Please note that the graduation portal will close on Friday 1 June 2018 at
10:00am (GMT). After 1 June, you will no longer be able to register for the
graduation ceremony and this will mean that Academic Services will post out
your certificate to you after the ceremonies have taken place. If you want to
attend your graduation ceremony, then please make sure you register by 1
June.

1. INTRODUCTION

Important information for July 2018 graduands – please read carefully

Dear graduand,

This booklet provides all the information you need to know to ensure that your
graduation, if you are eligible, goes as smoothly as possible and is a day to remember
for you, your family and your friends.

Please read through this booklet carefully to make sure that you understand what is
required of you and keep it safe for future reference.

It is essential that you complete your graduation registration online using My Aston
Portal (MAP). The deadline for registration is Friday 1 June 2018, the deadline
cannot be extended.

A special place for a special occasion!

We are delighted to inform you that the graduation ceremonies take place at the
Town Hall Birmingham, with robing, official photography, hospitality and prize giving
taking place on the Aston University campus.

The Town Hall Birmingham is the perfect setting in which to celebrate the
achievements of our graduands. Dominating the city centre’s Victoria and
Chamberlain Squares, the Town Hall Birmingham has been a hub of civic and
cultural life in the city for more than 180 years.

We hope you’ll be as excited as we are to be at the Town Hall Birmingham and we
look forward to seeing you there!

      Order your robes from Ede & Ravenscroft at www.gownhire.co.uk
       Please note that academic robes are significantly cheaper when booked in
       advance of your graduation. You will pay more if you order on the day.
      Order your pre-ceremony photography from Ede & Ravenscroft at
       www.gownhire.co.uk if you so wish. However, this is not essential as you can book
       photography on the day of your graduation (taking place in the Great Hall).

NB : You will see a link on the Ede & Ravenscroft website for guest tickets. However,
this link is not applicable to Aston University graduands. You will need to order all
guest tickets (free and paid for) with the Town Hall Birmingham Box Office.

The graduation team will email you with further information of how to book your two free
guest tickets after the online graduation registration has closed. You will need a
promotional code in order to obtain your two free guest tickets. Your code is listed
below with the date you can book your two free guest tickets. You will be able to book the
tickets online through the Town Hall Birmingham Box Office website or over the phone or by
personal visit to the Symphony Hall, Broad Street Box Office.

Dates when your two free guest tickets are available are detailed below. However, please
note that you will NOT be able to obtain any additional paid for tickets until a further date
(additional tickets are never guaranteed and are always allocated on a first come, first
served basis. All graduands will be emailed at the same time if additional tickets do become
available).

If you do manage to book additional paid for guest tickets, the graduation office will
void these tickets (and we email you to tell you what we have done). We receive daily
updates from the Town Hall Birmingham Box Office with ticket information and we
monitor all bookings closely to ensure that all graduands are given the same
opportunities regarding guest tickets.

The graduation office will email you the link to book your two free guest tickets online
through the Town Hall Birmingham website, alternatively you can book your two free
guest tickets over the phone on the dates above by calling The Town Hall
Birmingham Box Office on +44 (0) 121 780 3333, during the following ;

Monday to Saturday – 10:00 until 18:00 (GMT)
Sunday – 12:00 until 16:00 (GMT)

Please note you do not require a ticket for yourself as your seat is
automatically reserved when your register your attendance through MAP.

DENOTING ON THE GRADUATION PORTAL THAT YOU WILL WOULD LIKE
TWO FREE GUEST TICKETS IS NOT THE SAME AS BOOKING THE GUEST
TICKETS. If you do NOT book your two free guest tickets from the Town Hall
Birmingham Box Office, then no guest tickets will be allocated to you.

Please do not attempt to order your guest tickets before the dates given above
as they will NOT be available.

4. HOW TO REGISTER FOR GRADUATION

Your School has informed Academic Services that you are expected to complete your
degree programme and to graduate in July 2018.

However, please note that you should not take the online registration to mean that you
have successfully completed your programme of study. If you are in any doubt about
your eligibility to graduate, please contact your School.

You can register online from 10.00am (GMT) on Monday 14 May 2018.

Please register for your graduation by the deadline of Friday 1 June 2018, even
if you wish your degree to be conferred in your absence or deferred to a future
ceremony.

