PREFACE

The Music Program at Wellers Hill State School offers our children many
opportunities for personal development through the Arts.

The curriculum features instruction in Strings, Woodwind, Brass and
Percussion.

The scope and breadth of music at the school is enhanced by the Music
Support Group, an active subcommittee of the Parents and Citizens
Association. It is indeed comforting for teachers to be able to stage public
performances knowing that an organisation of interested parents is ready to
assist, by working with them, in the pursuit of excellence in our students.

The music program at Wellers Hill State School has a reputation as a
premiere music program. Let's continue to move forward and to broaden
the educational scope of our children by further enhancing their
opportunities. Music is an excellent vehicle for this goal.

INSTRUMENTAL PROGRAM_____________________
The Queensland State Schools Instrumental Music Program is a comprehensive tuition program
in which students learn orchestral or band instruments. It provides an extra dimension to a
school music program ensuring that educational outcomes are maximised for all students taking
full account of individual circumstances such as their location, gender, socioeconomic situation,
language and cultural background, and any impairment and special talents they may have. It
provides the opportunity for musical development of students through instrumental instruction
on a group basis and ensemble experience so that students develop ensemble performance skills
as an integral part of their music education.

This program provides free tuition during school hours on String, Woodwind, Brass and Percussion
instruments. Ensemble experience is provided through participating in String Ensembles, Concert
Bands and other extension small ensembles outside of school hours or during lunch hour.
Attendance at these groups is compulsory and an integral part of the Instrumental Program.

Principles of the Program

Ø   The Queensland Instrumental Music Program is a comprehensive tuition program in which
    students learn orchestral or band instruments through instruction on a group basis.
Ø   The instrumental program seeks to extend a student's experience in music through group
    lessons and through participation in string orchestra, concert band, stage band or other
    associated chamber ensembles. Students in the Instrumental Music Program have at least
    two contact periods per week, one in a group instrumental lesson and at least one in an
    ensemble rehearsal.
Ø   The minimum number of students per instrumental music teacher/instructor group will be no
    fewer than 3 and the maximum group size will not exceed 10 students. Under no
    circumstances should students be taught individually.
Ø   All instrumental music students are required to have a group lesson and, when musically
    ready, an ensemble rehearsal each week. The ensemble experience is provided through the
    formation of school concert bands, orchestras and other ensembles. All instrumental music
    teachers/instructors are expected therefore to form and encourage the development of
    ensembles such as orchestras, concert bands and other ensembles. Responsibility for the
    conducting of such ensembles may be decided upon at the school level through consultation.
    Ensembles perform regularly within the school and at outside concerts and competitions.
Ø   Ensemble repertoire should encompass a wide variety of styles. The major criteria for
    selection of ensemble repertoire should be musical quality and educational and pedagogical
    value.
Ø   The duration of a lesson should be not less than 30 minutes. Student lessons should
    normally be timetabled on a rotation pattern. This is intended to minimise loss of class time
    in any one particular subject.
Ø   To further develop musical and ensemble skills via performances at concerts, workshops and
    competitions
Ø   To provide opportunities for students to develop their musical abilities while learning
    concentration, discipline, social skills, leadership, independence and responsibility as members
    of a band, orchestra or ensemble; and
Ø   To provide an enriching dimension to enhance the existing classroom curriculum.

Selection of New Students – School Policy

Students in Years 4-12 (woodwind, brass and percussion) or in Years 2-12 (strings) are eligible to be
considered for enrolment into the instrumental program. Students are selected in accordance with the
school's policy taking into account the balance of the ensemble program, the available time allocated to
the school, and the suitability of the student. Factors influencing the student's suitability include musical
and physical aptitude for the instrument, ability to maintain regular, self-directed practice, and
commitment to an ensemble. The final decision on selection is made by the principal.

