WELCOME ADDRESS
Dear Colleagues,
The 28th European Congress of Psychiatry, organised by the largest international association
of psychiatrists in Europe, will take place on 28-31 March 2020 in Madrid, Spain. The city’s rich
past has produced some of Europe’s most awe-inspiring artwork, architecture, and landmarks,
alongside a far-reaching cultural contribution to language, music, and cuisine. Madrid is among
many European capitals that all boast an impressive artistic and historic heritage, and this
collective European legacy extends well into the realm of science, where common approaches
and shared objectives have led us to great and rapid progress.
To celebrate our remarkable scientific legacies, the 2020 congress will take place under the
motto “The Shared Heritage of European Psychiatry”.
Indeed, we have a fantastic heritage in psychiatry, thanks not only to eminent clinicians and
patients involved in research but also to the combined knowledge we gain from social-, neuro- and
computer sciences. Attending the EPA Congress means sharing our experiences and knowledge
to uncover new insights on the complex disorders we treat, exchange practical techniques and
guidance for every day clinical challenges, and reinforce our commitment to our patients and
their careers.
Psychiatry’s continuing evolution, involving the organisation of better mental health services, the
development of innovative models of care, and the discovery of new research paradigms, drives
us to share the latest discoveries for the benefit of all. Many challenges still exist, but by drawing
on the successes from the past and moving forward with new knowledge together, we can help
shape a better future for professionals and patients alike.
We feel confident that the EPA 2020 congress in Madrid will serve as a place of learning where we
can all share the latest models, approaches, and research, continuing with all the best traditions

ABOUT EPA
The European Psychiatric Association (EPA) was founded in 1983. With active individual
members in as many as 88 countries and 44 National Psychiatric Association Members who
represent more than 80,000 European psychiatrists, the European Psychiatric Association
is the main association representing psychiatry in Europe. The EPA’s activities address
the interests of psychiatrists in academia, research and practice throughout all stages
of career development. The EPA deals with psychiatry and its related disciplines and focuses
on the improvement of care for the mentally ill as well as on the development of professional
excellence.
The founding members of the association worked to establish an association that would promote
European Psychiatry in the fields of research, treatment and teaching, three axes considered to be
unequivocally complementary within the discipline of psychiatry. In addition, they positioned
the association as a privileged mediator between practitioners, official councils and public
authorities on matters relating to mental health policies.
Today, the EPA continues in the spirit of the founding members, with a focus on collaborating
with European partner organisations, lobbying at the European level for the development
of standards in care, prevention and education, providing professional support to early career
psychiatrists, and translating scientific evidence into the best clinical practice across Europe
and worldwide.

EPA CONGRESS PROFILE
The EPA Congress Scientific Programme is composed of 5 main tracks; each track is composed
of a variety of Plenary, State of the Art, Pro & Con Debates, Symposia, and Workshop sessions:
• Research Track is composed of sessions with a focus on current research trends
in psychiatry.
• Clinical / Therapeutic Track offers participants updated, state-of-the-art, clinical
and therapeutic information which is based on research and linked to daily practice.
• Educational Track provides an update on developments in the field
and the opportunity for exchange of ideas between participants and speakers.
• European Track deals with common issues for psychiatrists across Europe
and will therefore be of particular interest for members of the National Psychiatric
Societies/Associations.
• Mental Health Policy Track deals with principles and models for action aimed
at promoting mental health.
Within each track, some sessions are part of the European Early Career Psychiatrists’ Programme
(EECPP). EPA invites recent graduates to participate in these sessions, which are tailored to the
needs of the early career psychiatrist.

The Scientific Programme will also include:
• Free Communications Sessions – There are Free Communications Sessions classified
by topic, in which the authors of selected outstanding abstracts will give a talk.
• Industry Supported Sessions – There are Satellite Symposia organised by pharmaceutical
companies in consultation with the Scientific Programme Committee.
• E-Posters – There are e-Poster viewings classified by topics, in which outstanding
posters will be presented electronically. There are also daily e-Poster Walk Sessions that
take place during the lunch breaks.
• Ask the Expert Sessions – These sessions allow participants to meet in a small
group with outstanding researchers and clinicians. The sessions, limited in number
and taking place at round tables, are designed to facilitate informal discussion, allowing
participants to present their questions and gain new perspective.

• An application will be submitted to the UEMS-EACCME® for CME accreditation
of this event in order to allow participants who attend the congress to validate their
credits in their own country.
• The EACCME is an institution of the European Union of Medical Specialists (UEMS),
www.uems.net
• Through an agreement between the European Union of Medical Specialists
and the American Medical Association, physicians may convert EACCME credits
to an equivalent number of AMA PRA Category 1 Credits™. Information
on the process to convert EACCME credit to AMA credit can be found
at www.ama-assn.org/go/internationalcme
• Live educational activities, occurring outside of Canada, recognized by the UEMS-
EACCME for ECMEC credits are deemed to be Accredited Group Learning Activities