Simply login to MAP and follow the link to graduation registration task. Once
successfully logged into the system, you will be presented with a link to begin
registration. You will need your Aston username and password to gain access.
However, graduands who have debts with the University exceeding £1000 will NOT be
able to register and are advised to access Aston University-Finance and clear the debt
without delay.

If you change your address after you have registered, you can update via MAP at any
time. If you do have any concerns or in doubt, please contact the Graduation Office
via email graduation@aston.ac.uk

Please note that the name on the University database is what will appear on your
degree certificate. If this is incorrect you must supply evidence, e.g. birth or marriage
certificate, deed poll to Academic Services as soon as possible via email
reg_studentrecords@aston.ac.uk A scanned copy will suffice. We cannot omit middle
names or use initials etc. We have to use your full name.

Postgraduate students
If you are on a taught Master’s course, your final exam board should have met in
sufficient time for you to graduate in July. Research postgraduates should have
submitted their final bound thesis to their School Research Office by Friday 8 June
2018.

    5. OUTSTANDING DEBTS

Your degree will NOT be awarded if you owe money or library books to the University.
All financial commitments must be cleared and all books returned by Friday 8 June
2018 regardless of the return date marked in the book. Students funded by employers
or other external bodies must make sure that their sponsor pays any amount due by
this date.

6. GUEST TICKETS

The Town Hall Birmingham Box Office deals with ALL guest tickets, therefore if you
fail to contact the Box Office then no guest tickets will be allocated to you. Please do
not contact the Graduation Office about guest tickets as we cannot help you.

Q - How many tickets do I get?

A - Each graduand is guaranteed two free guest tickets for their ceremony. Please
note that you do not require a ticket for yourself as your seat is automatically allocated
once you have registered via MAP to attend your ceremony. Please be aware a
postage fee will be charged on all ticket bookings. Alternatively you can obtain your
two free guest tickets in person from Symphony Hall Box Office, Broad Street,
Birmingham.

Question - How do I book my two free guest tickets?

A - Your two free guest tickets will need to be booked via the Town Hall Birmingham
Box Office. Ticketing information for the July 2018 graduation ceremonies is in the
table above.

Tickets will be available to book online (you will need to set up an online account with
the Town Hall Birmingham Box Office first), over the phone or in person (if booking in
person, you will need to visit the Box Office at Symphony Hall, Broad Street,
Birmingham).

Please note: you will need a promotional code to obtain your two free guest tickets
when booking online or via the telephone. The code is listed in the table above.

PLEASE DO NOT ATTEMPT TO BOOK MORE THAN YOUR TWO FREE GUEST
TICKETS. THE GRADUATION OFFICE MONITORS ALL TICKET BOOKINGS ON A
DAILY BASIS (INFORMATION SUPPLIED BY THE BOX OFFICE). WE WILL VOID
ALL ADDITIONAL TICKETS THAT ARE BOOKED OVER AND ABOVE THE TWO
TICKET ALLOCATION!

Please do not try to book your two free guest tickets any earlier than your designated
date (please see table above) as they will not be available.

Further information about how to book your tickets will be provided by email by the
graduation team closer to the time. Please note that the Town Hall Birmingham
Box Office deals with ALL guest tickets. If you do not book your two free guest
tickets with the Box Office, then no guest tickets will be allocated to you.

Question - Are additional tickets available?

Answer - Seating in the Town Hall Birmingham auditorium is limited, therefore
additional (paid) tickets cannot be guaranteed. Any additional tickets will be made
available once all graduands have had the opportunity to book their two free guest
tickets.

Additional paid tickets are limited initially to two per graduand and are sold on a first-
come, first-served basis. The graduation office will email all graduands at the same
time should additional tickets become available.
NB

NB: The number of graduands differs for each ceremony. This may mean that
some graduands may be able to obtain additional guest tickets, whilst others
may not.

Additional guest tickets (if available) will be charged at £20.00 each (plus a
transaction charge of £1.50 made by the Box Office). The graduation office will
email you should additional tickets become available (with a date when to book
them). The maximum additional tickets you will be able to obtain will be limited to
two.