Unfortunately, due to the high demand on the limited resources available to the school, not all
students who may wish to participate in this program can be accommodated. It is necessary
therefore, to operate a selection process for admission to the program. This in turn, ensures
balance to each ensemble.
Based on the size of the school, Education Queensland allocates time for instrumental music
instruction. Wellers Hill State School further contributes to the staffing allocation to provide
additional places. Allocation is as follows:
Ø Strings:                                   3 days per week (27 beginners)
Ø Band (Woodwind/Brass/Percussion): 3 days per week (45 beginners)

Selection of new instrumental music program participants occurs in Semester 2 of Years 1 and 3.
To maintain a cohesive group, children are not started at other times during the year or at other
year levels, except under special circumstances. (Refer to “Policy for Students New to the School”)
The selection procedure is as follows:
Ø Completion of expression of interest for Year 1 students interested in the String Program
Ø Completion of a music aptitude test for all students in Year 1 and 3;
Ø Student profiles created in collaboration with class teachers, music teacher and the Principal;
Ø Invitation to Recruitment Information Session for shortlisted students for consideration (please
   note that not all students who are invited will be offered a place in the IM program);
Ø attendance at Recruitment Information Session by parent and child;
Ø Parental agreement for child to join program if physically suitable;
Ø Assessment by instrumental teacher of child’s physical suitability;
Ø Instrument preference form completed by student;
Ø Instruments allocated based on all data and first round of offers sent to parents;
Ø First round offer forms including Contract of Commitment, Loan Form and payment of levies
   returned to school by due date. Second round of offers is compiled and parents contacted only
   if a position exists;
Ø All positions confirmed and recruitment completed.

Under Education Queensland’s policy, children who have already successfully gained a place in the
Strings Program commencing in Year 2 cannot be offered a place in the Band Program. Therefore,
should a child be particularly keen to play a Band instrument (from Year 4), but has been offered
a place in the Strings Program (from Year 2), there may be merit in making the choice to forego
entry into the Strings Program, thus greatly increasing their chances of an offer into the Band
Program at the end of Year 3. However, please note that a declined offer of a strings placement
does not guarantee an automatic placement into the Band Program. The student will need to
undergo the same testing procedure in Year 3 before a place is potentially offered.

POLICY FOR NEW STUDENTS TO THE SCHOOL______
Any child coming to the school midyear, who has not had the opportunity to learn an instrument
before will be tested in the Year 1 and Year 3 intake. Year 4 and above will be eligible for Concert
Band instruments, Year 2 will be eligible for String instruments. Note that this procedure applies to
first round offers which are held at the end of the year that the child new to the school comes to
Wellers Hill.

Any child coming to the school from another state school who has already been in an Instrumental
Program will be allowed to enter the program, provided there is a suitable instrument (in applicable)
and position available in the program for their instrumental level.
Any child coming to the school after offers have been distributed and would like to join the program,
will have to do the above-mentioned test. This will only be carried out if places are still available.
A child who declined a first-round offer in Year 1 to preferably learn a Concert Band instrument, will
be tested again in Year 3. Again, there is no guarantee of placement in Year 4.
Unless there are exceptional circumstances, children will remain in the music group that is
appropriate to their year level. A change in tuition level is at the discretion of the instrumental music
teacher.

SCHOOL MUSIC CAPTAINS_____________________
To expand the leadership team among the senior students and reflect the importance of the Music
Program within the school, Music Captains were introduced in 2002.
Six Music Captains will be appointed from Year 6 students. Two candidates will be chosen from
each of the three areas of the school program – Band, Strings and Choral Programs.
Students are chosen for their reliability, responsibility and leadership skills. They must have
shown commitment and involvement in the program during their time at the school. Captains
are elected at the start of the school year. Students are usually required to present a small
speech detailing how they meet the various criteria that is required to be a successful Music
Captain.

INSTRUMENTS_______________________________
Tuition is provided by Education Queensland for the following instruments:
       Strings:       Violin, Viola, Cello, and Double Bass
       Woodwind:      Flute, Clarinet, Bass Clarinet, Alto and Tenor Saxophone
       Brass:         Trumpet, Trombone, French Horn, Euphonium, Tuba
       Percussion: Mallets, Drums, Timpani and auxiliary percussion (including Xylophone,
                      Glockenspiel, Snare Drums, Tom Tom Drums, Bass Drum, Cymbals,
                      Triangles, Tambourines Temple Blocks etc.).

