INTRODUCTION
This Student and Parent Handbook is a resource for both new and returning Sheboygan Area Youth
Symphony (SAYS) students and their parents. This Handbook compiles information that pertains to both
the Concert Orchestra and the Sinfonia, regarding SAYS policies, the roles and responsibilities of
everyone connected to SAYS, the benefits of being a member of the youth symphony, and the many
ways students and parents can help to strengthen the organization.

SAYS exists to provide a meaningful, enriching musical experience for Sheboygan area’s finest young
musicians. The Sheboygan Symphony Orchestra (SSO) Board of Directors developed the SAYS policies
with the best interests of the students in mind. We welcome you to the SAYS “team” and offer you best
wishes for an exciting and rewarding experience. We look forward to working with each of the SAYS
musicians and their parents in the upcoming season.

                                       HISTORY OF SAYS

SAYS was founded in 1982 by the Sheboygan Symphony Orchestra (SS0), under the leadership
and inspiration of co-conductors Debbie Williamson and Louis Schmidt. SAYS began its first
season with 35 middle and high school students. Since its founding, SAYS has been the only
professionally organized orchestral opportunity for Sheboygan area youth.

From its debut season, SAYS experienced growth in numbers and in musicianship. In 2012, the
SSO Board of Directors added a second orchestra, the Sinfonia, to the SAYS program. Sinfonia
began its first season as an 18 member string orchestra. Concert Orchestra, SAYS’ signature
ensemble, continued to offer students a full orchestral experience at the advanced level. In the
fall of 2014, Sinfonia expanded to include woodwinds, brass and percussion. Today, Sinfonia
delivers a high quality, full orchestral experience at the intermediate level.

The SSO continues to expand its youth programs in a greater effort to encourage young
musicians as they grow and develop in musical knowledge and performance skills. Today, over
100 students representing 17 area communities and 29 different schools, as well as
homeschooled musicians, perform in SAYS’ ensembles.

                                                  1
PURPOSE, GUIDING PRINCIPLES AND POLICIES

PURPOSE
The Sheboygan Symphony Orchestra (SSO) and the Sheboygan Area Youth Symphony (SAYS) will offer an
opportunity for young musicians from around Sheboygan and neighboring communities to perform with
a full, symphony orchestra. Musicians rehearse to enhance their own personal performing skills and
musicianship, allowing them to further benefit their school musical organizations.

GUIDING PRINCIPLES
   1. The size of each SAYS orchestra will be at the discretion of the SAYS conductors, but no larger
than the currently available rehearsal space can accommodate.
   2. Public and private school students are required to be active members of their respective
school’s band or orchestra program, if one is available for their instrument. Private lessons
outside the school program are strongly encouraged.
   3. Tuition and fee rate changes will be at the discretion of the SSO Board. An annual SAYS tuition
rate will be established each March for the following season. A recommendation will be made
to the SSO Board in February of each year by a committee consisting of:
          a. SAYS SSO Board Representative (Chair of committee)
          b. SAYS Parent Organization President
          c. SAYS Conductors
          d. SSO Education Committee Chair
          e. SSO President
          f. SSO Treasurer
          g. SSO Managing Director

season’s membership. Fall auditions may be held as well, at the discretion of the SAYS
      conductors.
                  • Members of each orchestra will remain with their orchestra for the entire
concert season. Sinfonia members wishing to move to Concert Orchestra may
re-audition at the next scheduled audition date for the following year.
                  • All current members of SAYS will re-audition in the spring of each season to
determine chair placement. As long as students are fulfilling their membership

                                                  2
requirements and performing at a level deemed appropriate by the conductors,

The Attendance Policy and Rehearsal Behavior Policy were developed and approved by the SSO Board of Directors
in consultation with the Sheboygan Area Youth Symphony Parent Organization (2008) and updated in 2013 and
2016.

SHEBOYGAN SYMPHONY ORCHESTRA YOUTH PERFORMERS POLICY

The Board of Directors of the Sheboygan Symphony Orchestra seeks to increase the integrity
and performance level of the symphony orchestra as well as increase the importance, value and vitality
of the Sheboygan Area Youth Symphony. Therefore, the following policy is adopted:

                                                      6
Normally, before being eligible to play in the Sheboygan Symphony Orchestra, students
auditioning and qualifying to play shall have graduated from high school or attained 18 years of age.
When and if exceptions are to be considered, the following factors are to be met by students
who have not yet graduated from high school or attained 18 years of age:
Any student seeking participation in the Sheboygan Symphony Orchestra shall, through
audition, demonstrate the ability, skill and maturity to perform consistently at a level commensurate
with the ability and skill sought by the Music Director for the orchestra and meets all the expectations
stated in the orchestra’s membership requirement documents.
The youth who qualifies to perform in the Sheboygan Symphony Orchestra shall be reviewed
throughout the performance season and shall annually be reviewed for skill and playing competency by
Music Director and members of the Performers Personnel Committee.
The youth who becomes a performer in the orchestra shall take private lessons (a minimum of
two [2] lessons per month) from a qualified teacher.
A qualified youth who chooses to perform in the Sheboygan Area Youth Symphony for a
minimum of two trimesters while performing in the Sheboygan Symphony Orchestra will be listed on all
materials as an orchestra member and will receive compensation which is given in recognition of the
extra commitment required to perform each week in both ensembles.
A qualified youth who chooses not to perform in the Sheboygan Area Youth Symphony while
performing in the Sheboygan Symphony Orchestra will be listed on all materials as an orchestra member
but shall not be eligible to receive compensation in the orchestra.

