 2016, 5:00pm ET.

Your abstract submission is your entry in this competition. Entries must be submitted via
email (attachment) in WORD format, subject line “IAEM-USA Poster Abstract” to Julie
Husk at jhusk@iaem.com.

All applications must be submitted by June 3, 2016, at 5:00pm U.S. Eastern Time to be
considered. Late submissions will not be accepted.

                                           Required

   •   Heading: Title of abstract, name of presenter, affiliation, address, phone
       numbers, and a primary and alternate email address.

   •   Abstract and Title Length: Abstracts must be 250 words or less. The Selection
       Committee reserves the right to edit abstracts, if necessary, for clarity, grammar or
       proper usage. Abstracts above the 250-word limit will not be accepted. Titles of
       abstracts are limited to 10 words.

   •   Presentation Theme: The presentation theme must reflect research related to
       emergency management.

   •   List of Collaborators, Advisor(s), and Department(s) assisting with this
       research.

   •   Identify funding sources, if any.

   •   Identify the Internal Review Board Proof of regulatory committee approval, if
       required

Poster Content Requirements

If your abstract is selected, you will be required to attend the conference and bring
your Poster and 3 hard copies of your abstract with you to the conference.

   •   Poster Format: Not to exceed four (4) feet in height and four (4) feet in width.
       There should be a balance of text, images and white space. The poster should be
       attention grabbing. It should be readable from a distance of four (4) to six (6) feet.
       It should be free of errors. (Resources for Academic Poster Tips are at the end of
       this document, below)

   •   Citations required: All information, photos, charts or diagrams shall be cited in
       APA format on the poster.

   •   Short presentation title

   •   Labeled as either undergraduate or graduate level.

   •   Student’s name

   •   Objectives and significance of the research.

   •   Methods

   •   Results, interpretation of results, conclusions and directions for future
       research

The design of the presentation is at the student’s discretion, within the requirements set forth
above.

While a student may receive minor assistance to develop the poster, the presentation must be
the student’s original work and not that of others, including their professors.

                                           Required

   •   A final pdf image of the poster is due via email to Julie Husk at jhusk@iaem.com by
       September 1, 2016 at 5:00pm ET.

On-site Logistics & Oral Presentation Guidelines

    •     The Posters must be set up for display by Sunday, October 16th at 3:00pm ET.
    •     The Posters will be displayed in the registration area near the entrance to EMEX
          (Expo Hall). Further directions will be provided at a later date.
    •     Poster presentations will be judged by a select panel of judges on Monday,
          October 17th from 6:30pm - 7:30pm ET. The exact time of each student
          presentation to be determined at a later date.
    •     The presentation must be no more than four (4) minutes in length, with an
          additional two (2) minutes to answer questions from the judges. The presentation
          should be attention grabbing and encourage questions from the judges.
    •     The Student should expect questions concerning research methods used,
          significance of the content for practicing emergency managers, controversial
          aspects of the findings, and future directions for research based on the current
          findings.
    •     Students must be available by their Posters during the Poster Presentation
          Session on Tuesday, October 18, 2016 from 12:15pm – 1:00pm ET to answer
          questions from attendees.

                               Mentoring Opportunities

Every Student who is selected to present Academic Research at the IAEM 64th Annual
Conference will be assigned a representative from the IAEM-USA Training & Education
Committee. This representative will contact them to provide presentation and poster
development feedback during July 5 – 29, 2016. This representative will also be available
to mentor students on their final poster pdf submission and on-site oral presentation
skills.

Judging Criteria

The purpose of the presentation is to convey to a wide audience the significance of this
research project to scholars and practitioners in the emergency management community,
as well as the general public.

Presentations will be judged on their quality in three areas:

   •   Content: (50% of score) Content of the abstract and poster must contain the
       following:

          o Topic/objectives/research question/hypotheses are clear and explicit
          o Strong Significance of topic for emergency management professionals
          o Literature review/references
          o Appropriate and clear description of methods
          o Analysis (figures and tables appropriate and well explained)
          o Findings (linked to theory, experience and data)
          o Supported conclusions
          o Results in broader framework; contribution to scholarly perspective and
            emergency management practitioners
          o Controversial aspects discussed
          o Acknowledgements

   •   Poster Display: (20% of score) The core of the presentation is a poster with text
       and graphics intended for a general audience. The poster should attract attention
       and convey important information about the project. Language should be simple
       and descriptions brief. Jargon should be avoided, and necessary technical terms
       should be defined. Photographs, drawings, graphs, charts, figures, etc., should be
       simple and well organized. Text on the poster should be large enough to be
       readable from 4-6 feet away.

   •   Oral description and discussion: (30% of score). During the presentation
       judging, students should be positioned with their poster, prepared to answer
       questions, and elaborate upon their research and presentation format and style.
       The student will have four (4) minutes to present and two (2) minutes to answer
       questions. The judges will evaluate the quality and accuracy of this discussion.

Awards Structure

Awards will be given as follows in both the Undergraduate and Graduate Level:

   o First Place $225.00, Second Place $175, Third Place $100

The Planning Committee reserves the right to alter monetary awards based on the
number of submissions. All presenters will receive a Certificate of Participation.

Announcement of IAEM Award Results

   •   The results of the judging for the Academic Research Competition will be
       announced at a designated session during the IAEM 64th Annual Conference in
       Savannah, Georgia. Consult the online conference program or IAEM to Go mobile
       app for more details.

   •   Winners will receive prize checks in the mail following the conference.

   •   An announcement of award winners will be posted at www.iaem.com/Awards.