School Instruments
A limited number of school instruments are available for loan to beginner students for one year.
(Violin, Flute, Clarinet, Alto Saxophone, Trumpet, Trombone).
Please note that an instrument will need to be purchased after the first year. (See section
on ‘Purchasing Own Instrument’).
Violas are available for two years. Cellos are available on loan for three years.
Larger, more expensive instruments such as: Double Bass, Bass Clarinet, Tenor Saxophone,
French Horn, Euphonium and Tuba are available on loan for the entire primary school
period.

It is highly recommended to include any hired musical instrument on your own personal
insurance. Insurance of the instrument hired is the responsibility of the hirer not
Education Queensland or the school.

MUSIC LEVIES
Music levies are issued for each program. These choir/string/band levies will cover accompanist fees,
ensemble repertoire, workshop, guest clinicians etc. Instrument Hire Levy will cover instrument
maintenance and repair.

Choir Levy                           $50 per year
String Levy                          $50 per year
Band Levy                            $50 per year
Instrument Hire                      $130 per year

Therefore, a child participating in both choir and strings would be invoiced $50 Choir + $50
String = $100 per year. If a child is hiring a school instrument an additional $130 would be
charged. Payment plans are available through the school if required.

It is important for families to note that a student’s levy must be paid before the student attends
lessons or rehearsals, and/or receive any loaned school instruments. String and Band invoices will
be issued with instrument offers for beginner students in term 4 prior to commencing.

School Instrument Levy
In addition to the $50 String/Band Levy, a $130 hire levy is charged by the school for the loan of
a school instrument. The fee helps cover the cost of maintenance and repairs.

In addition to the Instrument Levy, students are also expected to purchase their own “accessories”
such as reeds, cork and valve grease, rosin, folder, portable music stand etc. (See “Accessories
Required for School and Private Instruments”.) There will be various points throughout the year
when parents may be expected to purchase replacement accessories or new books. It is imperative
that these items are purchased as quickly as possible in order to prevent the child falling behind.

School instruments will be distributed to students within the first 2 weeks of the school year.
Payment of the $130 Instrument Hire Levy must be made before instruments are released to the
students, and before they attend a music lesson or rehearsal.

Instruments must then be returned to the instrumental teachers generally by week 8 of Term 4
or immediately after Music Awards Night. This allows for instruments to be checked for repair and
servicing which is undertaken over the holidays.
If students require the instrument over the Christmas holidays a “holiday loan” will be provided
and the instrument can be picked up in the last week of school and returned on the designated
day during the first week of the new school year. Even if your child has an approved holiday loan,
all instruments must be returned for inspection

School Instrument Repairs
If a school instrument should develop a fault, then the following procedure is to be adhered to:
    Ø Parent / child to show the music teacher what is wrong. The Music Teacher will fill out a
        “Repair Request” form.
    Ø It is the parent’s responsibility to take the instrument with the “Repair Request” form to
       the nominated approved repairer and retrieve the instrument on completion of the repair.
       The Music Support Group may not be liable for costs incurred if an approved repairer is not
       used.
The repair costs will be paid by the Music Support Group only if the above procedure has been
adhered to and negligence or carelessness on the part of the student has not caused the problem
with the instrument. In the case of negligence or carelessness, an Instrument Damage Report
must be completed. Parents will be requested to cover the repair cost. This will be at the
discretion of the Principal. (See Instrument Damage Report Form at the back of this Handbook)

Insurance of School Instruments
The P&C have endorsed that all parents of students with the loan of school musical
instruments are given the following information re our insurance cover. We request that
you become familiar with this information so that you are aware of what is covered and
what is not, as you are responsible for what it DOES NOT COVER.
The Resource Replacement Scheme is part of Education Queensland’s risk management and security
strategy to minimise the exposure associated with equipment losses. The scheme is a managed
fund which provides compensation to schools for loss of certain resources as a result of theft and
vandalism (due to break and enter), fire and natural disasters.
The Resource Replacement Scheme cover has always been limited to equipment securely located at
school outside school hours, with no compensation made for items on loan to students. This is
largely due to the risk exposure being controlled at the school level but not with students.
As the Instrumental Program involves students borrowing departmental musical instruments and
taking them home, certain cover has been provided for these items whilst they are located at the
student’s residence. The following conditions provide full details of the cover now provided by the
scheme for the Instrumental Program.

