TERMS & CONDITIONS
I understand by signing and returning this registration agreement that it is considered a binding agreement and commitment to Luxury Meetings, Inc. with regards to the
number of shows and revenue indicated in this form. Show registration fees are non-refundable. Upon completion of the above form, you will receive an email to confirm
your registration along with receipt of payment.
EVENT REGISTRATION, POSTPONEMENT AND CANCELLATION TERMS: Submittal of your company’s registration is considered a binding agreement with Luxury
Meetings, Inc. and as such payment is due immediately, unless otherwise arranged with Luxury Meetings, Inc. Registration payments are non-refundable and non-
transferable. Postponement. If you wish to postpone a specific show registration, we will accept a one-time postponement request to attend an alternate show if Luxury
Meetings, Inc. is notified 60 days or more prior to the scheduled event date. Postponement requests for a show within 60 days of a scheduled event will be reviewed on
a case-by-case basis. Requests to reschedule a show will be based on the requested show’s availability.
Cancellation. Should you need to cancel outright, payment will be forfeited.
CUSTOMER INVITE “WISH LIST”: Luxury Meetings, Inc. will invite qualified meeting planners from its own database but would like to encourage our partners’ to share
with us those qualified planners that we should invite on their behalf. Therefore, in addition to event registration and payment, exhibitors are requested to submit a client
“wish list” for every event registered. This list should include a minimum of twenty-five (25) group meeting planner clients and should be submitted upon registration of
specific events. Luxury Meetings, Inc. recommends submitting clients with whom your organization has had challenges in meeting or communicating. Suppliers are
welcome to submit all planners they would like to have invited to an event. Luxury Meetings, Inc. will supply an excel template to include company name, client full name,
phone and client’s direct email address.
______ (Initial if Registering for Luxury Meetings LIVE) I understand that a silent auction and drawing will take place at each Luxury Meetings LIVE event. Hotel is
required to donate one (1) item to either the silent auction or the drawing. The proceeds from the silent auction will be donated to a local children’s charity 501(c)(3) who
will be present at each event. ALL attendees (including Suppliers/Partners) will have the ability to bid on silent auction items. If donating to the drawing, the drawing will
take place at 6:30pm on the date of the event and eligible attending meeting planners will have the opportunity to win the prize from the drawing. The attending hotelier
will bring a raffle item with them to each LIVE event. Exact raffle items are completely up to the hotel’s discretion. If for some reason the hotelier forgets to bring the
raffle/drawing item, the hotelier will fill out a numbered gift certificate which will be provided by Luxury Meetings and will be honored by the hotel. Hotelier will be
responsible for arranging for delivery of the item to said auction or drawing winner.
______ (Initial if Registering for Holiday Summit) I understand that silent auction will take place at Sumer Summit and Holiday Summit. Item specifics need to be
delivered to Luxury Meetings, Inc. 3-weeks prior to the date of the event so that we can include all the details within the event agenda. We recommend a 3-night stay or
equivalent value. All proceeds from the silent auction will be donated and presented to a local children's charity in the host hotel location 501(c)(3) charity at the event.
______ (Initial – If registering for ITME World) I understand that a raffle will take place during ITME for the meeting planners that attend their pre-scheduled
appointments. Raffle item MUST be a minimum 2-night stay and certificate must be delivered in digital certificate form to ITME World team by the Monday of the week
before the event.
______ (Initial – If registering for ITME World) I understand that I am required to gain the participation of one (1) Meeting Planners to attend ITME World who will
register for 6 pre-scheduled appointments with attending Suppliers.
