ACADEMIC PROGRESS REVIEW (APR)
Academic Progress Review (APR) involves an assessment of all students' results and the
identification of those students who are experiencing issues with their academic progress in a
given semester

Many students have difficulty in adapting to the university environment. The purpose of APR
is to monitor your progress and reach out to you if you are having difficulties in passing units
and help support you towards the successful completion of your course.

We know that failing units can be extremely disappointing and can happen for a variety of
reasons, including difficult life circumstances and events that are outside of your control. It is
important to reflect on what may have impacted upon your studies and make the most of the
advice and support on offer to help resolve those difficulties. If it is not clear to you where
things may have gone wrong, working through the APR Questionnaire (PDF 197KB) can also
provide you an opportunity to identify areas for improvement.

The APR process will occur for all students at the end of each semester.

Good Standing
If you are given the academic status of Good Standing it means that you have passed more
than 50% of your enrolment in a given semester

On Good Standing no formal action is required.

Supported
Supported status means that following APR you have been identified as having failed 50% or
more of your enrolment for the first time, failed the same unit for a second time, or have
moved to the Supported status from Conditional status after a semester of passing more than
50% of your units.

Following the release of your exam results in the relevant semester you will receive an email
from the University and the Student Support Administrator. You will be provided a time to
meet with the Student Support Administrator who will provide you with the opportunity to:

• Find out more about the APR process and any associated procedures.
• Talk through any difficulties you may have experienced during the semester and develop
some strategies to help manage these difficulties in future semesters.
• Identify which staff and additional services we can refer you to for further support and
    advice.
• Book further appointments to follow-up on your progress.
• Formalise this advice in a Support Plan.

Check your letter for more information if you are now on this status. Please note, this process is
compulsory for International Students.

                                                                                  Student Handbook
Conditional
Following the release of your exam results in the relevant semester you will receive an email
from the University and the Student Support Administrator. You will be provided a time to
meet with the Student Support Administrator. This is a mandatory meeting to support your
continued academic process and it is important that you engage with this to:

• Find out more about the APR process and any associated procedures
• Talk through any difficulties you may have experienced during the semester and develop
strategies to help manage these difficulties in future semesters
• Identify which staff and additional services we can refer you to for further support and
    advice
• Book further appointments to follow-up on your progress
• Formalise this advice in a Support Plan

Check your letter for more information if you are now on this status.

Excluded
Exclusion status means that following APR you have been identified as having failed a third
semester of 50% or more of your enrolment.

Following the release of your exam results in the relevant semester you will receive an email
from the University and will be contacted by the Head of College to organise a time to meet to
discuss.

Being excluded does not mean that you are excluded from the University, rather it means that
you are not permitted to continue your enrolment in the course from which you have been
excluded for a period of 12 months. You will be automatically withdrawn from your course at
the end of the appeal period if you have not appealed. If you lodge an appeal against your
exclusion, you will remain enrolled, pending the outcome of your appeal.

A comment will be placed on your academic (or faculty) record stating that you have been
excluded from your course. This comment appears on your official UTAS academic transcript
and is a permanent part of your record.

The usual period of exclusion is 12 months from the date of the exclusion, however, your letter
will give you the exact details of your exclusion period.

Appealing against Excluded
Your appeal must be received within twenty (20) working days of the date of your exclusion
letter. Your appeal must be emailed to International.Pathway@utas.edu.au

Your appeal request will be acknowledged and be considered by the College or Institute
Academic Progress Review Committee.

All appeals will be dealt with confidentially, so you should present your case in full, attaching
all relevant documents. You may present your appeal before the Committee (if you wish). You
will be notified in writing of the outcome of your appeal.

                                                                                 Student Handbook
Returning to Study after being Excluded
When the period of exclusion has finished you may apply for re-admission to the excluded
course or a new course. We recommend arranging an appointment with the Head of
College before re-commencing your studies and also seeking enrolment advice from your
faculty.

ASSESSMENT MARKS
Students should contact the Unit teacher (in the first instance) in relation to queries about an
assessment task. The Unit teacher may decide to review the assessment. Students should keep
all work from all units on file.

ASSESSMENT, TEST OR EXAMINATION - MISSED
DEADLINES OR ILLNESS

Extensions, Late or Missed Assessments
Extension and late assignment information as outlined below is clearly stated within each Unit
Outline.

If a student wishes to apply for an extension, they must contact their unit teacher before the
assignment due date.

In general, students will be required to provide evidence of unforeseeable event. A medical
certificate is required in the case of illness. Insufficient organisation (including lack of
communication between group members in the case of a group assignment) or technical
issues will not be accepted as grounds for an extension.