Conditions of Cover
A Loan Agreement Register must be developed and maintained by the school. The Musical
Instrument Loan Agreement must be completed for the student, signed by the parent/
caregiver and returned to the school. Should an incident occur, the police must be notified.

Cover Provided
Theft/Vandalism (due to break and enter)
Ø Musical instruments securely located at student’s residence are covered if stolen or damaged
   following proven forcible or violent entry. Evidence of forced entry must be present.
Ø Cover is also provided for proven theft of musical instruments by a person feloniously
   concealed within the student’s premises – confirmed by way of a confession or witness
   required.
Fire
Ø Musical instruments destroyed or damaged as a result of accidental fire damage are covered
    whilst located at student’s premises.
Storm/Flood Damage
Ø Musical instruments destroyed or damaged as a result of storm or flood are covered whilst
   located at student’s premises.

Cover Not Provided
Theft/Vandalism
Ø Musical instruments securely located at student’s residence are not covered if stolen or
   damaged where no forcible entry is present.
Unaccounted/Unexplained Loss
Ø Musical instruments are not covered if they are not returned following the loan agreement
   period.
Ø Musical instruments discovered missing whilst on loan to students, where no theft/vandalism
   has been reported are not covered.
Transit
Ø Musical instruments are not covered if lost whilst in transit with student to and from school to
   student’s residence, e.g. instrument left on bus.
Please Note: Loss or damage to supervised musical instruments from school on an official
excursion (e.g. music performance) are covered under the normal transit conditions of the
Resource Replacement Scheme.
Accidental Damage
Musical instruments are not covered if damaged by accident whilst on loan to students, e.g.
instrument dropped and broken.

Private Instruments
Except for those larger instruments nominated above, all students will be required to purchase
their own instrument prior to the commencement of Term 1 of the second year of learning.
Instrumental Music Teachers will provide parents with information regarding purchasing of
instruments at the start of Term 4.
The cost of repairs to private instruments will be borne by the parents.

Accessories Required for School and Private Instruments
Children progress through Book 1 to Book 2 etc. according to their ability. Teachers will advise
parents when the next book will be needed.
All students require a portable music stand, pencil and music book. Band students will also
need to purchase the “Essential Elements for Band” for individual Wind, Brass or Percussion
instruments. String students will need to purchase “Encore on Strings Book 1” & “Essential
Elements Book 1” for their instrument. Band students are also required to download the FREE
app Essential Elements Interactive on their iPads (year 4 students) for home practice. If you do
not have an iPad you can access the program via http://essentialelementsinteractive.com on a
computer.
Blue Music Folders are required by all students. These are available from the Uniform Shop.
These must be purchased prior to the first lesson.
Individual instruments require the following:

Ø   Flute – BG pull-through cleaner, silver polishing cloth;
Ø   Clarinet (Bb) and Bass Clarinet (Bb)– Rico Royal Size 2 reeds x 4, reed guard (holds 4 reeds),
    pull-through cleaner (body), pull-through cleaner (mouthpiece) cork grease, mouthpiece pad
    saver (black rubber pad), thumb cushion;
Ø   Alto Saxophone (Eb) and Tenor Saxophone (Bb) – Rico Royal Size 2 reeds x 4, reed guard
    (holds 4 reeds), pull-through cleaner (body), pull-through cleaner (mouthpiece/neck), cork
    grease, mouthpiece pad saver (black rubber pad), Neotech neckstrap with swivel clip;
Ø   Trombone – Slide cream, tuning slide grease, water spray bottle, snake cleaner, mouthpiece
    brush and polish cloth;
Ø   Trumpet (Bb)/Euphonium (Bb)/Baritone (Bb)/Tuba – Alcass valve oil, tuning slide grease,
    snake cleaner, mouthpiece brush and polish cloth;
Ø   French Horn – Rotor Oil, Superslick tuning slide grease, mouthpiece brush and polish cloth;
Ø   Percussion – Rebound practice pad, Vic Firth drum sticks size 5A, stick bag, woven mallets,
    glock mallets, 32 bar glockenspiel (all available through Majestic Percussion Pack);
Ø   Violin/Viola – Rosin (Bernadel or Melos brand) polish cloth; bow hold fish (beginners only),
    shoulder rest (Kun, Bonmusic or PSR sponge for smaller students – for privately owned
    instruments only), a set of strings (Pirastro Piranito, Dominant or Obligato - only for privately
    owned instruments)
Ø   Cello – Rosin - (Bernadel, Melos) polish cloth, cello stop (black hole)
Ø   Double Bass – Rosin (Nymans), polish cloth, end pin stop (black hole)

