Position Overview Replace Image Position Purpose The Chief Operating Officer (COO) is responsible for finance, reporting, legal, risk and compliance, procurement, customer experience and operations initiatives of VETASSESS to deliver against the strategic plan. The incumbent will provide strong financial direction, oversight and business analysis while monitoring and reporting on operational performance. The COO will lead and advise on corporate governance and is responsible for statutory reporting. In supporting the strategic plan, all areas of the business will be supported, particularly where there is a need to assess new business proposals and tenders from a commercial perspective and prepare pricing models as required. Will be responsible for all facets of VETASSESS facilities management, including coordination of maintenance work, management of facilities services contracts to support the operational needs of the business. Key Responsibilities and Accountabilities Provide strong financial direction, oversight and commercial business analysis for existing business and new business opportunities. Challenge proposed and existing business models and profit formulas to ensure opportunities are structured for commercial success. Support the financial viability of VETASSESS through robust commercial analysis, is innovative in approaches with a focus on developing new businesses and participate in the review and Replace Image approval processes for business contracts and financial decisions, including pricing policy. Provide expertise for managing sophisticated financial interactions with particular knowledge of contracts, risk management and procurement. Monitor and report on financial/operating performance metrics for the organisation. Financial Control and Reporting • Lead a team of finance professionals to manage, develop, implement, support key financial processes, and exercise financial management responsibilities. • Manage VETASSESS financial, statutory, and regulatory requirements to achieve financial efficiencies and sound financial management practices. • Implement and support financial policies, procedures and processes across VETASSESS. • Maintain robust financial management systems providing business planning, budgeting, performance measurement, business and financial analysis and statutory reporting. • Ensure financial information is reliable, accurate and meets legislative and key partnership requirements. • Provide leadership and administrative oversight in the planning, implementation and management of major projects. • Ensure regular monitoring and reporting on the implementation of VETASSESS strategic and annual plans and related performance indicators, providing reliable information about performance to stakeholders. Legal, Risk and Compliance • Provide the Executive Director and Directors with assurance that VETASSESS maintains an appropriate risk profile. • Maintain suitable relationships to keep up with current financial and risk management processes. • Ensure implementation of VETASSESS risk management framework and quality assurance. • Manage, in conjunction with the Executive Director, the release to external organisations of any data relating to the financial performance of the organisation and the individual business units. • In conjunction with the Chairman VETASSESS Committee and the Executive Director, ensure that all matters relating to the conduct of the VETASSESS Committee are managed in accordance with all statutory requirements. Contract Management and Sourcing • Lead the application of the VETASSESS contract management and sourcing strategy for the business across a wide range of goods and services to support achievement of the business plan by building strong relationships and working with key customers. • Ensure compliance with all legislative and governance requirements with respect to procurement and contract management activities. Key Responsibilities and Accountabilities Customer Experience • Lead a multidisciplinary team and play an instrumental role in creating positive employee and customer experience across VETASSESS products and services. • Support the continuous development of customer experience strategy under the Customer Service Charter. Replace Image • Encourage customer centric discussions and decision making and ensure the business is working towards a closed-loop customer experience management model. Facilities Management • Oversee coordination and monitoring of all VETASSESS planned and unplanned maintenance and repair of office equipment and facilities to ensure effective operating capacity to meet strategic objectives. • Act as equipment custodian by ensuring inventory controls are in place, maintaining records, asset management register updated. • Support and supervise renovation projects, and review project drawings, plans and reports on building compliance. • Manage facilities budget and cost management, apply best practice in energy efficiency, waste management and environmental stewardship. • Negotiate and manage contracts for outsourced building services and ensure vendors and suppliers deliver as agreed. • Responsible for office security and maintenance of appropriate controls such as CCTV. • Ensure team is prepared with necessary training to assist in emergencies, evacuation of staff/visitors if required. Team Management • Motivate, coach, and manage staff towards the achievement of goals. Provide regular feedback, including documented performance management. Address poor performance and nurture high performers. • Monitor the skills required for delivering services, develop successors and communicate organisational and functional direction to the team. Strategy and Alignment • Ensure that VETASSESS complies with the provisions and requirement of all legislation and governance frameworks, including financial delegations. • Develop the strategic plan for the area to ensure it keeps pace with change in order to meet customer needs and VETASSESS strategic objectives. • As a member of the VETASSESS Senior Management Team, provide strategic guidance and advice in the development of the vision, mission, goals, objectives and strategic plans to influence sustainability of VETASSESS’s financial viability, programs and services, public image and reputation. Key Skills and Experience A relevant degree and post graduate qualifications in Business, Commerce or Accounting and extensive management experience in finance, operations, and facilities; preferably with Company Secretary experience. Occupational Health, Safety and Wellbeing Role Responsibilities Heads of, • Ensure activities of the portfolio or department comply with the Directors and Occupational Health and Safety Act 2004, Occupational Health and Safety Regulations 2017 and the BKI Occupational Health, Safety & Senior Replace Image Wellbeing Management System (OHSW MS), including implementation Management and monitoring. • Demonstrate leadership and commitment with respect to the OH&S management system by ensuring that the: o HSW policy and objectives are established and compatible with BKI’s strategic direction. o OHWS MS requirements are integrated into BKI’s business processes. • Promote the importance of effective HSW management, conforming to the OHSW MS and continual improvement. • Support other managers to demonstrate their leadership as it applies to their areas of responsibility. • Develop, lead and promote a culture in the organisation that supports the intended outcomes of the OHWS MS. • Ensure that health, safety and wellbeing consultation arrangements are implemented and sustained. • Allocate appropriate resources to fulfil the BKI Occupational Health, Safety & Wellbeing Management System (OHSW MS) requirements. • Monitor review and ensure implementation of hazard and risk plans for their area of responsibility. • Monitor the health, safety and wellbeing performance of portfolio or department and direct reports including internal health, safety and wellbeing reports and performance indicators. • Fulfil other responsibilities as outlined in the BKI Occupational Health, Safety & Wellbeing Management System (OHSW MS) documentation.
