Finance Division Update

Budgeting Bonanza

The 2022 budget season is well underway. Finance
staff have entered all of the approved budget
worksheet data and are currently reviewing inputs
with Chiefs and supervisors.

We expect to have the initial draft budget prepared for managerial review by mid-
September. The final budget is on schedule for adoption by the Board of Commissioners in
December. The full 2022-budget calendar is available on SharePoint.

                   Onsite Training

Operative IQ is the district’s inventory and asset management software. Implemented at
CKFR in 2019, we also use the software for narcotics tracking, fleet maintenance and
service desk tickets.

As the district prepares to partner with South Kitsap Fire and Rescue for procurement of
EMS supplies, we are bringing Operative IQ trainers on-site in late September to help us
build on the foundational processes we’ve established so far to ensure we are using the
program to its maximum potential. Key members of this team participating in this training
are Pat Busby, Joe Calkins, Eric Chamberlain, Joe Eberle, Amy Sanchez, Trevor Stanley, and
Jeff Wright.

S: Drive Reorganization

Users of the network S: drive will
notice a change in the near future.
 IT and Finance staff are
collaborating in an effort to
reorganize the S: drive to make it
easier to find and save files.

Limited testing of the new format is
underway and more information on
a “go live” date will be coming soon.

Fixed Asset and Station Inventories

The district has a duty to ensure its assets are protected and is required to establish and
maintain a tracking system for those assets. CKFR staff continue to make great strides in
its fixed asset and inventory program, and what began as inventory spot-checks in 2019
has now expanded to full station inventories. Staff recently completed inventories of
Stations 41 and 45 and a schedule of upcoming department level inventories is available on
SharePoint. The fixed asset and inventory team include Amy Sanchez, Joe Calkins and Pat
Busby.

Payroll, Purchasing and Other Reminders

               A note from Heidi:

               All payroll changes and reimbursement requests are due to payroll by the
               12th day of the month. Approved blue-slips and purchase orders must be
               turned in to Heidi by 1400 (2:00p.m.) the Monday before the Board of
               Commissioner’s meeting in order to be processed and paid.

               And Joe wants you to know….

               Just a friendly reminder from your neighborhood purchasing agent to please
               get your year-end purchases in ASAP so they will make the 2021 budget
               deadline. Please keep in mind we will also need to receive the items and
               invoice before the deadline dates below in order to be able to process it in
               time for the 2021 Budget deadline. Note that there are manufacturer delays
               and longer delivery times due to COVID-19, so please plan accordingly.