Guest tickets are not transferable and cannot be sold or passed on to a third party.
Should you no longer require any of your guest tickets please return them to the Box
Office so they can be reallocated.

There is strictly no admission to the Town Hall Birmingham auditorium without a guest
ticket. Please also be aware that there are no overflow facilities (the ceremonies are
not filmed or web streamed).

If you have any guests travelling from overseas, please do not book flights or hotels
before securing all of your guest tickets. The University cannot be held responsible
for any costs incurred by yourself or your guests.

The Box Office provides the University with ticket booking information and all bookings
are carefully monitored. Any additional guest tickets obtained without permission will
be voided by the Graduation Office, this is not debatable.

Question - When will I receive my guest tickets?

Answer - Guest tickets will be either be posted to you or available for collection from
Symphony Hall Box Office, Broad Street, Birmingham. When booking your tickets, if
you are a UK graduand and wish to have them posted to you, you will have to select
this option.

Unfortunately, the Town Hall Box Office does not post any tickets overseas, so your
tickets will be available for you to collect from the Town Hall Birmingham on your
graduation day.

Question - What if my guests are bringing children?

Answer - Children under the age of seven years will not be admitted into the Town
Hall Birmingham auditorium (with or without a ticket) as these ceremonies are not
suitable for young children. Any guest above the age of seven will require a guest ticket
to enter the Hall. To ensure the safety of all guests, in no circumstances can a child be
seated on a guest’s knee. Any guest under the age of 16 must be accompanied by an
adult.

The University Nursery may be able to help you with childcare on the day. Further
information about the University Nursery and Day Care Centre can be found on page
15 of this booklet. Please note that places cannot be guaranteed and are limited in
number.

Question - What if I am planning to attend my ceremony without any guests?

Answer - If you are planning to attend your ceremony without any guests then you
do not need to contact the Town Hall Birmingham Box Office at all. As a graduand -
your seat is already allocated by the University.

7. VISA INFORMATION FOR YOU AND YOUR GUESTS

Visa information for you

If you are an Aston student and from outside the European Economic Area (EEA) or
Switzerland, you may require a visa to attend graduation.

Students who are overseas and have an existing valid Tier 4 general visa may incur
difficulty upon entry into the UK. You may be refused entry as your course has
officially ended.

If you have left the UK and wish to come back for graduation or for a short holiday,
then it is recommended that you apply for a Standard Visitor Visa.

You must apply for a Standard Visitor Visa from outside the UK. It is not possible to
switch in to this category from within the UK.

Question - How do I apply?

Answer - For full information about Standard Visitor Visas, including how to apply,
please visit the UK Government website.

Question - How do I get a letter to confirm the date of my graduation?

Answer - If you would like to discuss this option in further detail please email an
International student adviser.

Visa information for your guests

For your overseas guests to come to the UK to attend your graduation ceremony, they
do not require an official invite letter from the University.

You should write a short invitation letter. The invitation letter should include your name,
their name and confirmation of your relationship with them and the reason you are
inviting them to come to the UK. There is a sample invitation letter on the University
website at the link given below.

You can also give them a letter from the University which confirms you are a registered
student and when you are expected to graduate. This is the same letter you would
use for your application and can be requested via MAP for collection from The Hub or
can be sent to you by post. For details on how to get this letter please visit our visa
page here.

You should also give your guests a photocopy of your passport, including the
photograph page and your current or most recent student visa. Do not give your
original passport to your guests for their application.

     8. CONFERMENT IN-ABSENTIA

If you DO NOT wish to attend the July 2018 ceremony (or any future ceremony), your
degree can be awarded in-absentia. Please register via the graduation task on MAP
and choose ‘in-absentia’ by Friday 1 June 2018. Once conferred at the ceremony,
your degree certificate will be posted the week following the July 2018 ceremony to
the address shown on your MAP record, unless you advise us otherwise. Postal
delivery can take up to four weeks for overseas graduates.

If you wish to be awarded in-absentia, it is not possible for your certificate to be
sent out in advance of the ceremony. It has to be validated by the Chancellor or
designated representative at the ceremony.

