Terms & Conditions
Confirmation and Guest Numbers

Provisional bookings can be held for up to 14 days after which time it is at the hotel’s discretion to release the date if
confirmation of the date is not received. To confirm a wedding, a wedding contract is issued which must be signed by
both partners and the original copy returned to the hotel. This along with your €1000 deposit will confirm your
booking. We regret that deposits are non-refundable and non-transferable in the event of a cancellation.

Minimum Numbers
All wedding packages are based on 80 adults; a supplement will apply for packages under 80 adults.
Dates between December 27th and 31st inclusive are treated as weekend dates. If the number of guests seated on the
day is below the required minimum number, the minimum for that room will be charged.

Final Numbers
Anticipated numbers should be given to the hotel 14 days prior to the reception. Final numbers must be given no
later than 72 hours in advance. These will be the numbers charged for the day. We request you book an
appointment to discuss final details 6 weeks in advance of your wedding. This process takes approximately 1 hour.

Bedrooms

Reduced accommodation rates for wedding guests are available. A 15% reduction will be offered on the best available
Imperial Hotel website rate. Packages for multiple night stays available on request. Rooms are not automatically booked
when a wedding deposit has been paid and need to be booked at this stage if required. Rooms must be booked with our
Reservations Department directly, which operates 9:00-5:00 Monday to Friday. Call 021 4274040 or email
reservations@imperialhotelcork.ie All individual bookings are to be secured with a credit card. All unnamed rooms will be
released within one month of wedding date. The wedding couple will be liable for any rooms guaranteed or named by
them. Accommodation deposits are not refundable or transferable.

Payment
10% upon signing of contract and booking of space
20% of estimated charges 90 days prior to the arrival date
20% of estimated charge 60 days prior to the arrival date
The final account must be settled upon departure
As per hotel policy a credit card will also be required to secure your booking. Two days prior to your wedding a
preauthorization for the balance will be held against this card and released upon departure
Payment can be made by cash, cheque, bank draft or bank transfer, debit or credit card.

Price Variations
In the case of events beyond the hotels control (including but not limited to the increase in the standard rate of VAT),
the hotel reserves the right to vary the price specified in the contract to the extent which reflects such circumstances

Wedding Deliveries
Wedding items are to be delivered to the hotel during office hours (Monday - Friday 9:00-5:00) the week of the
wedding. All items are to be clearly labelled and dated.
Third Party Suppliers
All additional enhancements to the wedding must be approved by the wedding coordinator.
Collection of Items
All items must be collected 24 hours after the wedding reception. The hotel does not take any responsibility for items
lost, misplaced or damaged after this time & will not accept responsibility for gifts left by the couple .
Change of Date
Change of date must be confirmed in writing. 12 months prior to the initial date booked, deposits will be transferred
to the new date. Date changes within 12 months of the initial booking are considered a cancellation.

Cancelations
Please Note: The hotel reserves the right to cancel the date in the following circumstances:
The hotel believes the booking might prejudice the reputation of the hotel, should guests attending the event,
behave in any way considered to be detrimental, offensive or contrary to normal expected standards of behavior.
The contract shall specify the anticipated number of guests for your wedding i.e. the agreed minimum and maxi mum
number of guests for the event.
Cancellation by Client
If a client wishes to cancel their wedding such cancellations must be advised to the Hotel in the first instance verbally,
followed by written notice of cancellation. Any postponements may be considered as a cancellation.
In the unfortunate event of cancellation, the hotel will make every effort to re-sell the space. Should the hotel be
unsuccessful in reselling the space, cancellation charges will be incurred as follows:

         Cancellations received within 36-20 weeks of wedding date - 25% of services booked
         Cancellations received within 19-12 weeks of wedding date - 50% of services booked
         Cancellations received within 11-4 weeks of wedding date - 75% of services booked
         Cancellations received within 4 weeks of wedding date - 100% of services booked

Food & Beverage
Menus must be selected 8 weeks prior to the event, with final menu given no later than 7 days before the event- this does
not affect your contract minimum. Children are more than welcome and menu items will be available to meet your
requirements. Menu items may be subject to seasonal variation dependent on their availability.
Beverage
Wine vintages may vary from time to time due to supplier difficulties beyond our control.
If a toast drink is required, this will be added to your invoice and will be charged on consumption.
All Food & Beverage consumed on the premises must be purchased from the hotel with the exception of the wedding
cake and wine / champagne if corkage has been agreed.

Bar Extension
The cost of obtaining a bar extension on your behalf will be added to the final account. This is subject to application and
approval. A request for same must be forwarded to the hotel 60 days prior to your event. The charge for this extension is
€600.00 subject to change with local licensing laws. The extension times are as follows:
        Sunday - Bar closes at 11.00pm - Extension lasts until 12.30am
        Monday - Thursday - Bar closes at 11.30pm - Extension lasts until 1.00am
        Friday - Saturday - Bar closes at 12.30am - Extension lasts until 2.00am
        All music must cease by 2.00am
        Late bar is for hotel residents only and this is available to 03.30am

Health & Safety
The client must fully comply with the Hotels Health and Safety policy, a copy of which is available on request from the
Hotel. Licensing and Statutory Regulations
The Client shall maintain free access to fire exits at all times and shall obtain the prior approval of the Hotel before usin g
any special effects equipment in the Hotel. The client shall observe the permitted hours, according to the current
licensing laws.

Corkage
No wines, spirits, food or beverage may be brought into the Hotel for consumption on the Hotels premises unless the
prior consent of the Hotel has been made, for which a charge will be made.

Damage
The Client shall be responsible to the Hotel for any damages caused to the allocated rooms or furnishings, utensils and
equipment therein or to the Hotel generally by an act, default or neglect of the client. Any damage caused to the premises
or grounds by the bridal party or their guests will be billed to the main account.
