Dear Alumni/Allenites, The Allen University Admissions Recruitment Manual (AU ARM) is a step by step, how-to guide de- signed for Alumni/Faculty/Staff undergraduate admissions recruitment. The purpose of this manual is to provide strategic means by which the University admissions recruitment efforts prove to be beneficially centralized, more effective and efficient in areas that warrant enrollment of prospective students with emphasis not only on traditional students and transfer students, but non-traditional students as well. Like most colleges and universities, Allen University is faced with the urgent need of marketing the in- stitution and recruiting the best and brightest students. Currently, major strategies include representation at various college and high school fairs nationally and internationally as the budget will allow; which is why your role is imperative to the overall admissions recruitment plan. The Office of Admissions realiz- es we cannot attend every recruitment opportunity so we must rely heavily on alumni to assist in repre- senting the institution. We currently utilize state of the art brochures that are colorful and easy to read along with the latest technology and social media. Successful recruitment is a direct result of marketing the institution and is a joint effort of various con- stituent groups (alumni, faculty, students, staff, administrators, employees, community partners) of the University. Emphasis is placed on direct and indirect contact with students through various states and locations within the state, on-campus college fairs and word-of-mouth. Therefore, we hope that this manual will ease the anxiety and streamline your admissions recruitment activity while making it successful. If we can be of assistance, please do not hesitate to contact the Of- fice of Admissions: (803) 376-5735 or admissions@allenuniversity.edu and/or the Office of Alumni Affairs: (803) 376-5704. What is the Allen University Alumni Student Recruitment program and how can I be a part of it?
Thank you for becoming a part of the Allen University Alumni Student Recruitment program. Your ef-
forts this year will provide an important link between prospective students all over the country and the
Allen University campus. This is a voluntary program involving Allen University alumni/faculty/staff in
the recruitment of prospective students. The Office of Admission and Office of Alumni Affairs jointly
support this program and its volunteers.
As an alumnus of Allen University or supporter of a Allen University student, you are able to offer a
unique and valuable perspective to prospective students. Your role as a student recruiter provides a vital
component: adding a much needed personal touch to the college admissions process.
Through this program, we hope to increase the Allen University’s yield: the percentage of admitted stu-
dents who ultimately enroll at the Allen University. To that end, your personal interaction with talented
students across the country is much needed to communicate the pride of the Allen University community
and the value of an AU degree.
Please take time to review the handbook and keep it handy for future reference. The goals of this manual
are to:
Familiarize you with the goals and activities of your university
Educate you on the talking points of Allen University
Provide a resource to help you answer prospective students’ questions
We hope you will find your volunteer activities with the program fun and rewarding. Allen University is
grateful for your service and we look forward to working with you in the coming year.
MISSION
The Mission of the Allen University Alumni Student Recruitment Program is to:
Encourage talented and qualified students to apply to Allen University.
Encourage admitted students to enroll at Allen University.
Promote an accurate and holistic view of the university throughout the country, especially in areas
not reached by the Office of Admissions.
Provide a vehicle for meaningful involvement of alumni in the admissions and college decision pro-
cess.
WEBSITE
Please check our website regularly for updates: www.allenuniversity.edu/admissionsPRESENTATION & ETIQUITTE You are a representative of Allen University so please be certain to act and dress professionally. Busi- ness or business casual is appropriate. Make every effort to be standing behind your table at all times. At events, representatives are not allowed to stand in aisles or in front of their tables. It is also imperative to eliminate all distractions. Please do not bring children along to a recruitment event. Turn off your cell phone and do not answer it at the table. Your attention should be focused on the stu- dents and parents who approach your table. Bring reading material, a laptop, or other electronic devices in case the fair is slow. We recommended that you do not bring anything that may interfere with recruit- ing efforts.
PROCEDURES FOR HIGH SCHOOL VISITS
Scheduling & Preparation
STEP 1 – Contact School
Contact the Senior Guidance Counselor for the high school and work out an agreeable day and time to
visit the school for the purpose of speaking directly with students and providing them information about
Allen University.
STEP 2 – Determine Type of Visit
Establish the style of visit most preferred for that school. The preference of the Office of Admissions is
to conduct a presentation to a group of students in a classroom, library, guidance office or other venue.
When this is not feasible, request to be able to set up a display table for a certain period of time so stu-
dents can come by, pick up information and ask questions on a one-on-one basis.
When working out this type of visit, make a special point to request an area of high traffic and visibility.
The cafeteria during lunch periods – either inside or outside of it can be an ideal arrangement for maxi-
mum exposure.
While discussing the visit, also seek ways to maximize your time at that school. If the school allows and
if time permits, conducting both a presentation and setting up a display table may generate more expo-
sure and opportunity to interact with students.
STEP 3 – Get Directions
Ensure that you have the correct address to the school. Ask for directions to the school and find out
where to meet the counselor or a designated representative upon your arrival. (This should be in the
school’s Main Office as you sign in).