MEMBER BENEFITS

The primary benefit of being a SAYS member is the opportunity to perform in a full orchestra with other
talented young musicians. Additional benefits of SAYS membership include:

Free Tickets to SSO Concerts: The SSO makes available to all SAYS members, 2 free student tickets to
each of its season concerts. The tickets are intended only for use by the SAYS members that request
them. To obtain a free ticket, students must call the Weill Center ticket office in advance (see contact
information below). When requesting tickets, students should indicate whether they wish to sit with
one or more friends so arrangements can be made. SAYS students are generally seated near one
another, so if a student will attend alone, chances are good that he or she will wind up sitting near other
SAYS musicians. The tickets should be picked up at the Weill Center ticket office before 4 p.m. on the
Wednesday before the concert. If a student cannot pick up the ticket, it is important to make
arrangements to pick up the tickets in will call at the Weill Center. The ticket office opens on Saturday
at 5:30 p.m. No one is available to receive voice mail messages or emails asking for tickets on the
Saturday concert day. There are no exchanges the night of the performance.

Young Musician Competition: The 2021 annual SAYS Young Musician Competition will be held on
Saturday, February 6th, 2021. SAYS members from Sinfonia and Concert Orchestra are eligible to
compete in their respective divisions by performing for a panel of judges. For Concert Orchestra,
Students’ selections for competition must be pieces that can be performed with orchestra
accompaniment. Sinfonia students may perform pieces that have a piano accompaniment rather than
orchestral accompaniment if they are unable to find an appropriate selection with orchestral
accompaniment. On competition day, piano accompaniment is required and students will need to
supply three copies of their solo part for the judges. Please check the SSO office if you have any

music camp at Lakeland College.

                                                     8
SUPPORTING SAYS
As an organization, SAYS will be as strong as its members make it. There are many ways for SAYS
students and their families to support SAYS.

Advertising: Concert programs feature advertising from area businesses. SAYS families can help secure
program ads by talking to their employers, reaching out to their favorite area businesses, or, if they are
business owners, placing an ad in one or more concert programs.

Donations: SAYS is a nonprofit organization, therefore donations to SAYS are tax deductible. All donors
are acknowledged in the SAYS program, unless they request to remain anonymous. Donations are
another way for area businesses to support SAYS and receive recognition in the concert programs. Send
donations to Sheboygan Area Youth Symphony, 830 N. 8th Street, Sheboygan, WI, 53081, with
instructions for acknowledging the gift in SAYS concert programs for the season.

Fundraising: Like most organizations, all SAYS members are expected to engage in fundraising activities
each season. Fundraising serves two purposes. First, it helps raise money to pay the many annual
expenses needed to operate SAYS which allows tuition to remain extremely reasonable and it helps to
build a sufficient reserve to keep SAYS strong well into the future. Secondly, it helps students raise
money to be used for orchestra trips. Traditionally, our fundraisers have included merchandise sales,
the holiday “Play-a-thon,” Seroogy’s candy bar sales, pizza making sales, mint sales and gift cards sales.
Only one fundraising activity is mandatory, the Seroogy candy bar sale. Families are required to sell
one box of candy bars per student enrolled in SAYS or opt for the buyout, which requires the family to
pay the box of candy bar profit directly. More information on fundraisers will be available throughout
the season. Ideas for new fundraisers are always welcome.

Parent Organization: SAYS could not exist without the strong, active support of the Parent Organization.
To help make SAYS as strong as possible for our musicians, it is vital for all parents to get involved. The
Parent Organization meets at the start of each trimester, with additional meetings scheduled as needed.
Parents are responsible for publicity, concert programs, fundraising, and other activities as described in
the “Roles and Responsibilities” section. In many cases, Parent Organization officers work closely with
each other as well as with SAYS Conductors, the SSO Managing Director, and SAYS students and parents
to complete various tasks.

Volunteering: Supporting SAYS does not always involve money. One of the most valuable assets SAYS
has is the time its members and their families can devote to helping out. Soliciting ads for our programs,
baking post-concert refreshments, chaperoning the annual school tour, putting up posters, sharing by
word of mouth, information on the SAYS concert season, serving as an usher at the concert, selling
concert tickets, (taking tickets at the door), and serving (spending an entire year) as a Parent
Organization officer, are all ways for you to help our organization. SAYS needs you!! Members and their
families will have many opportunities to volunteer during the season, either a lot or a little.
Volunteering is a great way to get to know your fellow SAYS families.

SENIOR BIOGRAPHIES
SAYS has a long tradition of honoring our graduating seniors in concert programs in a section called
“Spotlight on our Seniors.” One-third of the seniors will be featured in each program. Seniors have the
option of writing their own biography or submitting written answers to the following questions:

    1. What high school do you attend?
    2. What instrument(s) do you play and for how long?
    3. How long have you been in SAYS?
    4. What are your plans for after high school? (e.g., which college or post-secondary school will you
attend, what are your career goals, what will you do with music in the future)
    5. What other activities are you involved in at school?
    6. What other interests and hobbies do you have?
    7. What has it meant to you to be a musician in SAYS?
    8. What advice do you have for younger musicians?
    9. Is there anyone you would like to thank? (e.g., teachers, parents, etc.)

We also need a digital photo of good quality. Please be mindful of copyright permissions if you choose
to use a photo taken by a professional photographer.

Please submit your biography (or answers to the above questions), along with a high quality digital
photo to Rachel Montes at rachelandarvin@gmail.com by November 15, 2021.
