Dear Leaders

Girl Guide Biscuits 2019

Thank you for joining the many Guiding Districts around
Australia who are taking part in the 2019 Girl Guide Biscuit
campaign. For many Districts this campaign is critical to
support their fundraising efforts.

Our range is back, packaged a little differently, but still tasting
the same ready for you to be creative with your marketing. It is
an excellent opportunity for you to arrange local events to sell
biscuits while showcasing what Guiding offers.

I am sure you will find the information in this Biscuit Kit
useful to help you make the 2019 Girl Guide Biscuit Campaign
successful as well as some hints on how to sell as many biscuits
as possible. I encourage you to involve the Guides in the District
in your Biscuit selling activities to build their entrepreneurial
skills.

entrepreneurial skills of our Guides in our social media.

Our Biscuit Range for 2019

Traditional Vanilla Biscuits

$3.50 RRP

                                                     Our Traditional classic vanilla biscuit, a long-time favourite of all
                                                     Girl Guide biscuit lovers. A crispy sweet – but not too sweet –
                                                     biscuit ideal for morning or afternoon tea. Great to use in cooking
                                                     and especially in our Girl Guide recipes.

Each packet has 230g of classic vanilla biscuits and there are 20 packets in a carton.

Mini Choc Chip Biscuits

$3.50 RRP

                            Our Mini Choc Chip biscuits are 20% chocolate chips and make the perfect bite sized
                            treat. With each crunchy bite, you taste the rich chocolate chips as they melt in your
                            mouth. A delicious snack to satisfy your sweet tooth!

                            Each box has 200g of mini choc chip biscuits so there are plenty to share with your family
                            and friends.

Buttery Shortbread (Gluten Free)

                                           A delicious butter shortbread with the benefit of being Gluten Free – it just
                                           melts in the mouth! Popular with all shortbread fans so perfect for all
                                           family and friends including those who are gluten-intolerant.

State Biscuit Coordinators can check the quantity of cartons ordered and the contacts given i.e. who receives the
order and the address to where the order will be delivered.

State Biscuit Coordinators are unable to make any changes to these details. Changes can be made once TOLL has
sent an initial SMS or email to the contact listed.

All queries regarding actual delivery dates and times can only be answered through the TOLL system – not by your
State Biscuit Coordinator - once an SMS from TOLL has been received by the Unit’s delivery contact.

Please see the booklet ‘How To Track Your Girl Guide Biscuit Order’ for a comprehensive guide on how your order
will be delivered by TOLL and who to contact if any issues occur during the delivery process.

Girl Guide Biscuit Key Dates

The following is an overview of the key dates for our biscuit campaign. Please see the booklet ‘How To Track
Your Girl Guide Biscuit Order’ for a comprehensive guide to the delivery process.

* The delivery dates are indicative as advised by MBC and are subject to change. Please note TOLL may
commence deliveries earlier than the scheduled date but will notify order recipients via SMS (or email)
once the orders have reached the local TOLL hub and next when the order is due for delivery.

** This year there is no designated day for biscuit sales, we have May as our designated biscuit month. It is hoped
that designating a month rather than a day will allow more flexibility for biscuit sales.

Best Before Dates for Girl Guide Biscuits

The expected best before dates for each product are:

        Mini Chocolate Chip Biscuits             17/10/2019 to 23/11/2019
        Gluten Free Shortbreads                  16/10/2019 to 26/10/2019
        Traditional Vanilla Biscuits              2/12/2019 to 14/01/2019

There is a range of Best Before Dates due to production being done over a time frame so please check the packet to
confirm the Best Before Date for your biscuits.

Please note that the butter and chocolate chips in the Butter Shortbread (GF) and Mini Choc Chip biscuits
respectively, are the reasons for the shorter shelf life compared to the Traditional vanilla biscuits.