STEP 4 – Confirm Visit
Once the visit is scheduled, confirm your attendance by contacting the counselor via phone or email no
less than 24 hours in advance. This will aid the counselor in publicizing the visit to interested students.
STEP 5 – Admissions Recruitment Materials
Prepare a plentiful amount of the recruitment materials and equipment to have on hand for the visit. These should include (Provided by Admissions for Recruitment):
Admissions View-books
Contact Cards
Admissions Applications; where permitted. (In lieu of paper admissions applications, direct students
to: www.allenuniversity.edu)
Pens to provide for students to fill out contact cards or application
Allen University paraphernalia approved by the Office of Admissions
Other informational materials approved by the Office of Admissions:
Catalogs are available online
Financial Opportunities
Campus Event Flyers
Make it a point to have enough materials to leave some with the guidance counselors.
THE PRIVATE HIGH SCHOOL VISITS
Overview
Plan to arrive at least 30 minutes before the appointment.
Upon arrival (have appropriate government identification), report to the main office of the school.
Meet the counselor and let the counselor direct you to where you will be allowed to set up. (Keep in
mind that many high schools’ policies require college representatives to set up in certain areas dur-
ing private visits making location selection non-negotiable).
Once location has been established make sure the table provided by the school is large enough to
drape the banner and lay out the materials you wish to display.
The Office of Admissions requires that the Allen University banner must be used; therefore, the ta-
ble must be able to accommodate it.
If the table is small in size and it is the best the school can make available, drape the banner over it
as neatly and professionally as is possible. In classroom situations, you are asked to use desks in-
stead of a table. In these cases, move three or four desks together to form a unified table-like sur-
face over which the banner can be draped and materials laid out.
Admissions materials should be kept visible and handy, but not placed on the table for wholesale
distribution, especially the admissions Viewbook.
When talking with seniors give admissions Viewbooks and ask both juniors and seniors to grades to
fill out one of the contact cards. Encourage seniors to submit an application for admission. Give them the option to complete a paper
application or to apply online at: www.allenuniversity.edu.
If you collect a paper admissions application before you leave, be certain to inform the student that
he/she must provide a one-time $25.00 admissions application processing fee. Payment can be
mailed to the Office of Admissions in the form of cash or money order. Payments can also be taken
by Student Financial Services over the phone with a debit/credit card. Please inform the students
that no applications can be processed without a fee. If questions arise concerning application fee
waivers, please advise the individual(s) to contact the Office of Admissions.
PRESENTATIONS & STUDENT INQUIRIES
On visits where you have the opportunity to speak to a group of students, at the same time, whether
in a classroom, guidance office or library, the recruitment exhibit of materials still needs to be set up
before and during the presentation. Certain handouts might be passed out before the presentation so
the students can refer to them when you cover those particular areas of information.
Generally answer the questions of each student as correctly and accurately as possible and be sure
they each take all the appropriate materials they need. For questions related to specific academic
departments or other areas of the college which may not be able to give precise answer, ask the stu-
dent to contact online that specific department at:

www.uncf.org
www.hbcuconnect.com
Financial Aid link: www.allenuniversity.edu/financial-aid
Housing link: www.allenuniversity.edu/life-at-allen/campus-facilities
Emphasize to every student the requirements needed for admissions. Make sure they know the im-
portance of taking the ACT or the SAT and encourage any juniors to go ahead and take one of those
tests while still juniors. Also, reiterate the high school unit requirements and the classes needed to
fulfill those requirements. For students who apply, remind them to request that their guidance coun-
selor send their transcript to the Allen University admissions office as early as possible. They may
also wish to fill out a contact card on which you can make a notation that an application has been
given to the student to complete.
For students raising questions regarding scholarships, please refer them to the Allen University
Scholarships website. Be sure the students understand the competitive nature of the scholarships
and that being eligible is not necessarily a guarantee of receiving scholarship. Also, encourage all
students to complete a Free Application for Federal Student Aid (FAFSA) for the school year they
wish to enroll. They may apply at www.fafsa.ed.gov. Upon concluding the presentation, invite the students to pick up any additional information provided
on the Allen University display table. Invite them also to come for a tour of the campus by schedul-
ing it with the Office of Admissions.
Finally, leave the counselor a card including a telephone number, mailing address, and email address
in anticipation of further inquiries.
AFTER THE VISIT
Ensure that you have secured all documents and items used for your display or collected from stu-
dents.
If necessary, follow through with the process that your alumni chapter has in place for the high
school visit follow up. You may desire to collect the contact cards and/or applications for your
Chapter’s database.
We ask that you return the information collected (contact cards and applications) to the Office of
Admissions along with the name, date and time of the program. This will be our primary source of
contact for prospective students and recording the College’s recruitment efforts.
