News from SL Meetings (2)
    • Phones:
             – mobile phones: ask if needed
                • contract with Swisscom being renegotiated for better
                  roaming conditions to neighbouring countries
                • difference between “private and official” may disappear in
                  the wake
             – Fixed phones
                • plan to replace by “skype for business” with headset
                • certain IP phones no longer supported, analog phones
                  phased out
                • if you need a fixed phone (office, lab, equipment room),
                  ask secretariat now

Good Practice
    • Presence and Leave: Staff rules say:
             – 8:30 – 12:30, 13:30 – 17:30, +/- 1 hour
             – if systematic derogations needed  contact central secretariat
             – Illnes and accidents: report to supervisor and secretariat
                  • Illness of a family member: ask in time what you are entitled to and what type of
                    certificates are needed
             – Leave year finishes 30 September  HR or secretariats:
                  • be aware what the rules are in case your leave account is > 30 days
                  • saved leaved scheme (optional)
             – Maximum time worked per day and per week:
                  • Rules foresee that you take leave after interventions (EDH) to respect limits
                       – You may be asked a justification for exceeding limits

    • Telework (occasional, needs approval)
             – urgent (for example weather); give reason on form or call supervisor, explain
               and agree on what you will work on from home
             – non-urgent (no reason needs to be given), explain what you will work on;
               make request the day before, before COB so it can be discussed if needed

Email
      • Give it an extra consideration before you hit “send”
             – What is your objective?
             – Is sending this email an effective way for all involved?
             – Think if it is within the mandate of the person receiving
               the mail to treat your request
             – for questions and actions: address to single person
             – use cc with moderation; I do not use bcc
             – be aware that your email may be forwarded or shared by
               the recipient
      • direct conversation, phone or a meeting can be a
        better way to achieve your objective (with a written
        confirmation by mail after agreement)
      • Chat systems ?

Safety gear
      • request by management to return rarely used
        dosimeters
             – we can put the operational dosimeters in the
               TRAKA Box, too (need a check if they fit)
      • Safety helmets, check validity and change if
        required
      • Safety masks (Stephan Rey) organises
        maintenance

Cars
      • CERN cars: observe rules, keep clean and with
        fuel, report problems to Reinier
             – we’ll keep the present number of cars in LS2
      • For official travel (also for visitors): ask the
        secretariat what the rules are and what the
        best solution is

      • Training budget is per department
             – Travel for training is on the groups travel budget

      • Safety, informatics for offices, travel, general are RF group budgets
      • Signature rights
             – 500 CHF, 5 kCHF, 10 KCHF, unlimted
             – priority at signature level can be defined
             – however, no mechanism to filter where order came from
                 • i.e. if you have the 500 CHF signature right with highest priority you will have
                   to sign all orders of people who do not have a signature right on that budget
      • 2019 OP budgets: Send me your needs (instruments, repairs,
        maintenance)
