need to be ready, in case COVID-19 reappears in our community.
 Stay home if you are sick – If you’re feeling unwell, isolate wherever you are and call Healthline

the COVID Tracer app. The NZ COVID TRACER app keeps us 1 step ahead of the virus. The more
we scan, the safer we’ll be.

for maintaining a healthy and clean work environment. Protocols include:
                 1. Wash and dry your hands often, especially after coughing or sneezing. Use soap or

                 3. Place used tissues in rubbish bins or in a plastic bag.
                 4. Do not touch your face.
Sanitation stations are set up across all of our campuses and within classrooms. Please use
them when entering, leaving or before you have any food.
 Face Coverings – Please wear a face covering whenever you are on public transport, including
flights. While not compulsory, you are welcome to wear a face covering while on any of our
        UCOL campuses

to inform UCOL about anything COVID-19 related, please speak with your
lecturer or email our Health and Safety team at hs@ucol.ac.nz

A police check is required for all students on enrolment. If the police check identifies an issue that
could affect your ability to gain a work experience placement, you will be counselled before being
admitted into the programme. It may be that a student in this category will be unable to complete the
requirements for papers requiring work experience placements.

Before your placement, you will be required to affirm that your police record has not changed nor any
charges are pending. Information on the Police Vetting Service is available from Police Vetting Service.

An acceptance contract will be signed between UCOL and placement providers which gives guidance
on the kinds of practical tasks that the students can be expected to perform. The students have a list
of practical tasks to be completed over the paper of the programme.

You are unable to attend a placement until you have passed Applied Safety and Anatomy for Veterinary
Nursing Practice.

Confidentiality
The relationship between an animal care establishment and any client is a confidential relationship.
Considerable discretion must be exercised in discussing cases outside the establishment or clinical
environment, and as a general rule, cases must not be discussed with outside individuals.

You MUST respect client confidentiality. If you have concerns about workplace protocols or what you
are being asked to do ensure your questions are asked at a convenient time and not in the public eye.

Specific Clothing
 Whilst on placement, you must wear your UCOL student uniform, however some animal care
placements may have their own requirements.
 Comfortable, closed in shoes are advised. Sandals and “loud” trainers are NOT acceptable.

Professional standards during work experience
As a student and representative of the Animal Technology programme, you will conduct yourself in a
professional manner at all times

Your primary task is to LOOK, OBSERVE and LEARN.

Please note that some animal care facilities will allow greater practical participation than others.
It must be stressed that what you will learn at UCOL will not necessarily be duplicated in your work
experience placements.

The following behaviour is expected at all times:
 General appearance must be clean, tidy and acceptable
 Longhair must be tied back
 No jewellery to be worn apart from wedding ring, watch & small stud earrings

and the place of work experience
 No task should be undertaken without prior direction from experienced staff. However,
commitment and initiative are expected. You must ask for clarification from the staff if
instructions are not clearly understood. Any other course of action may have severe
repercussions on the welfare and treatment of animals. Follow all instructions carefully and
          diligently.

NO PERSON NOT TRAINED IN THE HANDLING OF AGGRESSIVE OR FRACTIOUS ANIMALS SHOULD BE
INVOLVED IN THE HANDLING OF SAID ANIMAL AND NO TASKS UNDERTAKEN WITHOUT PRIOR
DIRECTION FROM EXPERIENCED STAFF.

 The safety and welfare of the animal is always of paramount importance. Handle all animals so
that they are safe and feel secure. Any task must be carried out with the least possible stress
          upon the animal.
 The person you are assisting must remain safe.
 If you are not sure, ASK. Never continue a task if you are not completely sure of the procedure.
 Maintain the safety of your workplace and yourself. Always use safe working practices. Keep
the work area clean and tidy.

Programme Assessment
Assessment Methodology
Assessment is used to encourage, develop and challenge you in your learning. Assessment procedures
are part of the learning tools of the course. The chief purpose of in-course assessment is to detect any
learning difficulties you may be having and then to take action. Assessment is an on-going process and
involves a variety of methods.

Grading Scale
This programme uses achievement-based grades, but within each course there is at least one
competency based assessment which must be passed to pass the course. In determining the overall
grade for courses which include a competency-based assessment, a course grade result based on a
percentage (A to E) will only be available to students if they have received a ‘pass’ for the competency-
based assessment. If a student receives a ‘not achieved’ for a competency-based assessment within a
course, they will be deemed to have ‘not passed (the course) due to not meeting a specific requirement.

