CONGRATULATIONS!
Planning your wedding is an exciting time! The Depot Hotel Restaurant and Garden has had the honor of
hosting many Ceremonies, Elopements, Weddings, Receptions, and Rehearsal Dinners. No matter how
many “special events” we do, we always remember that this is a most important day in the life of those joining
their lives together. Whether it is an elopement and a very small, intimate group, or a larger wedding where
the happy couple is surrounded by a larger group of family and friends, the day will be a very joyous one,
filled with many happy memories for years to come.

Our goal is to make the planning process, and the wedding day itself, simple and joyful for the couple.. Our
in-house Event Manager enjoys planning unique, personalized weddings. The wait-staff is highly trained in
anticipating a guest’s wishes. Our team of culinary professionals is led by a Chef of remarkable skill, creativity,
and experience. Together, with our waitstaff, our event team provides elegance, thoughtfulness, and a level
of professionalism that is hard to match.

                   Wedding Reception Services – Groups 50 - 140
Here are the “short answers!” All our packages are as all-inclusive as possible. At midday, the only charges
are for food, beverages, tax and tip. In the evening, the charges are the same, plus an additional evening
site fee for private use of the entire venue in the evening. There are no other charges of any kind. There are
no hidden costs or “add on” fees.

Our maximum group size we accommodate is 140 guests.

Included in all our wedding packages at no extra cost:
    •   Completely private use of the entire venue, indoors and out, for your event.
    •   Venue Insurance
    •   The professional services of our Event Coordinators to plan and coordinate your event, in all the
        months leading up to your event, for your rehearsal, and the entire day of the event.
    •   Our Coordination Staff also does all your event décor set-up prior to the event,
        as well as all your event break down after the event.
    •   Professional service staff.
    •   European-trained Chef, supported by a trained team of culinary professionals.
    •   One-hour of wedding rehearsal time, scheduled one or two days prior to the reception.
    •   Ceremony on site, if desired, with the reception following.
    •   Wedding cake cutting and service by our staff.
    •   Covered poolside dancing terrace.
    •   Sound engineer-designed, professional quality sound system throughout.
    •   White market umbrellas.
    •   Votive candles in white chimneys.
    •   Dramatic Italian copper space heaters, for evening events
    •   Tables and chairs, both indoors and outdoors.
    •   White linen tablecloths and napkins.
    •   European-style flatware, white china, and glassware.
    •   Complimentary parking for 500 vehicles, in our private lot and two large public lots
        directly across the street.
Not included:
    •   Flowers.
    •   Wedding cake.
    •   Live music or DJ,
    •   Photography services.

Each group must select ONE of the above packages for the event. The package applies to all adult guests
present for the event, 21 years and over, the soft beverages for all underage guests. The package also
provides for payroll for all staff for the duration for the event. Price per person on unlimited service
packages for any event that exceeds four hours, will by pro-rated for additional beverage service time by full
hours. Service Staff and Beverage Package pricest are guaranteed no more than 4 months in advance
of an event.

Unlimited Package Beverage service is unlimited only the within limits of California State Liquor Licensing
Law and commonsense. By State law, we are not allowed to serve persons who are clearly inebriated.
Beverage service will cease immediately if members of the party serve alcoholic beverages to underage
guests. Last call at the bar is 15 minutes before the conclusion of any event.

We make every effort to provide the exact wines described in every package on the day of the event.
However, we cannot control supplies available from wineries and distributors. In the event a wine becomes
unavailable, we reserve the right to substitute a wine of similar quality and price.

There are no Rental Fees. All our receptions include event coordination at no additional charge. The
Evening Site Fee (evening buyout fee) provides you with completely private use of our entire venue in the
evenings, including all dining rooms, bars, terraces, and the garden. A nighttime event is any event with

Frequently asked questions
1.   How much does a wedding at the Depot Hotel cost?
     Midday wedding reception costs are based only on food, beverages, tax and tip. Evening wedding
     receptions are exactly the same, with the addition of an Evening Site Fee (buyout fee.)
     There are no other rental fees or other costs of any kind.

