   I am so pleased that you are interested in joining our team.

   This is a really exciting time to join Girlguiding. With half a million members we are the
   largest charity dedicated to girls and young women in the UK, and one of the largest and
   leading youth charities. We have much to be proud of in our over one hundred years of
   history, but we know that to remain vibrant and relevant to young people we must
   continually evolve.

   In the past few years we have begun a process of significant change: transforming the
   organisation so it can meet the challenges of the future by putting young people at the
   heart of our organisation. We are on a mission to amplify the voices of girls and young
   women, so they can champion change in their own lives and the wider world; to build
   strong partnerships that can increase our reach and impact; and to increase the support we
   offer our 100,000 amazing adult volunteers who deliver incredible experiences to young
   people across the UK every week.

   In 2018 we revealed the largest overhaul of our offer to girls in our history, providing
   hundreds of new informal education activities and, of course, our famous badges that will
   equip girls with the skills and experiences they need to thrive in today’s world.

   We are always looking for skilled, passionate people to help us enable even more girls and
   young women to fulfil their potential, and while Girlguiding’s young membership is only
   open to girls and young women, our staff team is mixed gender and we welcome applicants
   from all backgrounds.

   Rainbows - We have fun
   Rainbows are girls aged five to seven (four to seven in Northern Ireland) and follow a programme called the
   Rainbow Jigsaw, through which they can take part in lots of different activities with girls their own age. See

   Brownies - We do cool stuff
   Brownies are girls aged seven to ten who become a member of a Six and follow a programme called the
   Brownie Adventure. Brownies opens up a world of exciting challenges and the opportunity to try new things

   Guides - We make things happen
   Guides are girls aged 10 to 14 who are given the chance to explore their individual skills and abilities and try
   out new challenges as part of a team. Girls can get involved in anything from adventure sports to performing

   The Senior Section offers young women aged 14 to 25 the opportunity to develop their skills and abilities
   through a flexible and inspiring programme which offers a huge variety of challenges, activities and

   The role
   Overall purpose
   •   To support the Volunteer Learning and Development Team Manager and Project Coordinators with the
       coordination of the events relating to the learning and development of volunteers in 2019. The events will
       be focused in three key areas 1) residential training weekends for volunteer managers, 2) outdoor
       activities and adventure training events (e.g. walking scheme qualifications and assessors’ weekends) and
       3) the trainers’ conference in June 2019.

   Main areas of responsibility
   Outdoor and Adventure event support and delivery
   •   To plan and develop the quarterly Outdoors Activity Advisor (OAA) memos.
   •   To provide enquiry support by phone and email to volunteers contacting the team in relation to Outdoor
       and Adventure.
   •   To plan and organise small scale events including - managing venue bookings, giving pre and post event
       support and administration, liaison with volunteers, devising and collecting feedback and reviewing the key
       Outdoor and Adventure events for the year with the Project coordinator.
   •   To attend events as required to provide event support to trainers.
   •   To use the Girlguiding Membership Web Portal (GO) to update qualifications and pull reports.
   County Commissioner event support and delivery
   •   To assist in the planning, development and delivery of volunteer manager training events.
   •   To attend events as required to provide event support to trainers.
   •   To manage correspondence (by phone and email) with all attendees and potential attendees, issuing
       invites and responding to enquiries.
   •   To maintain a spreadsheet detailing who has been invited and who has attended, to be updated monthly.
   •   To liaise with trainers, ensuring they are properly supported.
   •   To book venues, arrange catering and ensure required event documentation and resources are in place.
   •   To provide post event support including - processing event invoices and expense claims and collecting and
       collating event feedback.
   •   To support the Project Manager with event monitoring and review at the end of the year.
   Trainers’ conference event support and delivery
   •   To attend planning meetings.
   •   To liaise with staff to curate a) a living library (including external partners) and b) workshops.
   •   To ensure all required information from stakeholders is collected and collate this to shape summary briefs
       and an event log.
   •   To liaise with trainers and staff, ensuring they are properly supported.
   •   To attend and support the event team with logistics at the event.

   •    To provide support for online learning including webinars and e-learning to the L&D team (specifically the
       Project Coordinators and Project Assistant).
   •   To source information from and update the membership database system (GO)
   •   To support the Volunteer Development Assistant with administrative tasks as required

   Additional information
   •   To undertake any other duties that may reasonably be required to fulfil the duties of this post.
   •   This post may require occasional weekend working for which time off in lieu will be given.
   •   The post holder will have access to confidential data and information. It is essential that confidentiality is
       maintained, and that discretion is used at all times to ensure no material/information is leaked from the
       department to any unauthorised parties.