EXHIBITION
The commercial/technical exhibition will be held at the IFEMA Municipal Palace. The floor plan
has been designed to maximise Exhibitors’ exposure to the delegates.
Exhibit space will be assigned on a ‘first come – first served’ basis except for Platinum, Gold
and Silver sponsors whose spaces are allocated according to their sponsorship level.
Orders for technical installations and exhibition services are only accepted when confirmed

Exhibitor Registration
Two exhibitor badges will be given for the first 9 square metres booked and 1 additional for each
9 square metres thereafter. Any additional exhibitors will be charged an exhibitor registration
fee at € 240 (+VAT*) per badge. Companies can purchase a maximum number of registrations,
as follows:

EXHIBITION GUIDELINES
Participation by exhibitors/supporters is dependent upon compliance with all rules, regulations
and conditions stated herein.
Kenes International is the official Organiser of the EPA 2020 Congress (Hereinafter: “The Organizer).
The Organiser’s Exhibition Manager, acting under direction of the Organising Committee, has the
final decision as to the acceptability of displays. Exhibitors are not to share with others any space
allotted to them without prior written consent by the Exhibition Manager.
Exhibition Layout
The Organiser reserves the right to alter the general layout or limit the space allotted to
each exhibitor/supporter, postpone the exhibition or transfer it to another site if unforeseen
circumstances warrant such action. Should any contingency prevent the holding of the exhibition,
neither the Organiser nor EPA will be held liable for expenses incurred other than the cost of
exhibit space rental fees.
Booth Construction
All exhibits are to be displayed to avoid blocking aisles, obstructing adjoining booths, damaging
the premises or the leased equipment. Exhibitors are kindly requested to allow sufficient see-
through areas, which ensure clear views of surrounding exhibits.
In standard booths, height is restricted to 246cm. Exhibitors are responsible for the cost and
execution of the design, installation and delivery of their display to (and its removal from) the
exhibition site. Flammable materials are not to be used. Equipment displayed or demonstrated
must be installed with strict adherence to safety measures.
Timetable
Access to the exhibition is authorised on presentation of a badge issued by the Organiser.
Exhibitors’ badges will not be mailed in advance and may be collected from the Exhibition
Manager’s desk.
Exhibitors undertake to observe the timetable designated for completion of their display before
the exhibition opening and its dismantling at the close of the exhibition. No dismantling or packing
of the display before the designated hour. It is the Exhibitor’s responsibility to pack and remove
or consign for shipment all items of value prior to leaving their exhibit unattended, otherwise the
Organiser will arrange for their removal at the exhibitor’s risk and expenses.
Promotional Activities
Promotional activities are only allowed within the exhibition surface and only as long as they do
not interfere with the running of the Congress nor disturb the fellow exhibitors. Activities such as
"Meet-the-Expert" sessions and scientific or product presentations talks are not permitted in the
exhibition booth. Any kind of walking advertisement throughout the exhibition area and Congress
venue is strictly forbidden.

Sound Restrictions
Sound, electrical and other mechanical appliances must be muffled so that no noise disturbance
is caused to other exhibitors. The exhibition Organiser reserves the right to determine at what
point activities have to be reduced, respectively sound constitutes interference with others and if
it must be discontinued.
House Rules
The rules of the Congress venue do apply and are binding to all exhibitors. Whoever does not
follow these regulations will be excluded from the exhibition after a first warning. Copies of these
regulations can be provided upon request. Material safety and fire certificates of all stand materials
must be available for controls during build-up. Representatives of the local authorities as well as
the Congress Venue technical staff must be allowed access to your stands at all times. Smoking
is prohibited in the buildings.
Damages / Safety / Insurance
Exhibitors are entirely liable for damages to third parties’ stands, properties, health (be it injury
or death). To this extent the Organiser, EPA, their respective staff and providers as well as the
Congress Venue are to be considered third parties. Exhibitors’ liabilities are extended to their
personnel and / or other people working under their control. Since neither the Organiser, EPA,
and their staff nor the Congress Venue are liable for any damages and/ or loss suffered by the
exhibitors during the exhibition, including installation and dismantling, it is strongly recommended
to arrange insurance accordingly.
Insert and Display Materials
• Please note that all materials entering the venue incur a handling charge. This includes
materials for inserts and display.
• To receive a price quote for handling and to assure arrival of their materials, sponsors/
exhibitors should make sure to complete the “Pre-Advise” form included in the shipping
instructions when they receive either the Exhibition or Symposia Technical Manuals.
Advertising
Advertising is permitted only on the stand space (aisles excluded). Displays of printed matter
or advertising outside this area but on the premises of the Congress are not allowed. No flyers,
posters, handouts, etc. can be left on tables, in conference hotels, on buses, etc. unless the
relevant operators explicitly agree to it. In addition, sponsors/exhibitors must comply with all
applicable national and international rules and regulations related to advertising and promotion of
all products and services as part of their stand. The Organiser and EPA bear no responsibility for
non-compliance by the sponsor/exhibitor.

