INFORMATION ABOUT FUNCTIONS
                     AT THE OTAGO GOLF CLUB
Thank you for your interest in The Otago Golf Club as the proposed venue for your next
conference, function or meeting. Whether it is a small conference, meeting or your wedding
reception, we can tailor your special event with expertise and skill.

We have compiled detailed information to assist you in choosing the best option to suit your
function requirements. Included is information on our conference and event facilities with
menus selections and beverages prices, all menus are samples only and can be tailored to suit
your budget and/or dietary requirements. All prices are quoted as current at the time of
preparation of this booklet and are inclusive of GST.

The relevant information concerning functions at the Otago Golf Club is as follows-

Functions Area – Your function will be in a self-contained area with your own bar facilities
catering for 15 to 160 people. With panoramic views over Balmacewen golf course. The
clubhouse allows easy access for any of your guests with disabilities including any who may
be wheelchair bound. We have parking for up to 120 vehicles.

Conference and Room Hire Facilities - We provide convenient, competitively-priced
facilities for conferences, meetings, interviews, product displays and promotions. Audio-
visual equipment is available for hire.

Bar Requirements – As we are a licensed club, all alcohol must either be purchased at the
Club or if you wish to bring your own wine, a $7.00 per bottle corkage will apply.

Any special requirements for table wine can be met, but is required to be advised two weeks
prior to the function. The requirement for other refreshments or any conditions/limits for a
dry till should also be made known two weeks prior.

Band or Music – We have excellent dance facilities and your plans for a band in this area
will be welcomed. We require the band set-up occurs prior to 11am or between 2pm-3pm to
avoid congestion problems with our member golfers.

Deposit – A deposit is required once your function is confirmed. This is to secure your date
and please note this is non-refundable.

VENUE HIRE TERMS AND CONDITIONS

Thank you for choosing the Otago Golf Club for your event. We look forward to working with you to
ensure that your event is a success. So we can confirm your booking, please read and sign the
following terms and conditions. Please do not hesitate to contact us with any queries.

The Client —

The Parties agree to the following conditions.

BOOKING DETAILS AND VENUE USE

1. A deposit is required to confirm the booking (unless otherwise advised). Bookings will not be
considered confirmed until the deposit and signed Terms and Conditions are received by the Otago
Golf Club.
2. The Otago Golf Club reserves the right to apply a charge for each additional hour exceeding the
agreed finish time.
3. In the event that a designated room cannot be made available, the Otago Golf Club reserves the
right to substitute comparable facilities and where possible will give the Client prior notification of
the substitution.
4. The Otago Golf Club is a smoke-free building. Smoking, open flames, smoke machines and
anything that generates smoke or vapour are not permitted. False alarm fire calls will be charged to
cover costs charged to us by the Fire Service. Additional charges relating to the false alarm fire call
may apply.
5. For display purposes we allow cut flowers and living plants from professional flower growers or
florists, by prior arrangement is required. The Otago Golf Club retains the right to refuse entry of any
plant that is deemed a hazard for the Otago Golf Club’s collections.
6. Audio equipment is available for hire. If you wish to hire audio equipment let us know prior to the
function so that the necessary arrangements can be made. Damage to audio-visual equipment will be
charged to the Client. 7. Management retains its authority over the venue and precincts and its rights
to suspend or cancel any function at any time.

CANCELLATIONS
1. Cancellations can be made up until 2 weeks prior to your booking. Cancellations after this time will
incur a penalty of 50% of the estimated booking charges.

FOOD AND BEVERAGE
1. The Client will need to advise estimated numbers, menu selections and beverage requirements 7
working days prior to the event, with final numbers confirmed no later than 3 working days prior to
the event.
2. All food and beverage prices are subject to change. Food and beverage prices have been estimated
based upon the expected group size. Should the numbers increase or decrease dramatically menu
prices may be adjusted to reflect this. Charges will be based on the number of people attending the
function or the guaranteed number, whichever is greater
3. The Otago Golf Club beverage services are subject to the Sale of Liquor Act 1989 (please ask us if
you need further clarification of this). The Otago Golf Club holds a liquor license to serve liquor
within the Otago Golf Club premises. As the holder of this license the Otago Golf Club cannot permit
function organisers, guests or clients to supply their own beverages (alcoholic and soft drinks) unless
by prior agreement. The Otago Golf Club liquor license allows us to serve until 12:30 so guest or
clients are off the premises by 1am.

DAMAGE/INSURANCE
1. The Client is financially responsible for any damage, breakage or pilferage sustained to the Otago
Golf Club premises or equipment by the Client, the Client’s guests, invitees, outside contractors or
other persons attending the function, whether in the room hired or any area or part of the Otago Golf
Club, prior to, during, or after the event.
2. Damage to the Otago Golf Club that requires repair or cleaning over and above normal expectations
will be charged to the Client. This includes, for example, steam cleaning the carpet if particularly
stained, or repair to damaged walls.
3. Nothing is to be nailed, screwed or stapled to any wall, door or other surface or part of the building
unless the Otago Golf Club has given prior approval.
4. Any financial loss to the Otago Golf Club as a result of guest’s inappropriate behaviour at the
function will be charged to the Client.
5. The Otago Golf Club will take all necessary care of the Client’s property but will take no
responsibility for damage to or loss of property or merchandise left in the Otago Golf Club prior to,
during or after the function.
6. The Client will be responsible for the removal of the property after the conclusion of the event and
any goods left in the Otago Golf Club after the function without prior arrangements will be deemed
abandoned.
7. The Client must arrange own personal liability insurance, as required.
10. The Client should conduct their function in an orderly manner, in full compliance with all
applicable laws at a minimum disruption to other guests of the Otago Golf Club.
9. If the Otago Golf Club has reason to believe that a function will affect the smooth running of the
Otago Golf Club’s operation, its security or reputation, it reserves the right to cancel the function
without liability at any time either before commencement of the function or during it. The Otago Golf
Club reserves the right to exclude or remove any objectionable persons from the function or Otago
Golf Club premises without liability at any time during the function.

FINAL PAYMENT
1. An invoice will be sent for final payment which is due 7 days following the function.
2. We endeavour to honour price estimates given. However unpredictable factors (such as increasing
costs from our suppliers) can mean that estimated prices may be subject to change.
3. It is understood that where the Client’s guests or invitees have incurred additional charges such as
photocopying, postage and additional equipment requests that these charges will be added to the final
invoice for payment.