Delivery Procedures 2019

Detailed information on Girl Guide biscuit deliveries including how to change delivery addresses and
dates can be found in the “Tracking Your Biscuit Order” (2019 version).

Delivery Process
The delivery procedures for biscuit orders will be similar to the process for 2018. The individual orders
will be packed into State deliveries and taken from MBC, our manufacturer, to the nearest Toll hub for
distribution to Toll’s regional depots.
As each State delivery leaves the manufacturer, an email will be sent to the respective State Biscuit
Coordinator to advise that their State orders have been despatched from MBC and have been collected by
Toll. Once the orders have left the manufacturer all queries regarding deliveries must be directed to Toll.
On receipt into the Toll hub, Toll will send a message to the mobile number provided (or email if no mobile
number given) for the order with a tracking (consignment) number and an expected delivery date. At this
stage delivery options can be changed using Toll’s online system.
Once the order has left the regional Toll hub for delivery a second message will be sent with the expected
delivery date and time. At this stage delivery options can be changed using Toll’s online system.
If no-one is on hand to accept the biscuit order, a card left delivery text or email will be sent. An
alternative delivery option can be organised using the Toll online system.
If the delivery is delayed, a text or email will be sent and the delivery will be rescheduled for the next day.

MBC have confirmed that the delivery company will take away the pallets if required.

Issues
During delivery: If you have an issue regarding your delivery that cannot be solved using Toll’s online
system MyToll.com, please contact a Toll customer service representative on 1300 865 547 and press
Option 2.

Post-delivery: For all issues once you have received your order please contact the customer service
department at MBC via email Customer.Service@modernbaking.com.au stating the delivery name, address
and mobile phone number given in the original order, details of the problem and include images of any
damaged or faulty products. Please ensure that you copy your State Biscuit Coordinator into all emails that
you send to MBC.

PR Campaign
LBPR are the PR agency who ran our award-winning PR campaign in 2018 and they have been re-appointed
to assist us in promoting our 2019 Girl Guide Biscuit campaign. The aims of our PR campaign are to assist
Guides in selling biscuits by promoting the biscuits, raise the profile of Girl Guides in the media and build
brand awareness on a national basis.

The PR campaign will use editorial, digital and social media elements to motivate target audiences to buy
biscuits. Media will be targeted with individual messages and campaign materials will be tailored to suit
media outlets and location. A spokesperson is provided by each State Organisation to be the contact
person for all media opportunities. LBPR will provide a dedicated email address for media contact.

LBPR produce a mega media pack to cover media at national, regional and local levels. Part of the media
pack includes a DIY PR kit for use by Leaders in their communities.

Campaign theme for 2019 is …

                          EMPOWERING GIRLS AND YOUNG WOMEN

To create awareness and promote engagement in our fundraising campaign, we focusing on how Guiding
empowers girls and young women and we are showcasing Guides who are wonderful examples of the
benefit of Guiding in personal lives and careers.

Local PR Media
What is local PR?
Local PR is any activity designed to raise the profile of your Girl Guide Unit with journalists in your area, and
therefore the local community.

The purpose of a dedicated local PR campaign is to secure on-message editorial (free) media coverage in
your local media – whether it’s a newspaper, radio station, TV station or website.
Securing coverage where your Girl Guide Unit is located geographically is invaluable – it will help raise your
profile, build an interested audience and ultimately, sell lots of biscuits!

Campaign Resources Overview
Local PR Media Kit
A tailored Media Kit designed to assist you in generating local
editorial media coverage is available online in the Leaders’
password protected section. It will include the following
elements:

   •   A media release template
   •   A photo call opportunity alert template
   •   A tailored local media database
   •   “How to” factsheets to help you engage with journalists
       and secure media coverage including template email
       pitches, when to call/what to say, managing media
       requests, how to interview well, and how to speak to
       journalists.