Beginner Book and Accessory Packs
Beginner Book and Accessory Packs are available for beginner students in conjunction with
Simply Strings (Strings) or The Brass Music Specialists (Band). Band students will be provided
with book and accessory lists with instrument offers. Book packs will be delivered to the school
ready for your first lesson.

String students are to purchase the required equipment from the Simply for Strings Website at
the following link; https://www.simplyforstrings.com.au/collections/wellers-hill-state-school.
Parents can choose to either have the items delivered to their house or the school. If they are
delivered to your house, you must bring them ready for the first lesson. Likewise, if you choose
to purchase the accessories elsewhere, they must be ready for the first lesson in Term 1, 2020.
It is the parent's responsibility to ensure the student has all items available throughout their
tuition at Wellers Hill. As the student progresses with their instrument more advanced
instrumental books will need to be purchased. They will also need replacement or new
accessories as requested by the teacher, these can also be purchased via this website, by
selecting the advancing level.

TUITION___________________________________
Students may commence tuition on a String instrument in Year 2. Tuition on a Woodwind, Brass
or Percussion instrument begins in Year 4. Departmental policy is that students start in Year 4 for
Band and Year 3 for Strings. Wind instruments require the coordination and dexterity of a more
physically mature child, hence commencing when the child is older. (Refer to “Selection of New
Students”.)
Lessons are provided by Education Queensland at no cost to the parents.
Children accepted into the program receive one half-hour lesson per week on their instrument.
Classes are conducted in small groups containing children of a similar standard. Lessons are
usually timetabled on a rotating timetable.
Tuition is provided within school time. It is therefore the responsibility of the children to bring
their instruments on the day of the lesson and excuse themselves from class in time to avoid
arriving late for their instrumental lessons. They are also responsible for making up the class
work missed.
There is an expectation that students consistently attend lessons.        Rolls are kept and non-
attendance requires written explanation from parents.
Parents are welcome to arrange an interview with the instrumental teacher to discuss their child's
progress.
Each child in the Instrument Program will receive a subject report on their school Report Card at
the end of each semester.

Camps
Education Queensland organises annual District Beginner and Advanced music camps (non-
residential) for the Southside cluster. Students from various schools meet for from a few days up
to a week and benefit from specialist group tuition, Concert Band or String Orchestra rehearsals
and Choir rehearsals. Nominated students are required to attend. The cost of camps varies and is
met by the parents. Usually there is a cost for the camp and for any buses required. Buses may
be subsidised by the P&C Association to keep costs reasonable. The expectation is that all students
will attend these camps and they provide a great opportunity for musical development. In the
instance, there is a valid reason your child cannot attend a camp or workshop, a signed note must
be submitted to the instrumental teacher explaining their absence, 3 weeks prior to the
camp/workshop.

ENSEMBLES________________________________
Wellers Hill State School provides many ensembles to cater for children at the various stages of
their musical development. These include:
Beginner String Orchestra
Ø For students who have received at least one term of tuition on a string instrument.
Ø Students are usually Year 2.

Junior String Orchestra
Ø For students who have received at least 1 or 2 years tuition
Ø Students are usually Years 3 & 4.

Senior String Orchestra
Ø For students who have received two or three years of tuition on a string instrument.
Ø Student are usually in Years 5 and 6.

Camerata Strings
Ø For senior string students who have achieved a high standard.
Ø Students audition to be in this ensemble and are selected by the teacher.

Junior Concert Band
Ø For students receiving their first year of tuition on a Woodwind, Brass or Percussion instrument.
Ø Members will be Year 4. This Ensemble commences in Term 2.