If you are an overseas graduate, you may wish to send an address label in your
native language, including your Student University Number via email to:
reg_studentrecords@aston.ac.uk

Deltec Courier Service

We can also offer you expedited delivery of your certificate using Deltec International
Limited at a cost of £50.00. We highly recommend this service if you are living
overseas, as it is quicker and gives you the option to get detailed tracking information
on the delivery progress of your certificate.

To make use of this service, please go to the Deltec online store link

When making payment, please ensure you quote your nine digit student number and
state that the payment is for Deltec Registry Certificate Posting.

Do not book a courier delivery for your certificate until your School has confirmed
your award.

If you have selected to receive your certificate by Deltec, payment must be made by
Monday 9 July 2018 otherwise your choice will be reverted to our standard Royal
Mail Service. We advise all students to request a receipt from Cashiers when
making payment and then to forward your receipt to graduation@aston.ac.uk

Collection of certificates

Alternatively, you may arrange collection of your certificate from The Hub in the Main
Building from Wednesday 25 July onwards. The Hub opening times are 10:00-15:00.
If you elect another person to collect the certificate for you, they must have signed
authorisation from you and they must show their identification and authorisation letter
when they collect the certificate on your behalf. Please see wording below for your
certificate collection letter:

     9. DEFERRING OF CONFERMENT

If you cannot attend your graduation ceremony in July 2018, but still wish to receive
your degree in person, you may defer and attend a future ceremony. However, please
note that you can only defer your ceremony once. Note if you take this option you will
not receive your degree certificate until your award has been conferred at the future
graduation ceremony. Please register via the graduation task on MAP and choose
‘deferment’ by Friday 1 June 2018 (otherwise we cannot defer you)>

Question - I’m not sure if I’ll be able to graduate in July 2018?

Answer - If you are in doubt as to whether you will graduate in July 2018, you must
still register by the deadline of Friday 1 June 2018. It is possible for us to withdraw
you from a ceremony if you subsequently cannot attend, but will NOT be able to include
you in the ceremony after the registration closing date of Friday 1 June 2018 has
gone.

Please note that any graduands who have not responded by the deadline will
automatically be sent an ‘in-absentia’ email from the graduation office as we will
assume you do not wish to attend the ceremony.

10. GRADUANDS AND GUESTS WITH DISABILITIES

Please let us know if you or any of your guests have a disability or mobility issue and
we will do all that we can to ensure that your day runs as smoothly as possible.

Please inform us by stating your special requirements onto MAP when you register
online and or by emailing graduation@aston.ac.uk by the deadline of Friday 1 June.

If you or your guests require disabled car parking on the University campus (a blue
badge registration number will be required), then please email the graduation office at
graduation@aston.ac.uk with your request, stating the make and model of the car,
registration number and blue badge number.
Please note that there are no disabled car parking spaces at the Town Hall
Birmingham.

For all matters relating to accessible seating at the Town Hall, please contact the Town
Hall Box Office directly.

     11. CHILDREN

Children under the age of seven years old will not be admitted into the Town Hall
Birmingham auditorium (with or without a ticket) as these ceremonies are not
suitable for young children.

Aston University Nursery MAY be able to offer nursery facilities for a limited number
of children aged from five months to five years. For more details and to check
availability, please email nurseryenquiries@aston.ac.uk
or telephone 0121 204 4562. Places are NOT guaranteed and are limited in number.
You need to book in advance. Please DO NOT assume that places are
available.

     12. ACADEMIC ROBES

Ede & Ravenscroft are the official gown suppliers for Aston University. All gowns
should either be hired or purchased from Ede & Ravenscroft and not from any other
supplier.

Please make sure that you book your robes in advance of your ceremony, as
advanced bookings have discounted prices.

Hiring robes on your graduation day will increase the costs and may delay you

Before you order your robes, please ensure that you have the following ready:

The ceremonies are formal occasions and graduands should dress accordingly.
Smart attire is encouraged. We welcome national dress for international students and
military uniforms are also acceptable. Please contact the graduation@aston.ac.uk if
you have any more queries.

We also recommend that you wear shoes in which you will feel comfortable climbing
up/down steps and walking across a large stage.

Please note that guests are encouraged to dress smartly.

Top tip: It's a good idea to bring some safety pins for your gown and hairgrips may
be useful for your hat!