Course grades will be specified in accordance with the UCOL Academic Statute as follows:
Achievement-Based
A Pass with Distinction
B Pass with Merit
C Pass
D Fail
E Fail
F Ungraded Fail (no assessment undertaken)
DNC Did not complete both all compulsory assessments for a course and CAR
(Grade) (AEG) Aegrotat Pass
CR Specified or Unspecified or Cross Credit
W Withdrawn
R Restricted Pass
CO Conceded Pass
CP Conditional Pass

The following percentages for each grade shall be used:
A 75 – 100
B 60 – 74
C 50 – 59
D 40 – 49
E 0 – 39
F Ungraded Fail (no assessment undertaken)

Some course assessments have ‘pass/not pass’ (P/N) as an assessment result, (refer to the Course
Descriptors). For courses which include a ‘pass/not pass’ assessment students will have the opportunity
to re-sit or re-submit a ‘pass/not pass’ assessment or complete workplace requirements until a pass is
achieved (please see P27 Resubmits and Resits).

Te Reo Māori
UCOL acknowledges the principles of the Treaty of Waitangi and endorses the right of its students to
use Te Reo Māori in assessments. If you are fluent in Te Reo and wish to be assessed in it, you should
inform your lecturers of this at the beginning of the programme. See Assessment in Te Reo Māori
Procedure.

Schedule of Assessment
An assessment schedule for each course will be given out to the students at the beginning of that
course.

If you are absent from a written coursework test due to illness, you may sit a separate test at the earliest
opportunity or as arranged by the Programme Leader, on production of a medical certificate to the
Programme Leader.

Conduct During Assessments
During your study, you are expected to observe and comply with the Academic Statute and all
programme regulations. Plagiarism or cheating is not tolerated. Academic dishonesty includes:
 Copying from or inappropriate communicating with another person during an exam or
       assessment
 Possessing any unauthorised material during an exam or assessment
 Submitting any work for assessment that is not your own and whose author has not been
       acknowledged
     Copying another’s work
 Collaborating with others in the preparation of material, except where this is an assessment
       requirement
 Resubmitting work without prior written approval of the lecturer

Turnitin, or a similar programme, may be used to determine whether you have committed academic
dishonesty. See Conduct of Examinations and Assessments Procedure.

Part VIII of the Academic Statute outlines the disciplinary proceedings that apply should you breach
these rules.

Extensions
Extensions for an assessment can only be granted prior to the assessment due date in exceptional
circumstances. These circumstances may include:

 Sickness – in which case a medical certificate must be presented to the lecturer.
 Bereavement – in which case the lecturer must be informed as soon as possible.
 Extenuating circumstances – these circumstances must be explained to the lecturer and proof
          may be required.

An application for an extension must be submitted to your lecturer in writing using the Appendix 2 –
Request for Extension form at the back of this handbook. It can also be made in electronic form via
email which must include all the information required by the form.

You will receive notification of the outcome once your lecturer has reached a decision. Extensions will
be for seven (7) days only unless stated otherwise.

Where an extension has been granted, and the extension deadline has been met, no penalties will apply.
Your assessment will be marked and feedback provided in the same way as if the assessment was
submitted on the original date and time.

Penalties for Late Submissions
The following conditions apply to all late submissions of assessments that do not have an approved
extension:

 All assessment work received after the due date and time, and not subject to a lecturer-
approved extension, will attract a penalty.
 The penalty for late submission is the deduction of 10% of the mark achieved for each day
beyond the due date for submission.
 The penalty is applied for a maximum of five (5) days.
 An assessment received after one week from the due date for submission will be returned
unmarked and a zero (0) grade will be entered.

Faculty of Health and Sciences - Student Handbook 2021
NZ2490 New Zealand Certificate in Animal Technology (Veterinary Nursing Assistant) Level 5 25
 No late submissions may be accepted after marked assessments have been returned to
students, unless it can be determined that there will be no advantage to the student submitting
the late assessment or disadvantage to students who have submitted the work on time.

Reconsideration of Results
If you believe that your assessment has been incorrectly assessed, you can apply to your lecturer for a
reconsideration of result within five (5) days of the return of the assessment. You must apply in writing
using the Appendix 3 – Request for Reconsideration of Result form at the back of this handbook. You
may be charged a fee for this process.

Your result may be unchanged, raised or lowered following reconsideration. The reconsidered result
will be recorded as the final result. However, you still have the right to appeal this result in accordance
with the Academic Statute.

Resubmits and Resits
An application for a resubmit or resit must be submitted to your lecturer in writing using the Appendix
4 – Request for Resubmit/Resit form at the back of this handbook. It can also be made in electronic
form via email which must include all the information required by the form. You may be charged a fee
for this process.

Special Passes
If through illness, accident, bereavement or other exceptional circumstances beyond your control, you
are unable to complete an assessment or programme, you can apply for a Special Pass.

The four types of Special Passes are:
 Aegrotat Pass: awarded when you are unable to present work for assessment at the time it is
due, you are unable to attend a test or examination, or your performance is seriously impaired
        in a test or examination.
 Conceded Pass: awarded when you have otherwise reached an acceptable standard in the
programme but have narrowly failed one course, thus affecting your ability to complete the
        qualification.
 Conditional Pass: awarded when you have marginally failed to meet the required academic
standard but in all other aspects have demonstrated an ability to meet it.
 Restricted Pass: awarded when you have marginally failed to meet the required academic
standard for the course and, if awarded, does not qualify you to enrol in a subsequent
course/programme for which a pass in the original course is a pre-requisite.