     All other services we include are completely complimentary and are listed on page 3.

     By California State law, all food, beverages, evening site fees, and event gratuities are taxable.
     Gratuities are based on 20% of food and beverage costs only. All evening site fees, booking fees,
     and food deposits, and final payments, are non-refundable in the event of a cancellation.
     The Security Deposit is refundable after the event, if all contract Terms and Conditions are met.

2.   What guest minimums are there for private use of the entire venue?
     Please see the graph on the previous page

3.   May we use just part of the venue for a small wedding?
     Groups of 4 to 49 may reserve a part of the venue for a ceremony mid-week, between 10 and 2 pm.
     The remainder of the venue is open to the public as a Restaurant, in a semi-private format.
     Weekends are not available for small wedding events. Since the venue is shared, DJs and dancing
     are not possible when the venue is shared. For more details, ask for the “Event and Party
     Information Package.”

4.   How are deposits and payments for large events scheduled?
           A Booking Deposit of $1000 and a Contract are due upon booking.
           An Evening Site Fee (buyout fee) for evening events is due 6 months in advance.
           A Security Deposit of $1500 is required 4 months before the event.
           A Food Deposit is due 3 months before the event.
           The Guest Count and Seating Plan are due 3 weeks before the event.
           The Final Balance is due 2 weeks before the event.

     The Booking Deposit, Evening Site Fee, and Food Deposit are all separate non-refundable down
     payments that go toward the final bill. The Security Deposit does not go toward the final bill, but is
     refunded the week after the event if all contract terms are met. A credit card on file is required for
     these scheduled deposits.

  5.    When is the guest count due?
        An accurate guest list is always the key to a successful event.
        A “best-guess” of the number of guests is required 90 days before the event.
        A final, accurate guest count is due 3 weeks in advance of the event and is considered a guarantee.
        The final guest count many not be reduced after that date. If unexpected additional guests attend
        the day of the event, a supplemental bill will be calculated and paid from the Security Deposit, or
        the credit card on file provided for this purpose. The Seating Plan is also due 3 weeks in advance.

  6.    What forms of payment are accepted?
        Cash, local checks, PayPal, Master Card, Visa, American Express, Discover.

  7.    When may we visit the venue?
        Wednesday through Sunday. The Restaurant and the Garden may be viewed informally during any
        of the hours that we are open to the public for lunch or dinner. If you would like a tour or a more-in
        depth meeting to discuss dates, timing, and menus, then an appointment with the Event Manager is
        recommended, so that she may give your plans the attention they deserve. Call during office hours
        707-938-2980, from 9 am to noon, Wednesday through Sunday. Email inquiries and questions are

  8.    When do we plan our event?
        Usually about five to six months in advance of the event, the couple makes an appointment with the
        Event Manager to plan their wedding day in detail. At this meeting we discuss the menu,
        beverages, tables, timing, ceremony, and all the other details of the event. At this time, final menus
        and beverage packages are set and final prices are guaranteed. The Event Manager goes over every
        wish of the wedding couple—to make sure that their special day will be exactly as they wish. The
        Event Manager and team is also available at any time before and after these meetings to answer
        questions, to offer suggestions, and to assist the wedding couple in making sure all their plans go
        smoothly. Our goal is to make the wedding planning process as easy as possible—and to make the
        time prior to the reception a relaxed and happy one for the bride and groom.

  9.    When can we rehearse and is there a fee?
        Wedding rehearsals are frequently scheduled a day or two before the wedding and they are free of
        charge. One hour of complimentary ceremony rehearsal time is included in your wedding package.
        Additional time may be arranged for at an additional cost.

  10. Where is the ceremony and is there a fee?
        Many couples hold their ceremony beneath the Pergola in our beautiful garden. There is no charge
        for a ceremony at the DEPOT HOTEL RESTAURANT, when followed by a reception. Ceremonies may
        also be held earlier in the day at one of our many local churches, parks, or vineyards.

  11. How long is our wedding reception?
       The venue reception time, including ceremony if desired, is usually for five hours, but additional
       hours are possible. Besides event hours, we also include a 2-hour set-up and 1-hour break-down
       time for professional vendors, before and after your event. These vendor set-up times are separate
       from your event hours. The coordination staff of the Depot Hotel performs all other set-up and
       break-down for the event for you, so it is a completely effortless event for the family and friends of the
       bridal couple.

  12. Are music and dancing allowed?
         Before planning music for your event, discuss your ideas with the Event Manager. While live music
         or a DJ is absolutely allowed, there are County-wide curfews after 10 pm on Friday and Saturday
         nights and 9 pm on Sunday through Thursday for amplified music. All DJs and bands must operate
         through our in-house state-of-the-art sound system.

  13. May a professional florist decorate the venue?
       The host or hostess of the reception usually makes plans with a florist to decorate the cake, the
       tables, and to provide flowers for the wedding party, as desired. We will be glad to work with your
       florist in planning the arrangements. The florist may tour the Restaurant any open day prior to the
       reception. The professional florist may have access to the Restaurant to set up flowers two hours in
       advance of the event, by prior arrangement only.

  14. Is there a charge for cake cutting?
       We are delighted to cut and serve the cake for you as part of our complimentary services. We know
       many excellent local bakers we are glad to recommend. Many couples also choose one of our
       dessert buffets instead of, or in addition to a traditional wedding cake.

  15. When may we have access to the venue the day of the event?
       There is no need at all for family and friends to come in to “work.” Our staff is already hard at work
       preparing the venue for your event, doing all your set up, just as you have instructed us to do! By
       prior arrangement, professional vendors who are providing music, flowers, and cake have access to
       the facilities two hours in advance of the event to do their professional services set-up. Please
       discuss the needs of your vendors with the Event Manager. The rest of set-up is done for you by our
       in-house Coordination Team. The venue is not available for photography while we are setting up for
       your event. We recommend great local sites nearby, for fantastic “first look” and family
       photography. The guests, the family, the hosts, and the photographer should arrive 30 minutes
       before the event start time, as there is no work to do, simply to enjoy your day.

  16. Do you have vendor recommendations or require us to work with certain vendors?
       Over the last 30 years, we have become familiar with many excellent local bakers, florists, musicians,
       photographers, etc. We are also able to recommend local lodging and entertainment for your
       guests. Upon booking an event, we are delighted to share our "Highly Recommended Vendors" list
       with you. It is an excellent resource to assist in your planning process. Most vendors may be
       selected freely. However, there are special requirements to be met regarding music, (band or DJ,)
       in order to conform with Napa and Sonoma County ordinances. Please check with the Event
       Manager before hiring a band or DJ.

  17. Do you offer a “tasting menu”?
       We invite you to enjoy a sampling of some of our current Restaurant menu items at your
       convenience. However, it is not usually possible for us to reproduce many of the large-scale dishes
       from our banquet menus. Our menus in this package have been designed to work well for large
       groups and are not easily scaled down for “just a taste.” Additionally, acquiring the finest and
       freshest seasonal ingredients is important to us. Often, you are selecting your menu 4-8 months
       ahead of the event and those seasonal items are not available when you are tasting. If there are
       specific concerns or questions you have, please discuss it with us, for an additional fee we can
       purchase out of season event ingredients and arrange a custom tasting menu for you.

        “I am long overdue to write a review of our lovely wedding last fall. The staff took exceptional care of
our event and guests. It was a crazy wedding as it rained, (seriously, the only day all of last year), we had
maxed out the venue capacity and it was Game 4 of the Giants World Series. You would never have
guessed that it was such an eventful day. The staff was cool, calm, and professional and despite having so
many guests, no one had an empty glass all evening. The mushroom risotto was such a hit that our guests
were going back for full plates and the kitchen had no issue making more. As far as lacking a tasting menu
before the wedding, I completely understand the feelings of hesitation with this policy. We dined at the
restaurant before selecting the menu and the food is delicious so felt confident going forward. Our guests

food was. And it is very difficult keeping food hot for 170 guests but they just nailed every aspect of
