Introduction

Bendigo Sustainability Group (BSG) is a local not-for-profit community organisation interested in
furthering sustainable living. Our goal is to create a supportive culture for understanding,
inspiration, action and hope from which the wider Bendigo Community can grow a sustainable
future together.

BSG has organized separate high profile events to further the BSG vision. These have included a
Sustainability Living Festival and the Sustainability Awards events. BSG is seeking to grow and
increase the impact of these events. Therefore it is proposed to link these events to be held
concurrently on Friday 27 and Saturday 28 March 2020.

The intent of the Sustainability Awards (SA) is to showcase local sustainable businesses, community
leaders, schools and community groups as a demonstration and inspiration to the community of
what can be achieved. For 2020 the Sustainability Awards program will involve the following
components:
    1. A business / public lunch presentation;
    2. A “visioning workshop” in partnership with the City of Greater Bendigo; and
    3. The evening Awards Ceremony event.
These events will be held on Friday 27 March 2020 at the Bendigo Town Hall

The Festival will follow on the Saturday 28 March 2020 at the Town Hall and is intended for BSG to
showcase a range of sustainability products and services. It is expected run from approximately
10am through to 4pm.

At same time it’s an opportunity for the members of the public to participate, learn and enjoy
various aspects of the sustainability world. It’s planned to offer a number of stalls, presentations,
speakers, hands on demonstrations and a range of entertainment.

The project would be funded by BSG with sponsorship, stall hire and entry fee to speakers and
events held within the Town Hall.

BSG is seeking to appoint a project manager for these events.
About the Bendigo Sustainability Group

Bendigo Sustainability Group (BSG) is a not-for-profit community organisation made up of people
interested in sustainable living. Be it the bulk buying of solar power, sustainable gardening,
transport, waste management, capturing carbon, community education and sustainability policy
development.

Our goal is to create a supportive culture for understanding, inspiration, action and hope from
which the wider Bendigo Community can grow a sustainable future together.

The formation of the group was initially inspired by the Fairwater CV Group, who have been active
in the area of sustainable water management in the Campaspe catchment. They set up the Climate
Wise Club, from which ensued a climate action seminar in October 2007 that attracted in excess of
60 participants.

Today the Bendigo Sustainability Group has different activities and action groups it supports, all
made up volunteers working towards different areas of sustainability. These are in the areas of:

Purpose and Role of Project Manager
We are looking to engage a suitably experienced Project Manager to work with the BSG to organise
and manage these two BSG events for March 2020. The role will include garnering sponsors,
encouraging nominations for the awards, engaging potential speakers, presentations and
demonstrations, store holders, food vendors and entertainers that will create a ‘Sustainable Living
Market’ atmosphere at the festival. The project manager will work closely with a steering
committee and its chair and it is this entity that will set direction and make decisions including
providing recommendations to the BSG Committee for approval as may be required and
appropriate. The committee may choose to engage a further contractor to work for the event (e.g.
in media liaison)

Tasks of Project Manager
The Project Manager will work with the BSG to:

   •       Plan the events from start to finish according to requirements, target audience and
           objectives
   •       Work with the Steering Committee to agree on format and details for the Awards and the
           Festival;
•   Coordinate and manage the awards and the presentation event
   •   Provide site management on the day of the festival
   •   Liaise with the BSG steering committee and CoGB council
   •   Provide suggestions to enhance the event’s success
   •   Work with BSG to develop, review and prepare budgets and ensure adherence
   •   Recommend and drive the marketing strategy
   •   Liaise with other promotion channels – Business Excellence Bendigo, Bendigo Networking,
       COGB website, etc;
   •   Engage (with the steering committee & volunteers) in sourcing entries for the Sustainability
       Awards and make arrangements;
   •   Receive awards submissions;
   •   Coordinate and facilitate the awards judging process and write up the finalists & category
       winner copy and prepare certificates etc;
   •   Work with BSG to recruit potential event sponsors
   •   Source and negotiate with stall holders, vendors and suppliers for the festival
   •   Recruit and liaise with speakers and presenters
   •   Recruit and coordinate volunteers
   •   Coordinate all operations
   •   Approve all aspects before the day of the events
   •   Ensure events are completed smoothly and step up to resolve any problems that might
       occur
   •   Analyze and report on the events outcomes, success and challenges.

Expression of Interest
We are looking for someone who has proven experience as an event manager and is skilled in
project management. You will bring knowledge of marketing techniques, outstanding
communication and negotiating ability, excellent organisational skills and a knack for problem
solving.

It is anticipated that the project manager will spend up to 300 hours in preparing and managing the
2 events, including on the days of the events and writing up a post event report. It is expected that
     • Suitable nominations will be received for each of the Awards categories
     • at least 30 vendors/ stall holders and 8 speakers/ demonstrations are available on the day of
         the festival.