Please note that if you wear a turban, then this will exempt you from wearing an
official graduation cap. If you wear a head scarf, your graduation cap will go over the
top, but please measure your head with your scarf in place.

Collecting and returning your robe

In order to speed up the collection of your robe on the day of your graduation, please
print out or have available on your phone, your order confirmation email. Please
show this to a member of the robing team when you collect your robes on the day of
your ceremony.

Robes will be available from G63, Upper Ground Floor of Aston University’s Main
Building prior to the ceremony and can be collected from:

        07:30 (for the 10:30 ceremony)        08:00 (for the 11:00 ceremony)
        10:30 (for the 13:30 ceremony)        11:30 (for the 14:30 ceremony)
        13:30 (for the 16:30 ceremony)

Robes should be returned to the Ede & Ravenscroft representative on the same day,
to G63 by 19:00 at the latest.

Ede & Ravenscroft Photography will be at Aston University on the day and located in
The Great Hall, Upper Ground Floor of the Main Building from 07:30 to 18:30.

     14. CAR PARKING AND COACHES

Important!
There are currently extensive building works taking place around Birmingham City
Centre. This includes the redevelopment of Paradise Circus which will result in road
closures and diversion across the city. This will impact your journey time, both when
arriving at campus, as well as travelling to and from your graduation ceremony, so
please plan ahead and allow extra time. You can find out more information and the
most up to date closures at www.paradisebirmingham.co.uk/access.

Where possible, we would recommend that you and your visitors use public transport
to reach Aston.

Our graduation ceremonies are held at the Town Hall Birmingham. Robing,
photography and graduation hospitality are all provided on the University campus.

You will need to come to Aston University prior to your ceremony to collect your
robes. The University provides a free coach shuttle service for you and your guests
to and from the Town Hall Birmingham. We will also provide a bus with disabled access
to accommodate graduands and guests who require mobility access.

The coaches and bus will be situated on Coleshill Street, near to the lake on campus
and will take you to Cornwall Street (which is a short three minute walk away from the
Town Hall Birmingham). The coaches will pick you and your guests up after the
ceremony (at the same location that they dropped you off) and return you back to
campus.

There is no car parking on the University campus or at the Town Hall Birmingham for
graduands and guests on graduation day. Alternative parking may be found a few
minutes walk away at Millennium Point and in the city centre.

The University MAY be able to offer a few disabled car parking spaces on campus on
graduation day, however, we will require the make and model of your car, the car
registration number and a disabled badge registration number. Unfortunately, we are
unable to offer disabled car parking without the blue badge number.

Please note that there is no disabled car parking spaces at the Town Hall
Birmingham. If you obtain disabled car parking on campus then you and your
guests will need to be mobile enough to use the bus we provide on campus
which has mobility access.

15. CHECKPOINT

Please note that the University asks you to be at checkpoint (located at the Town
Hall Birmingham) an hour before your ceremony starts.

        9:30 (for the 10:30 ceremony)        10:00 (for the 11:00 ceremony)
        12:30 (for the 13:30 ceremony)       13:30 (for the 14:30 ceremony)
        15:30 (for the 16:30 ceremony)

This is to ensure that all procedures and paperwork are in place for your ceremony to
commence on time. If you are late for checkpoint, you may not be able to go through
your ceremony, as we cannot delay the ceremony to accommodate you, therefore
please be on time for checkpoint.

If your guests are running late, please do not wait for them as it may mean you could
be late for checkpoint. Guests need to be seated half an hour before the ceremony
starts.

     16. HOSPITALITY AND PRIZE GIVING

Aston University provide free hospitality and light refreshments on the Aston campus
after the ceremony for you and your guests. Hospitality will be in a marquee situated
by the lake on campus. School prize giving for all Schools also takes place in the
marquee.

Details of prize giving will be given to you on graduation day at the Town Hall
Birmingham. The graduation office will also email you before graduation day to
advise where you can pick up hospitality vouchers (for you and your guests) on
the day.

     17. OVERNIGHT ACCOMMODATION, CELEBRATION LUNCHES,
         AFTERNOON TEA AND DINING

Conference Aston, located within Aston Business School, will be serving celebration
lunches, afternoon tea, and celebration dinners. They also offer discounted
accommodation for you and your family.