Intermediate Concert Band
Ø For students receiving their second year of tuition on a Woodwind, Brass or Percussion
   instrument.
Ø Members are usually in Year 5. This Ensemble commences in Term 2.

Senior Concert Band
Ø For students receiving their third year of tuition on a Woodwind, Brass or Percussion
   instrument.
Ø Students are usually in Year 6.

Jazz Band
Ø For band students who have achieved a high standard.
Ø Students are usually in Year 5 and 6 and are by teacher selection. Instrumentation includes
   saxophone, trumpet, trombone, drum kit, auxiliary percussion, keyboard, guitar and bass
   guitar. Other instruments may be included on teacher recommendation.
Ø For positions which require only one player, auditions will be held by the teacher e.g. drum
   kit, guitar, bass guitar and keyboard

At the end of each year students automatically progress to the next Ensemble level. No interview
or audition is required to continue in the Program. Students may progress to a more senior
ensemble if the need arises to balance numbers, provided the student is deemed capable.
However, it is preferable that children remain in their year level.

Ensemble Commitments
Every child who is a member of the Instrumental Program must be a member of at least
one Ensemble. The commitment made by the student is for the duration of his/her
involvement in the Instrumental Program.
Every Ensemble rehearses for at approximately one hour per week. These rehearsals are either
before or after school or during the lunch hour. It should be recognised that each child in an
Ensemble is a member of a TEAM, and as such, is expected to give priority to the attendance of
all performances by their Ensemble.
Children must accept responsibility for attendance, practice and punctuality. It is expected that
they consistently attend rehearsals and all performances. A note or email explaining the reason
for absence from rehearsals, lessons or performances must be provided by parents and given to
the appropriate Music Teacher. Please do not contact the Music Support Group regarding a student
absence.

PERFORMANCES_____________________________
 The major focus of the Instrumental Program is to develop interest and encourage achievement.
 This is best accomplished by participating in a range of performances including school based
 performances, competitions and camps. These performance opportunities occur both within the
 school and at external venues.
 The Instrumental Teacher is responsible for identifying suitable competitions for the various
 groups to enter. Often these competitions occur outside of school hours.
 Children are expected to participate in all the required performances. If a child is unable to
 attend a performance, then a written explanation must be provided by his/her parents
 at least 3 weeks prior to the date. This is imperative as the teacher will have to rearrange
 parts and seating plans to ensure the ensemble is balanced prior to the performance.

 Each ensemble has a Music Performance Uniform to wear for all performances (see table
 following).

 Transport
 It is P&C policy that students travelling to and from school-related events in school hours do so
 by chartered bus. The cost of transport is kept to a minimum and is sometimes subsidised by the
 Music Support Group. Instruments are included in this mode of transport where applicable.
 Parents are responsible for arranging the transport of their children's instruments to venues for
 performances outside of school hours. This also applies to the larger instruments such as
 Percussion, Double Bass, etc. With respect to these larger instruments, parents should liaise
 directly with the Music Specialist/Instrumental Coordinator, as sometimes there may already be
 an instrument available at the venue. The Music Support Group may be able to assist any parent
 who has difficulty in transporting children and/or instruments, particularly if sufficient notice is
 given.

Uniform Requirements
The white music shirts, black trousers, girls and boys ties and girls blue hair ribbons are
available to purchase new from the Uniform Shop. These items should be bought at the
beginning of the year in order to guarantee supply. A second-hand music uniform sale is usually
held by the Music Support Group in term 1, however second-hand stock is limited. Note- shoes
should be black closed-in lace up dress shoes.

Please name all music uniform items, including ties, as they do go missing!

The music blazers, jazz vests and boys’ cummerbunds are provided on loan by the Music Support
Group (MSG). Students will be sized for a music blazer (if needed), generally in first term. Blazers
and cummerbunds will be issued prior to the first music performance of the year. Payment of the
music levy must be completed prior to issue of the blazer. Blazers and cummerbunds must then
be returned after the final performance of the year (generally end of Term 4).