   Employment details
   Contract type
   This post is a fixed term role until 31 January 2020 and for 35 hours per week. However, the post holder will
   at times be required to work additional hours – including evenings and weekends – for which time off in lieu
   (TOIL) will be available. Overtime is not paid.

   Location
   You will be based at Girlguiding Headquarters, 17-19 Buckingham Palace Road, London SW1W 0PT.
   Occasionally you may be required to perform your duties from other Girlguiding premises within a reasonable
   travelling distance of this location. You may be required to travel inside the UK on the business of the charity.

   Salary
   The salary for the position is £14,578 per year. It is our normal practice to appoint at the bottom of the scale
   but this can be reconsidered in an exceptional circumstance.

   Holiday entitlement
   25 days of paid holiday per year plus bank holidays. This increases after two years of service to 26 days, and
   then a further one day for every two years of service up to a maximum of 30 days after ten years of service.
   This is pro rata for part time and fixed term employees.

   Medical and criminal records check
   Some roles in Girlguiding are judged as exempt under the Rehabilitation of Offenders Act 1974. Where
   applicable, applicants may be subject to a Disclosure & Barring Service (DBS) check by the Disclosure &
   Barring Service. If you have accepted a caution, warning or reprimand from a police officer, then you have
   admitted your part in an offence and so this should be declared along with any conviction.

   Girlguiding will require your permission, and the relevant information, to obtain clearance from the Disclosure
   & Barring Service. Failure to give permission or to supply information may result in the termination of your
   employment with Girlguiding.

   Upon successful appointment, if you are required to complete a medical questionnaire and a criminal record
   disclosure check, employment is subject to satisfactory receipt of these.

   Probation
   This post will be subject to a probationary period of 3 months.

   Notice period
   During probation the notice period is one week for both parties, and four weeks thereafter.

   Learning and development
   We are committed to supporting our staff through a variety of methods including coaching, mentoring, e-
   learning, shadowing and individual courses. Each staff member has a learning and development plan that is
   reviewed annually. Vacancies in Girlguiding are advertised internally to encourage staff to progress their
   careers within the charity.

   Flexible working
   We are committed to ensuring that our staff has a good work-life balance and offer a flexible working
   environment. Our core hours are between 10am and 4pm. Most staff can start as early as 7.30am and finish as
   late as 7.30pm Monday to Friday.

   Family Friendly Policy
   We have a generous Family Friendly Policy which includes maternity, paternity, adoption and shared parental
   leave. As long as you return to work with us, after 52 weeks of continuous service you can get your full salary
   for the first 20 weeks of your maternity leave, 50% for the next 19 weeks and 30% for the final 13 weeks.

   Contributory pension scheme
   In addition to the government’s auto enrolment pension, Girlguiding offers a generous company pension. After
   three months of service employees can join the Girlguiding group pension scheme, which is administered by
   Scottish Widows. Girlguiding will match an employee’s contribution of 5% of base salary with a contribution of
   10% of pensionable salary.

   Life assurance
   Employees are automatically entered into the Girlguiding life assurance scheme provided by MetLife. It is two
   times pensionable salary, or four times for employees enrolled in the pension scheme.

   Volunteering support
   As an organisation that relies on volunteers, we consider it important to support our own staff to pursue their
   social action and community engagement interests. Staff who volunteer are entitled to three days of paid
   volunteer leave a year. If the volunteering is within Girlguiding this rises to five days.

   Employee assistance programme
   Girlguiding has an employee assistance programme provided by Health Assured. It is free of charge and offers
   confidential, independent help, information and guidance to all employees and their immediate family 24
   hours a day. It also allows for face-to-face counselling sessions, offered near the employee’s home or place of
   work.

   Staff Consultation Group
   Girlguiding has a Staff Consultation Group comprising representatives from across the organisation which
   meets quarterly with the Chief Executive to discuss organisation-wide staffing matters.

   Season ticket loans
   After successful completion of their probationary period permanent employees are eligible to make an
   application for an annual interest-free travel loan. Up to £7,500 is available per year interest free.

   Ride to Work
   Girlguiding, in partnership with Evans Cycles, offers employees the opportunity to hire a bike and accessories
   worth up to £1,000 through salary sacrifice (32 to 42 per cent savings). At the end of the hire agreement the
   employee can take ownership of the bike and equipment by paying a fair market value for the bike plus VAT.

   Discounts
   Girlguiding staff can get discounts at various retailers including STA Travel, Cotswold Outdoor and Theatre
   Tokens. Please contact Girlguiding HR for further details.
