1.0 Information to Headteachers, Staff and Parent helpers
1.01 Transport: Please note your individual transport provider for future reference. Each school is requested to make their own
arrangements to transport pupils and staff to and from Teesdale School. As of January 2011 the Partnership can no longer fund transport
costs for schools attending festivals/competitions due to the budget cuts enforced by the government. We apologise for this and
understand schools concerns regarding transport, we recommend schools communicating with their SSCo and each other to help
share transport wherever possible.
1.02 Cancellation of Event: If severe weather conditions or other unforeseeable circumstances should necessitate the cancellation of the
event then a decision will be made by 8am on the day of the event, allowing schools time to notify transport companies. All activities are planned
at indoor facilities which are capable of handling the whole group; therefore we do not expect to be affected by inclement weather.
1.03 On Arrival: Pupils are expected to be changed ready for activity in appropriate PE kit, warm outdoor clothing (if appropriate) and
clean indoor/outdoor footwear with laces correctly tied. Each school will be met by a Sports Leader or staff member in the car park and escorted
to team registration area inside the Sportshall. Each school is to register with Louise Burnett on arrival. Please note due to strict timings if
you are late the festival may have to start without you.
Please keep all personal clothing and belongings with the children at all times in your designated team area indicated by a sign with your school
name. At all times when not active, you will remain in this team area - this includes the practice sessions and during the
competition.
1.04 Warm-up: A Sports Leader, if available, will prepare you for activity with warm-up exercises and stretching while waiting for all schools
to arrive. IMPORTANT: Teachers and children must be registered, changed and sat in their team area by 9.30am.
1.05 Parking: All coach parking will be allocated in the main school car park. If your coach is remaining on site, please note the
name/number of your coach displayed on the front windscreen. We recommend that you check whether you will be provided with the same
coach for your return journey.
1.06 Toilets: Indoor toilets are available inside the Sportshall change rooms, leaders or staff must accompany pupil.

1.07 First Aid: A designated member of staff will be on site with a first aid kit. A member of the event staff will have a mobile phone, it is
suggested that your staff have a means of emergency contact between themselves and their school along with a list of contact details should they
be required. Medical facilities are also available at the school office.
1.08 Drink Breaks: PLEASE NOTE: Schools must provide their own drinks for students. There are no breaks planned through the
event (subject to change), but there will be time between performing for children to rest. Please bring black bin liners for any rubbish and take these
away with you or dispose of appropriately at bins situated on site.
1.09 Closing of the Event: Once all schools have performed their routines schools will assemble for certificate presentation. Each school
will be provided with a pack containing a certificate and sticker for every pupil, along with an event evaluation form for both staff and pupils
(additional copies can be downloaded from our website www.wvtssp.net).
1.10 Departure: School/bus groups will be escorted to their allocated bus in the car park following presentation of certificates by staff,
accompanying adults and sports leaders.
1.11 Times of the day: If time permits a warm-up will take place from 9.45am which will be taken by sports leaders. The first performance
will start at 10.00am or as soon as all teams are registered. A running order of performances will be given to schools on the day of the festival
2.0 Organisation of pupils
2.1 Event Type: This is a festival to showcase pupil’s routines not a competitive event. We’d appreciate all schools to support other pupils
when they are not performing themselves.
2.2 Order of Performances: A running order of performances will be provided on the day for teacher’s reference.
2.3 Music and performance notes: Please can you make sure that when you register your team that you have your CD clearly marked
with the school name and track number ready for your performance. Also if you have any notes to be read out before your performance, please
email them to Louise Burnett prior to the event or you can you hand these in on arrival. There is a page at the bottom of this pack to write on
your performance notes.