If you are interested in requesting a Special Pass, contact your lecturer. Programme curriculum
regulations and other conditions may apply.

Academic Appeals
The academic appeals process is outlined in Part IX of the Academic Statute.

Inability to Meet Programme Requirements
Under certain circumstances, an individual study contract may be drawn up to encourage you to meet
programme requirements. Any failure to meet this contract may result in you being asked to leave the
programme.

If you have a serious health problem or other personal circumstances that impact on your ability to
meet programme requirements, please inform your Lecturer.

Remember, if you are having difficulties with your programme there are ways UCOL can help you. If
you do decide to withdraw, you must complete a Change of Circumstances Form. These can be
obtained from the Information Centre.

Appendix 5 – Standards of Conduct
Standards of Conduct for Work Experience Placements

NZ Certificate in Animal Technology students are expected to read and abide by the following standards
at all times.
As representatives of the animal technology programme, students shall conduct themselves in a
professional manner and follow instructions given to them by the person(s) in charge of the work
experience establishment.
The following behaviour is expected:
1. Clean and neat appearance. Standard clinical uniform is to be worn.
(NB. except as directed by animal technology placements).
2. UCOL ID Cards must be visible at all times (as appropriate).
3. Punctuality, courtesy and respect at all times.
4. Obey the rules of the establishment, eg. smoking and/or eating on the premises.
Take only official lunch and tea breaks. Provide your own meals and refreshments.
5. Confidentiality: it is important to remember that most of these establishments are businesses and
your behaviour must not jeopardise the establishment, animals or persons involved in any way.
6. Your conduct should be such that it will not jeopardise the chances of future students using that
      particular establishment.
7. No task should be undertaken without prior direction from experienced staff. However,
commitment and initiative are expected. Students must ask for clarification from the owner,
clinician or veterinary nurse if instructions are not clearly understood. Any other course of action
may have severe repercussions on the welfare and treatment of the animals.
No person not trained in handling of aggressive or fractious animals should be involved in the
handling of said animal and no task undertaken without prior direction from experienced staff.
8. ASK if you are not sure about how to undertake a task. Only continue a task if you are completely
      sure of the procedure.
Follow the established workplace protocols. If you have concerns about these ensure your
questions are asked at a convenient time and not in the public eye.
9. If unlucky, you may encounter problems or concerns with regard to the people, protocols or
practices at your workplace. If this occurs you must keep yourself safe and as soon as practicable
contact Heather Grady, the Programme Co-ordinator at UCOL, telephone (06) 952-7001 extension
70806 or 021 210 9859. The placement may be mutually terminated at any time should the
arrangement turn out to be unworkable.
10. The supervisor for your placement is expected to assess you. Examples of the assessment forms
    are available.
A signed copy of these standards of conduct will be kept on personal file.

I have read and understood the Standards of Conduct and will abide by them at all times

Appendix 6 – Student Safety While Handling Animals
Student Safety While Handling Animals

Specific information will be given to you as you proceed through your training. The information in
Applied Safety and Anatomy for Veterinary Nursing Practice and Animal Behaviour, Handling and
Nutrition will become most relevant.
It is appropriate to make you aware that handling animals is sometimes dangerous, and you are
required to sign this document to indicate your appreciation of this situation.

1. All animals can be potentially harmful and handling animals is sometimes precarious. You must
take the time to approach and talk to each animal before handling it.
2. No person not trained in handling of aggressive or fractious animals should be involved in the
handling of said animal and no task undertaken without prior direction from experienced staff.
3. Closed footwear must be worn on all 'animal' work experience placements.

4. Talk to the animals while you move or handle them so they are constantly aware of your presence
and position. By acting like this, your movements or contact will not surprise them or be less likely
      to surprise the animal concerned.

4. Your tetanus vaccination needs to be up to date.

6. If a student on work placement contracts a contagious disease, then the student must immediately
inform both the supervisor of the work experience establishment and the Programme Leader at
UCOL and obtain medical treatment. The student will return to the clinical placement only after
consultation with the Programme Leader. A UCOL incident report must be and Animal Behaviour,
      Handling and Nutrition

7. If a student is bitten or badly scratched, the wound should be immediately scrubbed with surgical
disinfectant and water. Such an injury must be reported to both the supervisor and Leader. A
UCOL incident report must be completed, and a work experience establishment accident form if
      applicable to that establishment.

Students must also be aware that accidents/incidents can occur while on work experience.

Students must comply with local work experience establishment OSH requirements. Should any
accident or incident that could cause harm occur while you are on work experience you must notify
both your supervisor and the Programme Leader. A UCOL incident report must be completed.

I acknowledge that danger exists when handling animals and understand that no animal is to be handled
without prior instruction from either the lecturer, workplace establishment supervisor or Animal Care
facility Staff.

I also acknowledge that I will notify the Programme Leader should an accident/incident occur as soon
as is practicable.