Care of Performance Uniform
Although the Music Support Group is responsible for the regular cleaning and maintenance of the
blazers, it is expected that parents will ensure that children take all due care (e.g. children are not
to eat or drink whilst wearing blazer). In the event of a mishap requiring immediate attention, it is
also expected that parents will be responsible for the dry cleaning of the blazer immediately.

Grooming
Girls are encouraged to wear their hair tied back from their faces. It is not permitted to wear any
other hair accessories other than the blue ribbons purchased through the Uniform Shop.
Children participating in competitions are encouraged to give careful consideration to grooming,
as “presentation” is an important aspect of competition.

Communication______________________________
Newsletters
Fortnightly updates will be provided in the school newsletter by the Instrumental and Classroom
music teachers. It is very important that all parents read the newsletter as it will provide
important information regarding upcoming performances and events. It is also used to advise of
potential changes to rehearsal and lesson schedules.

Email
Email is another key method of communication. Last minute changes to rehearsals and lesson
may be emailed to parents, so it is important that the school has a recent email address. If you
are unsure whether your teacher has your most current email address, please notify them via
email.

Letters
For events such as performances, workshops, camps and competitions letters will be sent home.
Students are required to give these to parents.

Contact a teacher
Instrumental teachers work at multiple schools across the week. This makes it hard for parents
to contact the teacher via phone. Therefore, email is the preferred contact method. Please keep
in mind that IM teachers work at various schools so an immediate response it not always
possible.

MUSIC AWARDS_____________________________
The Parents and Citizens Association, through the Music Support Group, and with the cooperation
of the Music staff, has developed a system of music awards. These awards are presented at the
Music Awards Evening held in fourth term.

Certificate of Participation
As recognition of effort and commitment to the music/choral program a Certificate of Participation
will be presented to each student who has participated as a member of an ensemble (ie Beginner
Strings, Junior String Orchestra, Senior String Orchestra, Chamber Strings, Junior Concert Band,
Senior Concert Band). A Certificate of Participation will also be presented to each member of the
choral groups, ie Junior and Senior Choirs and Vocal Group.

Special Trophies
Maureen Willis Trophy
The Maureen Willis Trophy is awarded to the most outstanding Year 6 String player of the year.
This award may be presented to a student who is deemed by the Specialist String Instructor (in
consultation with the Music Specialist/Instrumental Coordinator) to be the most deserving.

Anthony Concert Band Trophy
The Anthony Concert Band Trophy is awarded to the most outstanding Year 6 Concert Band player
of the year. This award may be presented to a student within the Percussion, Brass or Woodwind
sections of the Senior Concert Band, who is deemed by the Concert Band Conductor (in
consultation with the Music Specialist/Instrumental Coordinator) to be the most deserving.

MUSIC SUPPORT GROUP_______________________
The Music Support Group is a sub-committee of the P&C and exists to assist the music teachers
in the maintenance and enhancement of the music program at Wellers Hill State School. All
parents are invited to participate, not just those whose children are involved in the Instrumental
Program. Activities or responsibilities of the Music Support Group include:
Ø distribution, maintenance and annual cleaning of blazers, vests;
Ø review and update, in consultation with Music Specialist/Instrumental Coordinator, of the
    Performance Music Parent Handbook;
Ø assistance in the organisation of Musical Evenings and other music functions;
Ø management of the “Instrument Roll-over Plan”;
Ø provide assistance and support to the music teachers as able;
Ø fundraise additional funds to support the running of all music programs.

How To Be Involved
The Music Support Group is always looking for parents to assist in various activities. If your
interest is in planning, the Music Support group meets on a regular basis in the school staffroom
at 7.00 p.m. Meetings are advertised in the school newsletter.
However, if you can’t attend meetings there is always a need for extra help with the distribution
of instruments, collection of levies and distribution of performance uniforms.
Other areas needing help are:
Ø distribution and collection of performance uniforms and instruments;
Ø transportation of instruments to concerts;
Ø in setting up of the hall for concerts; and
Ø collection of admission fees for concert nights (arriving a little earlier).