Social Media Campaign Kit

The Social Media campaign will focus on empowering girls and young women. A Social Media Strategy is
being devised by LBPR in conjunction with GGA for use on all Guiding Social Media platforms. This will
ensure the messages being promoted by National and State Social Media channels are consistent and in
line with the PR objectives. A Social Media Resource Kit with suggested posts and images will be produced
for Guides to use on their own Unit pages, groups or personal profiles. This will be available on the Leaders
(password protected) section of the GGA website.

Our hashtag for this campaign #MoreThanABiscuit represents that our biscuits are more than a tasty treat.
It highlights that funds raised from biscuit sales go towards providing opportunities and activities to girls
and young women. Followers will be asked to promote and share our hashtag #MoreThanABiscuit.

Hints and Tips for Biscuit Sales

Use the new resources for the 2019 Empowering Girls and Young Women campaign

For 2019 the Girl Guide Biscuit Campaign Kits for Leaders have been updated to this year’s theme:

                                “empowering girls and young women”

In the Sales Resource Kit there is a range of promotional material to help with sales. The kit includes
different sized biscuit posters for use on stalls and for display on noticeboards, flyers to hand out and to
pop in letterboxes including sorry we missed you calling cards, a pre-order form, a record sheet to list all
your sales, thank you notes and recipes. Also included are a letter template to parents/caregivers asking
for their support and a request email template to hold a biscuit stall.

In the PR kit there will be advice on how to contact the media, a template to do a press release and a photo
call along with a media database tailored to your region.

In the Social Media Kit there will be images to use and content to put in your posts along with a suggested
posting calendar. Please use or adapt the suggested Social Media posts to promote your sales on
Facebook, Instagram and Twitter – don’t forget to use the campaign hashtag.

Get the support of your Guides’ parents and care givers

Send out a letter to your parents (there’s a template in the resource kit) explaining why Girl Guides sell
biscuits and why it is so important for their daughters to take part. Let them know how we sell Girl Guide
biscuits, what the Guides learn and advise them how they can support their daughter in selling biscuits.
Get parents involved! Ask them for their ideas on how we can increase our sales and how they would be
keen to help. Remind them that the funds raised go directly towards their daughter’s involvement in
Guiding.

Plan your Biscuit Sales

Get ready to sell your biscuits by finding out from your Guides in advance what dates they are available to
run a stall. Ask for suggestions from your Guides and parents as to where they think the best places are
for selling biscuits.

Book Your Biscuit Stalls or Sales Visits
There are many different places who you can contact requesting to hold a biscuit stall or to walk around
selling biscuits. Ask your local shopping centres, sporting organisations, schools/colleges, local councils,
retirement villages, churches and Bunnings stores with a request to sell biscuits at their venue as soon as
you can. On pages 14 – 15 of this guide there is a national listing of all Bunnings stores. Start planning
your biscuit stall(s) before your biscuits are delivered.

Biscuit Sales Helpers
Write up a roster which outlines the number of Guides, Leaders and adults which you need to man the
biscuit stall at what time. Ask your Unit’s parents and helpers to let you know the times they can help –
there is a template request form in the resource kit to send out if you wish - and confirm the time with
each parent using the ‘Volunteer Time Confirmation’ note.

Promote Your Biscuit Stall – Locally, on GGA Website and on Social Media Platforms
Stick up posters on local noticeboards and in shopping centres. Spread the word on your Social Media
pages and groups. And do not forget to let everyone in Guides know about your sales by contacting your
National Office on communications@girlguides.org.au and emailing your State Office of where and when
you will be selling – we can post on our Social Media platforms and on our Girl Guide Biscuit website.
Hand out flyers to local businesses and do letter box drops. This will allow you to advertise the times and
venues of your Biscuits Stalls so that potential buyers will know where they can find you!