Unless the student has been granted an extension, late assignment submissions will incur a 5%
penalty deducted from their assignment mark per working day up to 5 days late. An
assessment task submitted more than 5 days late will not be accepted and a zero grade will be
awarded to the item.

Deferring an Examination due to Illness
If you are ill on the day of your exam, you may apply for a deferred exam. Please follow the
below process:

   1. On the day of the examination before the start time you MUST contact the
Student Support Administrator via text, email or phone to advise that you
cannot make the examination. The Student Support Administrator will notify the
        Head of College.

                                                                                Student Handbook
Please see the below contact information:

       Text/WhatsApp or Email
       +61420 379 136 International.Pathway@utas.edu.au

   2. If the Student Support Administrator deems that you are unable to attend the
examination, they will email the application for a differed examination form to your
      UTAS email address.
   3. Please read the information on the form carefully.
   4. You MUST visit a medical practitioner on the day of the examination.
   5. Please ensure that your medical practitioner provides a note typed in English, stating
the dates for which you are unable to attend examinations.
   6. Please note that applications are due within 3 working days of the missed exam.
   7. Please contact the Student Support Administrator if you have further questions.

Missing a test due to Illness/other circumstance
If you are prevented from sitting a unit test due to illness, you may be considered for
compassionate consideration. You must provide a medical certificate typed in English,
stating the dates for which you were unable to attend the test to the Student Support
Administrator within three days of the assessment date. A student may be given
compassionate consideration for a maximum of one assessment per semester. All
other assessments will be given a zero mark if a student is absent – with or without a
medical certificate.

If you are prevented from sitting a unit test due to unforeseen circumstances, you may
be considered for compassionate consideration. You must meet with the Student
Support Administrator within three days of the assessment date and provide sufficient
evidence. A student may be given compassionate consideration for a maximum of one
assessment per semester. A decision is made in conjunction with the Head of
College and Student Support Administrator.

Please note that if compassion consideration is granted, the grade will be updated at
the conclusion of all internal assessments within the unit. If you have any questions
please see the Student Support Administrator.

Special Considerations for sitting and Examination or Test
If you were ill when you sat your exam (or something else had happened which affected your
performance) you may wish to apply for special consideration. The form is available on MYLO.
You should complete the application for special consideration no later than 3 working days
after the examination. You must complete a separate application for each unit affected and
submit these directly to the Student Support Administrator via hand or email. Please include
supporting documentation with your application: without supporting documentation, no
consideration can be given.
The consideration granted will depend upon your examiners and the outcome will be advised
in writing to the students University email address. Please see the Student Support
Administrator if you have any questions.

ATTENDANCE

Absence
If you are unable to attend a class for any reason, you will be marked absent.

If you are sick, you must visit a doctor and be issued with a medical certificate. The medical
certificate must be typed in English, and state the dates for which you are unable to attend
class. You must KEEP the medical certificate and provide at a later if required. Please note that
Chinese Herbalists and Chinese Acupuncturists ARE NOT acceptable.

Staying home and taking “medicine” (without a medical certificate), meeting people at the
airport, agent business or bank business, are not valid reasons to be absent.

Please email your teacher to enquire about missed work.

Attendance
You MUST attend all scheduled classes. Attendance is not optional. Please note that any
absence from scheduled classes will result in an absence being recorded, regardless of the
reason.

You are expected to have 100% attendance.

An attendance register is kept for all classes.

If you lose connection during class, you must reconnect as soon as possible at least 4 times. All
connections are recorded in a Zoom session report and reviewed by the teacher when marking
attendance.

If you have internet difficulties that prevent you from attending a Zoom class, you must
contact your teacher within the first 15 minutes of the class. You may contact them using your
mobile phone, via email or Whatsapp. Otherwise you will be marked absent.

If your attendance falls below 85%, the College will contact you via your UTAS email. If your
attendance continues to be below 85%, you will receive an Attendance Warning Notice.

If your attendance falls below 80% for the semester and it is clear that you will not be able to
achieve the 80% requirement for the rest of the semester, you will be reported to the
Department of Immigration and Border Protection (DIBP). DIBP may decide to cancel your
visa.

You have the right to appeal your attendance within 20 working days.

Please note the UTAS International Pathway College will not offer re-enrolment of units or
resit opportunities to students who do not meet the Pathway College minimum attendance
requirements of 80%. Students are expected to have 100% attendance.

Grade Point Average (GPA) is a calculation that averages your achieved grades across a course
into one figure. Achievement of a specific GPA may be required for entrance into specified
UTAS degrees.

Upon completion of a unit, a Grade Point Value is assigned from the Grade Points (%)
achieved within that unit. The Grade Point Value is then averaged across all units that have
been attempted, calculating your overall GPA.