The methods of communication regarding music events, lesson changes and performances to
parents include notes home, the school newsletter, teacher emails and the MSG g-mail. Please
email the above g-mail and advise the name of your child and ensemble in which they are a
member to receive all relevant and up-to-date information.
Copies of recent notices are always available at Administration. It is essential to read the
fortnightly School Newsletter. Newsletters are available on the school website and emailed every
second Wednesday. It is important that you look at the newsletter that is emailed or ask for a
copy at the Administration Office. This has current information on music events within the school.
Another way of keeping informed is to attend Music Support Group meetings. If you have a specific
question about a lesson or rehearsal time or your childs participation in the IM or choral program,
please do not email the MSG but instead email your child’s instrumental music instructor

Instrument Roll-Over Plan
The Music Support Group, with the endorsement and assistance of the P&C, has taken an initiative
for the regular replacement of certain instruments. The purpose of this plan is to:
Ø provide a means of maintaining a continually high standard in the quality of school instruments
    by regularly replacing specific instruments;
Ø establish a low-cost repair and servicing system for school instruments by utilising the
    advantages of warranties.

PURCHASE OF OWN INSTRUMENT________________
Once the loan period on the school instrument has expired, you will need to purchase a suitable
and good quality instrument for your child to use in the program. You will be notified by Term 4
of the preceding year that your child will need an instrument. The instrumental teacher will also
provide further information at this point regarding the sizing and brand recommendations.

Standing Offer Arrangement (SOA)
Education Queensland has a supplier arrangement with selected music stores that allows you to
access the Retail Customer pricing for Musical Instruments and Stands under DETSOA-62455. All
students who are identified as needing to purchase an instrument will receive a retail customer
identification letter (usually in Term 4) which you will need to take to the appropriate store to
access the pricing used under this scheme.

Second-hand Instruments
Any parent who wishes to sell or purchase a secondhand instrument may advertise through the
School Newsletter. At the start of Term 4, the string teacher collates a list of instruments parents
are wishing to sell which is then forwarded on to all parents on the email data base. This may
provide an excellent opportunity to buy a quality second hand instrument for a reasonable price.
Many specialist music shops also sell secondhand instruments. It is advisable to have any
instrument checked before purchasing privately either by the instrumental instructor or a qualified
instrument repairer.

Buying instruments online
As a general rule, do not buy second hand instruments online (via Ebay or Gumtree). If you
purchase a poor quality instrument, expect that the instrumental instructor will ask you to
purchase a replacement one of good quality.

Rental/Purchase Plans
Many specialist music stores now offer very good deals on instrument rental, whereby instruments
may first be hired, and later purchased with substantial reductions in costs in keeping with rental
payments already made.

PRIVATE TEACHERS__________________________
If you wish to have your child privately tutored but are unsure as to where to start looking it is
advisable to firstly consult your instrumental music teacher. In most cases, they will be able to
provide a list of appropriate teachers in the area. Other options are to consult professional
organisations or music stores e.g. Music Teachers Association of Queensland, Australian Strings
Association, the Flute Guild, Qld Clarinet and Saxophone Society, Qld Band Association. Word of
mouth amongst other parents in the program can also be a valuable source of referral.

Discontinuance of a Student
A Contract of Commitment is signed at the commencement of the program by the student and
parents. The expectation is that all students will continue in the Instrumental Music Program
until they leave Wellers Hill SS. Enrolment may be discontinued by the Principal if attendance,
practice, progress or aptitude are inadequate.
In the first year of tuition, first term is considered a trial period. At the end of this first term,
the student may leave the program if agreed to by the student, parents, Principal and
Instrumental Teacher. However, once the decision is made to continue after this first term 'trial
period', it is expected that the student will continue for the rest of the program i.e. until the end
of Year 6.
In the event that a student wishes to leave the program after this trial period, the parents and
student must attend an interview with the Instrumental Teacher and Music Line Manager. At
this meeting a plan of action is developed to assist the student in re-engaging with the program.
This plan is usually implemented over a term, then at the end of the term the student, parent
and Instrumental Music Teacher may meet again, if necessary. A verbal or written note
advising of withdrawal will not be accepted. Discontinuance of a student is a decision
only the Principal can make.

If a child in the Strings Program discontinues lessons after the trial period has elapsed, they will
not be eligible for consideration for a place in the Woodwind/Brass/Percussion program.