Stall Resources
Write up a check list – or use the check list templates (in Word and pdf form) part of the Sales Resource Kit
- of what you will need to run your stall e.g. table, chairs, table cloths, promotional materials and biscuits of
course! The week prior to holding your biscuit stall ensure you have printed out the resources you need
such as posters, biscuit tent cards, sales record sheet and thank you slips. In the days leading up to the
stall make sure you have organised a float, have a calculator and pens. If you are going to be doing biscuit
tastings make sure you have plates and plastic gloves to handle the biscuits when you break or cut them
into sample sizes.

On the Day
Make sure everyone knows how the stall operates and what will need doing during the sales time. Give
your Guides some hints on how to promote the biscuits and how to present a friendly face to potential
customer. Give your Guides and helpers a briefing on how you would like them to assist in running the
stall. Guides may prefer to be given specific tasks for example one Guide could be offering biscuit samples
to taste, another could be looking after the stock and display, another could be taking the payment and
another writing down the sale.

Sales to Local Businesses

Selling biscuits to local businesses is a great way to increase sales and to raise your profile in the
community. Approaching a business in person is often the best way to get sales – have your answers ready
for any queries about Girl Guide biscuits and why you are fundraising. Many local service businesses will
consider buying a few packets or maybe even a carton of biscuits to give to staff or clients whilst showing
support of their local Girl Guides unit. Promote the fact that this is an original way to thank their clients
whilst helping their local Guides reach their goals. Businesses you could contact include real estate
agents, home builders, mechanics, car showrooms, tradespeople, accountants, financial advisers,
landscapers, cleaners etc … any business that focuses on repeat trade.

Promoting Guides in your Local Community

Having a biscuit stall can be a great way to engage with your local community and offers you the
opportunity to promote the benefits of Girl Guides and how girls can become involved in local units. Make
sure that you have information on Girl Guides, what we do and how to join, and contact numbers including
that of your State Office. The Thank You slips provide a space for you to write down your unit and contact
details.

What is the Girl Guide biscuit range for 2019?
In 2019 we have three biscuits:
 • the Traditional biscuit … a classical vanilla biscuit with the GGA Trefoil
 • the Mini Choc Chip … a bite sized crunchy biscuit filled with real chocolate chips in a snack size
 • the Buttery Shortbread (Gluten Free) … a rich butter flavourand is gluten free.

What are the recommended retail prices for the biscuits?
  • Traditional biscuit $3.50
  • Mini Choc Chip biscuit $3.50
  • Buttery Shortbread (Gluten Free) biscuit $4.00

Are Girl Guide biscuits suitable for people with allergies?
Our Girl Guide biscuits are produced in a factory that is free from peanuts and sesame, so all our
biscuits are safe for people with these allergies. The new gluten-free biscuits are produced using
processes that ensure that they are safe for coeliacs. Allergens that are present in the factory
include other tree nuts, milk, egg and soy, and as such these are potential cross-contact allergens
that may be present in trace amounts in the biscuits.

How long do the biscuits keep?
The biscuits keep for several months from production. Best before dates are printed on the packets.

Who manufacturers Girl Guide biscuits?
Girl Guide biscuits are manufactured by Modern Baking Company who are based in Melbourne’s
Broadmeadows. They employ more than 170 staff and produce a variety of grocery products
including ANZAC biscuits raising funds for the RSL’s many community programs. MBC is a values-
driven organisation. Staff at all levels are encouraged to live by the core values of Integrity,
Empowerment, Respect, Teamwork, Courage and Innovation.

Modern Baking Company Certification
MBC complies with current versions of the HACCP Guidelines and SQF 2000 System – General Food
Processing – Level 3, as well as all applicable Act and Regulations for food safety in the countries in
which we operate. The food safety and quality policies and procedures at MBC are based on these
codes and industry best practice, and are consistently reviewed as part of their ongoing quality
management processes.

Why do Girl Guides sell biscuits?
Girl Guide biscuits are sold once a year to fundraise for Girl Guide units and to promote awareness
of Girl Guides in Australia. The biscuits are considered to be a treat and to be enjoyed in
moderation.