Disposal and Waste
It is the responsibility of the sponsor/exhibitor to ensure that all waste material from stand
construction (including boxes for packaging) are completely removed from the exhibition area
prior to the opening of the exhibition and at the end of the Congress. Waste cleared by the
Organiser will be charged to the sponsor/exhibitor. The Organiser ensures daily cleaning of the
aisles. Exhibitors /supporters are responsible for the cleaning of their stands.
Exhibition Terms and Conditions
The Terms & Conditions of exhibiting are included in this Prospectus. Please note that signing
of the SPONSORSHIP & EXHIBITION BOOKING FORM AND CONTRACT indicates acceptance
of these Terms & Conditions. The Sponsorship & Exhibition Booking Form will be held as
a valid liable contract, by which both parties will be bound.

Guidelines for the use of EPA Corporate Identity, for Events or Publications which
are not organised directly by the EPA.
The EPA (European Psychiatric Association) and the European Congress of Psychiatry names,
logos and corporate identity reflect the credibility of and is the sole intellectual property of the
EPA. In general, these logos, names, abbreviations or whatever symbols of corporate identity
of the EPA and the European Congress of Psychiatry MAY NOT be used by any organisation
or individual other than the EPA. This also applies to activities organised concurrent with
or at EPA Congresses/events and which are not organised by the EPA Scientific Programme
Committee or subject to the full scientific and other reviews of the EPA Congress Scientific
Programme Committee.
However, special permission will be granted for sponsors and for scientific activities organised by
approved external parties at EPA Congresses and events, such as for approved satellite symposia,
under the following conditions:

The application must:
• Indicate the nature of the printed matter / document such as an invitation, flyer, poster,

should be attached)
• Contain an electronic graphic version of each document, poster, invitation
or whatever that intends to display the logo/ EPA identity. A draft submission may be
submitted for first review, but a final graphic version is required to obtain EPA approval.
The EPA name, logo etc. should not be the principal visual identity of the document,
and should not exceed 5% of the surface of any one page or surface. The discretion of the EPA
will apply.

AND AUDIO/VIDEO RECORDING
Filming, photography and audio recording are regulated as follows:
• No photography, video recording or audio recording is permitted in the scientific sessions
at this congress unless otherwise authorised by the Scientific Programme Committee or
the EPA President. This applies also to any other scientific activities such as workshops
or product theatre presentations, and press events.
• Companies wishing to record an activity of which they are the organiser should contact
Maya Ravinsky (maya.ravinsky@europsy.net) for details. Please refer also to the Audio/
Video recording section under Individual Sponsorship Items in this prospectus.
• Exhibitors may film and/or take photos of their employees and booth exclusively within
the perimeter of their booth. Any recording of persons others than their employees
is subject to explicit consent on part of the individuals concerned.
• Exhibitors wishing to film should contact Maya Ravinsky (maya.ravinsky@europsy.net) for
prior authorisation and details.
• Photos and videos must not include the EPA or the European Congress of Psychiatry
logo/name in any fashion which may produce the visual impression that the material
has been created by the EPA or endorsed by the EPA. The actual originator/sponsor/
exhibitor must be clearly stated.
• All photography and/or filming must be done during the congress opening times.
• Photography and/or filming will be allowed during approved press events for approved
media outlets.
RULES FOR COMMERCIAL SESSIONS
• Satellite symposia and product theatre sessions are organised and financed
by the industry.
• Satellite symposia and product theatre sessions are scheduled outside
the main CME/CPD accredited EPA scientific programme.
• Individual session programmes are subject to approval by the Congress Scientific
Committee.
• The organising company may seek advice from the EPA Programme Committee
when planning the session programme.
• The supporting company, in addition to the sponsorship fee, must cover all speaker
expenses including registration, accommodation and travel expenses. This also applies
in case the speakers have already been invited by the congress. Where the invited
speaker benefits from congress coverage, the organising company will be expected
to cover at minima accommodation expenses related to participation in their session.
In all other cases, the organising company is expected to cover the above expenses
in full.
• If a speaker or chair is invited by more than one company, sponsors may share
the costs of their invited speakers with other companies.

PAYMENT INFORMATION
Deposit
Booking forms received before 21 October 2019 and invoiced for a 60% deposit to be paid
within 30 days of receipt. The remaining balance is to be settled no later than 2 December
2019. Non-payment by this stated deadline will lead to the cancellation of your booking, without
reimbursement of the deposit paid.
Booking forms received after 21 October 2019 will be invoiced for the full amount, to be paid within
30 days of receipt.
Cancellation Policy
Cancellation and changes to your original booking must be made in writing.
• For cancellations before 23 September 2019, 30% of the total cost of each item will be
retained by the EPA.
• For cancellations made between 24 September 2019 and 25 November 2019, 75%
of the total cost of each item will be retained by the EPA.
• For cancellations after 26 November 2019, 100% of the total cost of each item will
be retained by the EPA.
Payment Method
• Payments will be via bank transfer only, upon receipt of an invoice.
• Invoices will include the relevant bank details.
• Bank charges are the responsibility of the payer.
VAT Information
All prices are exclusive of VAT, and are subject to VAT which will be added to the invoice.
The charge of the VAT will depend on the location of the supporting companies as follows:
