   Following the outbreak of Covid 19 this guidance has been created for the
 safety of all our pupils and staff so far is reasonably practicable and in line with
   s.2 of the H&S at Work Act 1974. We would like to take this opportunity to
    thank you in advance for adhering to this guidance. Only following these
guidelines can we open our School safely providing you with the protection that
                           you are entitled to and deserve.
 Deliberate breaches of this guidance putting yourself and others at risk will be
                             classed as misconduct.

These procedures will come into being once the Campus is re-opened (providing the equipment to
carry them out is onsite). Following the pandemic and until a vaccination has come into being, we will
be altering the way in which we allow staff and pupils to come onsite.

When referring to PPE throughout this document the following is the guideline –

Full PPE for everything apart from First Aid means wearing a reusable mask, gloves, visor and apron.

First Aid full PPE means wearing a disposable mask, gloves, visor and apron.

PPE around school means a reusable mask.

Staff

    •   All staff prior to coming on site should, on a daily basis, take their temperature and ensure
        that it is below 37.8°C
    •   If you do not own and cannot purchase a thermometer please come onto site and take your
        temperature in the foyer or entrance of the building at the campus you work at. There will be
        a number of thermometers located here. If your temperature is above 37.8°C then return
        home immediately. If supporting other staff or pupils with this, consider using on the side of
        the forehead or upper arm to reduce stress.
    •   If a temperature of 37.8°C or above is indicated or a persistent cough is present then please
        follow Linwood School Attendance at Work Absence procedures. Do not attend your campus.
        A copy of the Attendance at Work Absence procedures is set out at the end of this document.
    •   All staff, whether attending an education setting or at home, will have access to a test if they
        display symptoms of coronavirus and are encouraged to get tested in this scenario. Please

Passenger Assistants

    •    No Driver or Passenger Assistant will be allowed into School buildings for any reason
         henceforth. This will be agreed with all transport authorities prior to opening.

Pupils at Littlewood

We shall, for the foreseeable future, be checking all pupils' temperatures. This will be carried out in
the following ways:

     •   By minibus: All pupils coming into school by minibus will have their temperature taken prior
         to getting on the bus. If a temperature is indicated of 37.8°C or above or a persistent cough
         then the pupil will not be brought into school. Staff will meet pupils arriving on site at the
         entrance and take them to their classroom. As no Passenger Assistants will be allowed onto
         site any information will be relayed at this point.
     •   By parent: Parents transporting their child into school will be asked not to come to Campus
         before 9.30am, in order to stagger entry. They will be asked to socially distance, 2 meters
         apart, while waiting to come into school. Pupils brought in by parents will be met by staff at
         the main entrances. Pupils will line up at the door, 2 metres apart, with TA’s in PPE, to enable
         this. Pupils will progress through the entrance where a member of staff, in full PPE, with a
         forehead reading thermometer will take the pupils’ temperature. The result takes only 0.5
         seconds to be read. If the pupil’s temperature is above 37.8°C or they display or a persistent
         cough the parent will be asked to take their child home. Pathways leading to the entrance
         will be marked a 2m intervals, along with signage.
     •   By taxi: Pupils coming in by taxi will be met upon arrival at site by two members of staff, one
         will reassure the pupil and one (in full PPE) will take the pupil’s temperature. If any pupil has
         a reading of 37.8° C or above or a persistent cough, then the pupil will be taken to the
         Quarantine room (see list below) The pupils name will be passed to a member of SLT and
         contact will be made with the Parent/Carer so that the child can be returned home.

All parents should be informed that pupils have the right to a coronavirus test and directed to go
online to book this: https://www.gov.uk/apply-coronavirus-test#. Parent/Carers should be informed
that the pupil should self-isolate if they show symptoms for 7days and the family should self-isolate
for 14 days.

One minibus at Springwood will be designated to collect any pupils that need to be returned home
due to a temperature or persistent cough from both Littlewood and Springwood if the Parent/Carer is
unable to collect quickly. This will be manned by a first aider in full PPE and driver in PPE suitable to
allow driving. The pupil will sit at the back of the minibus to allow social distancing. If a pupil needs
transporting home, please contact Reception at Springwood to arrange this.

Pupils at Springwood

All pupils, visitors, contractors – everyone who comes into Reception - will have their temperature
read by a camera which relays the information to a monitor that will be staffed by a member of
Admin/SLT.

    •    If any pupil comes in by minibus or taxi and has a reading of 37.8° C or above or a persistent
         cough, then the pupil will be taken to the Quarantine room (see list below). The pupil’s name
         will be passed to a member of SLT and contact will be made with the Parent/Carer so that
         the child can be returned home.
    •   If a pupil arrives with a Parent/Carer and the pupil or the Parent/Carer has a reading of 37.8°C
        or above or a persistent cough, they will be asked to take the child home. Parent/Carers will
        then be told that pupil should self-isolate if they show symptoms for 7days and the family
        should self-isolate for 14 days.
    •   All parents should be informed that pupils have the right to a coronavirus test and directed to

    •   Any visitor/parent/carer –A temperature of above 37.8°C or above will mean access to site is
        refused and the individual should be asked to leave the building and return home with advice
        to contact their GP or NHS 111.

Quarantine rooms

These should be manned by a First Aider and a TA in full PPE, one on the door to prevent anyone
entering the room and one inside with the pupil to reassure and care for the child.

The member of SLT who has been tasked to contact the Parent/Carer of the pupil will keep the staff in
the Quarantine room and the minibus staff updated of progress.

Designated Quarantine Rooms:

Springwood will use the Parents room.

Littlewood will use the Sensory room which is air-conditioned

How Reception will operate:
A sign on the door will state no waiting in Reception. Markers on the pathways outside the buildings
will indicate the 2m social distancing markers.

    •   A sign on the main door and on the outside walls will say – ‘Please queue outside socially
        distancing and wait for reception to be empty before entering’.

Behind the main door in reception there will be a self-dispensing hand sanitiser. Everyone entering
the building will use this to clean their hands before progressing into the foyer.

    •   A sign on the door will say ‘Hand sanitiser must be used upon entering the building’

Agency Staff

    •   Agency staff will be asked to report to sign in before 9am.
    •   All agency staff will have their temperature checked upon arrival to ensure that it is below
        37.8°C
    •   Long term Agency staff will retain their badge and only come to Reception to give their
        name as present on a daily basis.
    •   Agency staff working on an ad hoc basis will receive a badge and sign in as normal, before
        9am. Before returning it, they will be asked to clean the badge with spray disinfectant that is
        available from reception, place it in a plastic bag, where it will be left overnight.
        (TRACY/KAREN/GEMMA TO ORGANISE DISINFECTANT AND BAG WITH CARETAKER)

A copy of any paperwork for Agency staff to complete will be sent to the Agency. They will then
organise any potential staff to complete the paperwork before coming to site. When arriving onsite
having signed in, SLT will take the member of staff to their office for the completion of all Agency
checks. All agencies should be informed that unless the new Agency staff member arrives with their
DBS certificate and ID and right to work documentation they will be refused access to work.

Visitors/Contractors: this includes any Physio/SALT/Doctors/Cleaners – (now referred to as
visitors) - anyone who is not contracted by Linwood School.

    •   Visitors will report to Reception to sign in, providing they have a temperature below 37.8° C.
        A temperature of above 37.8°C or above will mean access to site is refused and the visitor
        should be asked to leave the building and return home with advice to contact their GP or
        NHS 111.

    •   Visitors will receive a Visitors sticker not a lanyard.

•   Visitors meeting a member of staff will then be asked to wait outside until collected by the
        person they are meeting.

    •   Contractors will still have their coloured badges but these will be given to the Caretaker/Site
        Manager after use who will clean it before placing it in a plastic bag and returning to
        Reception.
    •   Cleaners badges will be left out inside a bag - marked up for them to return the badge into
        the bag once they have cleaned it. In the morning, this should be placed in a drawer and left
        undisturbed until the following evening when the bag with the badges in should again be left
        out for the cleaners use.
    •   The School Leaflet will be printed and displayed rather than given out to read. Visitors must
        acknowledge they have read it when signing in.
    •   There will be signage left out for cleaners which will say ‘Please return badges to this bag
        once you have disinfected the lanyard and badge’. This should be placed with the signing
        sheet for the cleaners to read.

In order to prevent transmission of the virus, we are installing a Perspex reception panel with a hole
at the bottom to prevent cross contamination and transference of the Covid 19.

These new arrangements will impact upon the time taken to complete the register. However,
registers should be prioritised, and all should be completed by 10am.

    •   For the foreseeable future reception will be a closed room to all staff and pupils.
    •   All queries should be made by email or phone to reception.
    •   All staff requiring keys / stationery from reception should make the request through the
        window.
    •   Any items that pupils would normally leave in reception should be kept in their classroom in
        a lockable cupboard. If this is not possible, then any items that a pupil normally leaves in
        reception should be placed in a sealable plastic bag and kept apart from all other items in
        the office.
    •   A supply of forms that are used on a regular basis should be kept in the classroom or be
        available to be downloaded easily from the computer and printed.

School Lunches

We will not be providing any school lunches from 1st June until further notice. The free school meal
voucher system will continue for all pupils. Parents/Carers will be asked to send in snacks and
lunches for all pupils.

No food that is sent in from home is to be cooked in the classroom. If food is sent in that requires
heating or cooking, it should be disposed of in one of the kitchen bins and a phone call should be
made home to request a packed lunch be brought in.

Alison will be producing a letter to be sent home outlining foods that could be sent in to provide a
healthy packed lunch. Nothing will be allowed in the lunch boxes in the summer months that needs
to be refrigerated e.g. yoghurt, as this could lead to cross contamination within fridges

Pupils will be asked to bring in water containers / drinks bottles each day and taken home at the end
of the day to be washed up.

Washing Clothes / School Uniform

Parents will be encouraged to wash all clothes following a day in school. Therefore from 1st June
until further notice, we do not expect pupils to attend in school uniform on a daily basis and pupils
will be able to attend school in non-school uniform.

For the foreseeable future we will not be supplying any uniform. Instead this will be supplied by an
external company. Details to follow.

Post

Letters home will go out to classes in the normal way. Post, both external and internal, will be placed
in a plastic bag and left for 24 hours and then opened. If a letter is marked urgent either wear gloves
to open it or wash your hands/sanitising immediately after.

Orders and Deliveries

Following new guidelines, we will not be making any orders except for the express purpose of COVID
19 or for the setting up of new classrooms. All deliveries will come to Linwood Campus – none will
be sent directly to any other campus.

Delivery drivers should be advised on the order to report to Linwood Campus Reception, sanitise
their hands and then bring the package to the bottom gates of the Turner Building. They will be met
by a member of staff at the bottom gate and supervised as they deliver the package into the Pool
area changing room. The date and time of the delivery will be marked on the package. All deliveries
will be subject to a decontamination period which will be controlled by the premises team. Once
decontaminated, orders will be collected by the premises team and brought back to the correct
Campus. No packing will be kept for use by classes.

Classes/Lessons
Classrooms

Some adjustments will be needed to classrooms at this time to prevent contamination and enable
effective cleaning to take place.

    •   Soft furnishings - please remove from all classrooms any items that cannot be cleaned down
        easily, this includes rugs, cushions, soft furnishings, hanging cloth, etc. Sofas should also be
        removed and put in storage or put in another classroom if made of fabric. Faux leather or
        leather are acceptable.

    •   Bean bags will need to be washed down at the end of each night.

    •   Classrooms should be laid out in the Early Years so that pupils have an area of working space
        to themselves accessible by staff only.

    •   No pupils should share any resources.

    •   No use of any resources that cannot be cleaned, e.g. Playdough.

Class Sizes

     •   The class size will be determined by the size of the class ÷ a 6 feet square area – this will be
         marked out in each class for Year 6 and above for a pupil’s use with a walkway for staff
         between.

     •   We will be aiming for 2 pupils per classroom with appropriate staffing levels. The Class
         Teacher will work between classrooms in his/her cohort.

     •   Due to staffing levels we will be opening for 2 cohorts on Monday and Tuesday then close
         the campus to all but Keyworkers’ pupils on Wednesday then reopen Thursday and Friday
         for the next 2 cohorts. This will help with the number of staff that will need to be on site and
         allow Wednesday for the virus to dissipate.

     •   Mark and Judith will work this out during the half term break once classes and classrooms
         have been determined.

     •   Computers-Touch screen- laptops and Promethean boards (from here on referred to as a
         computer).

     Both pupils and Staff should either sanitize or wash their hands prior to and after using any
     computer. One pupil / staff member only per computer. Promethean board touch screens
     should only be used by the Teacher in class or, in situations where the Teacher is working
     between classrooms, by the lead TA in the classroom directed by the Teacher. Cleaning
     protocols for computers will be released as soon as possible.

Sensory and Soft Play rooms

     •   These should be open for use across every campus for stress reduction for both pupils and
         staff.

     •   They should be cleaned down at the end of each session. One member of staff per day could
         be allocated the job of cleaning (in full PPE) after each session.

     •   Timetabling will allow for this to happen.

PE

     •   For the foreseeable future there should be no inside yoga, dance classes or PE. All of these
         activities should take place in outside places.

     •   Swimming will no longer be timetabled for the foreseeable future.

Sale of Food

     •   No sale of food made by staff or pupils during lesson for foreseeable the future, this
         includes, unfortunately, Tasty Bites, Mini Enterprises.

Food Tech lessons

    •   Food Tech lessons may go ahead in the Food Tech room providing that social distancing is
        adhered to.
    •   Food Tech in classrooms may be carried out providing that the teacher leading the session
        ensures that social distancing is possible and measures of hygiene are above expectation.
    •   No tasting of a shared prepared food or food prepared by the Teacher should go ahead.
    •   Only food where the pupil has prepared the food should be tried by that pupil.

How Classes will operate at breaks and lunch

Littlewood:

Break times

Class Acorns - break at 10.00 - 10.30

Class Seedlings - break at 10.30 - 11.00

Lunch

Lunch will be eaten within classrooms.

Class Acorns - Lunch at 11.45 – 12.45

Class Seedlings – Lunch at 12.15 – 1.15

Springwood:

Springwood will be able to operate normal break and lunch times as each class has their own
playground area. The Muga will be timetabled for use by the Deputy Head teacher.

Home at 3.30pm as normal - Each pupil will be taken to their minibus or taken to their parent by a
TA starting from 3.20pm. Please ensure that each pupil washes /sanitises their hands before leaving
the building.

Staff Toilets

Before entering please use your hand sanitiser to clean your hands

When using any of the communal toilets, if one is occupied please wait outside the main entrance
door until the user has finished and then go in to use. One at a time please!

Upon arrival you should open the door and ask if there is anyone in there; if there is no answer then
you know that the toilet is empty, if there is then wait until the staff member has left and then you
may enter and use the facilities.

Before leaving ensure you wash your hands using the Happy Birthday song x 2.

Pupil Toilets

Before entering please ensure your pupil’s hands have been washed

Staff will need to ensure that pupils go to the toilets one at a time to prevent cross contamination
and ensure that the pupils are washing their hands for the two rounds of Happy Birthday when they
finish. Male staff for Male pupils, female staff for female pupils where and when possible.

A staff member should take each pupil to the toilet. Upon arrival you should open the door, if there
is no other staff member in attendance then you know that the toilet is empty, if there is then wait
until the pupil has left – social distancing – and then your pupil may enter and use the facilities.

Before leaving ensure that they have washed their hands using the Happy Birthday song x 2.

Staff rooms

In order to limit cross contamination and transference of Covid 19 all staff rooms will be closed to
staff for lunch or breaks.

    •   Staff rooms will only be accessed in order to store/collect medication.
    •   To collect keys from a key cabinet etc. Please ensure that when returning keys, they are
        cleaned with sanitiser first.

Staff Lunches

    •   Staff will be able to eat in their classrooms or offices in their own cohort, in outside areas on
        campus or in the park abiding by the social distancing rules and meeting 1 on 1 if mixing with
        a member of a different cohort.
    •   No one is to use a communal cup / mug / plate etc. onsite but instead bring in your own mug
        or water container, or plate returning it home at night to wash.

PPA

All Teachers/HLTA’s PPA will occur off site to limit the time that you have in school but also to allow
for social distancing amongst the offices.

Admin

In order to protect your health and wellbeing we will be asking some staff to work offsite apart from
returning to their normal place of work to collect materials/paperwork or return
materials/paperwork, or to attend meetings.

We will be asking a number of Admin and Support Staff to either work at home for the foreseeable
future or to work on a rota basis at school and home.

Each of these members of staff will be spoken to individually by their line manager.

New Procedures

Wearing of PPE

PPE equipment will be available across all sites. (Please see end of document for How to use PPE
Equipment)

Full PPE (apron, gloves, mask, face shield) should be worn, in classes where it has been risk
assessed that it is safe to do so e.g. the pupils will not attempt to remove it, when:

    •   Undertaking personal care for any pupil
    •   When feeding any pupil
    •   Where pupils spit or display challenging behaviours e.g. bite, scratch
    •   If a child becomes ill during the school day and whilst escorting them to the Quarantine
        room
    •   When taking pupils’ temperatures
    •   When cleaning down surfaces and equipment (due to splashback)

If pupils need to see staff faces, to aid communication, then the mask may be removed and just the
face shield may be used.

When wearing full PPE a break of 30 minutes should be taken every 2 hours outside in fresh air to re-
oxygenate. This time frame should be on an individual basis – some staff may find it more difficult
than others to wear the full PPE and may need more regular breaks. This will need to be facilitated
within the class team.

PPE masks should be worn, where it has been risk assessed that it is safe to do so e.g. the pupils
will not attempt to remove it, when:

    •   Meeting pupils lining up outside prior to their temperatures being taken
    •   In classes where pupils cannot socially distance and where pupils cannot remove the masks
    •   When leaving your classroom to move around site
    •   Admin / Support Staff / Catering Staff / Premises Staff should wear a mask when leaving
        their place of work and moving around campus

In class- if pupils are able to socially distance themselves and there is good ventilation then staff may
choose not to wear a mask. Outside- if pupils are able to socially distance themselves then staff may
choose not to wear a mask.

Whilst wearing PPE masks you will need to take regular breaks outside in the fresh air for up to 20
minutes to re-oxygenate. A rota within your class team should be drawn up to accommodate this.

All staff will be supplied with two washable masks to wear at school and out of school. We also have
disposable masks.

What to do if a child becomes ill during the day

If a pupil develops symptoms compatible with coronavirus.

    •   Inform the Quarantine staff and immediately take the pupil to the Quarantine room

•   Contact the Parent/Carer and ask them to collect. If they cannot do this promptly, arrange
        that staff will take the pupil home immediately and inform the Parent/Carer this will be
        done.
    •   Ask the Parent/Carer to book an appointment for a test to be carried out to confirm if the
        pupil has the virus. Ask them to please contact Wendy Perry/Tina Miklos on 01202 636811
        before 3pm for help. https://www.gov.uk/apply-coronavirus-test.
    •   The test is most effective on days 1-3 of symptoms.
    •   Advise that the pupil should self-isolate for 7 days. Their fellow household members should
        self-isolate for 14 days.
    •   If the child / young person tests positive, the rest of their class or group in their class should
        be sent home and advised to self-isolate for 14 days including all staff.
    •   Other household members of that wider class or group do not need to self-isolate unless
        the child, young person or staff member they live with in that group subsequently develops
        symptoms.

What happens if a staff member in a class shows signs of coronavirus

    •   The staff member should immediately be sent home.
    •   Please contact Wendy Perry/Tina Miklos on 01202 636811 before 3pm for help to arrange a
        test https://www.gov.uk/apply-coronavirus-test
    •   The test is most effective on days 1-3 of symptoms.
    •   If the staff member tests positive, their class or group should be informed and sent home to
        self-isolate for 14 days.

Mass Gatherings

No halls to be used for mass congregation. No assemblies, no training, and no lunch halls, no social
events, fundraising events will be occurring until further notice.

Trips/Minibuses

There will be no use of minibuses for transport except for the transportation home of sick pupils,
until further notice.

Cleaning

During the day:

All classes/offices desks/phones/keyboards/mouse/promethean boards will need to be cleaned
along with every used surface every 1 ½ hours and all staff should wash / sanitise their hands and
their pupils’ hands. Please wear full PPE for cleaning. A supply of disinfectant will be placed in your
classroom/office. Clean using paper towel and place in lidded bin when finished.

Equipment, particularly in Early Years / Alma, will need to be cleaned at the end of the day or at the
beginning of the following day by staff within the classes, wearing full PPE equipment.

On a daily basis the Campuses will be thoroughly cleaned at the end of the day. This will include all
communal areas, the classrooms that are used, toilets, offices, corridors, all doors and floors.

Ventilation / Air-con / working outside

Springwood

Ventilation/air-con is a positive so to increase ventilation, doors to the outdoor area should be left
open and if the room has no air-con then windows should be open throughout the day, no matter
what the weather.

Littlewood

Ventilation/air-con is a positive so to increase ventilation at all sites where favourably risk assessed
all window restrictors where possible will be disabled to allow increased ventilation in accordance
with Government guidelines.

Air-con – Having checked with Public Health, there is no evidence that air-con causes transmission of
the virus. However, the air-con will be set to a low temperature and on fresh air as much as possible
as this is believed to inhibit transmission of the virus.

Working outside or eating lunches outside within your cohort is favourable. Discuss a rota with your
phase leader to decide on a time/day a week that this can happen.

No Extended Services after school clubs for foreseeable future.

EHCP Meetings and Meetings in General

All EHCP meetings should continue to happen virtually either utilising a convenient app or video
links. These should as far as possible continue to happen according to the time scheduled.

Where possible meetings should remain virtual, if this proves impossible then meetings should be
arranged in a hall, area or classroom that allows for social distancing to take place.

Fire Drills

Fire drills will occur as scheduled in accordance with guidelines and pupils will continue to line up at
their normal assembly point but socially distancing.

All Staff

Staff should continue to return home, strip down, shower and wash hair and wash their clothes after
work each day. Lanyards should also be cleaned nightly using a spray disinfectant.

NQT/ITT students will start at a different time.

No more work experience pupils for the foreseeable future.

Donning, Doffing and Use of Personal Protective Equipment (PPE)

Notification on First day of Sickness Absence

   •   All absences must be notified by telephone not text.
   •   The absence should be reported by the employee themselves and only in exceptional
       circumstances by a representative.

       not clear on the previous day, then this phone call must be made by 8.30am on the day of
       return.
   •   On your return to work, a back to work interview will take place with the Deputy
       Headteacher or in their absence, another member of SLT. Where possible, this will be
       completed prior to the time that the employee is due to start work.
   •   The interview will be recorded on the Return to Work Interview form and will be completed
       in relation to both sickness and other leave that has not been previously agreed. Paper
       copies will be kept on individual staff files and details entered on Employee First.
   •   The employee will also be given a Sickness Declaration Form at this meeting which will be
       completed during the meeting.

    •   During this phone call a time will be arranged for a back to work interview. Unless
        otherwise agreed, this will take place in Ash’s office in at Summerwood with Ash Wadland.
        It will be completed prior to the time that the employee is due to start work.
    •   The interview will be recorded on the Return to Work Interview form and will be completed
        in relation to both sickness and other leave that has not been previously agreed. Paper
        copies will be kept on individual staff files and details entered on Employee First to ensure
        payment is adjusted where required and for monitoring purposes.
    •   The employee will also be given a Sickness Declaration Form at this meeting which will be
        completed during the meeting. This should be completed unless the whole of your absence
        has been covered by a doctor’s certificate.
