The meeting convened on 19 January 2021, at 7:00PM, with 20 District leaders present.
NOTE: This meeting starts promptly at 7PM – attendees should ensure that they are present and logged in at

 1. Jacqueline Smith, District Director General Remarks [Report starts at 0:1:09 on Recording]
 Topic 1 – Welcome.
  New Year Greetings to all of D26.
 Topic 2 – Introduction of the meeting agenda
  Start with Division Directors – share a little bit in your Division about Status, Goals,
 Opportunities, Threats.
  Want to make sure that every voice is heard.
 2. Hugh Curley, Eastern Division Director [Report starts at 0:03:30 on Recording]
  Eastern Division is doing very well right now.
  26 clubs in good standing w/ 24 solidly in good standing expected for 1April renewals.
  TLI completed and now working Area Contest, COT, and the Division Contest
  Will be contributing to the District event – then VACATION
 3. Stephanie Prochaska, Foothills Division Director [Report starts at 0:04:48 on Recording]
  Foothills Division is doing OK.
  We have a base of 24 with 19 Clubs in good standing.
  Unfortunately, 3 clubs dissolved since July – Good news 1 new club is forming.
  Hosted TLI, planning Area Contests (1-fully planned)
  Also planning the Division Contest and COT with most of the roles filled.
  Area Directors now involved in 2nd round of Club Visits
  Very proud that one of the first (2nd round) Area Director reports came from Foothills!
 4. Mark Krekeler, Metro Area Director [Report starts at 0:06:29 on Recording]
  Metro Division is really coming together – everyone is pulling their own weight.
  TLI is coming together with “walk-through” coming up.
  Recognition to Marcia Wood as part of the team at Metro as she has been very helpful with
 Area Directors getting ready for Contest Season and Conference. She will probably “go far….”

 5. JP Bachmann, Urban Division Director [Report starts at 0:09:32 on Recording]
  Urban Division is not in bad shape.
  Have only 3 clubs not currently in good standing but 21 that ARE in good standing.
  1 Club is at risk for dissolution (AMCO) as the company has split.
  TLI Completed – did well – great keynote from ID TK O’Geary, some technical glitches but not
 noticed.
  Planning Area Contests and Division Contest as well. Starting 2 nd round AD Club visits.
  Focused on making sure that clubs that are struggling are getting support from the District even
 if we aren’t able to appoint a club coach, we are supporting with Open Houses and showing
 support and doing everything that we can to help build and make them stronger.

6. Marianne Delany, Western Division Director [Report starts at 0:12:08 on Recording]
  Western Division is doing well. All clubs are active and meeting online. Lots of enthusiasm.
  Clubs are having Open Houses with great attendance and continued support.
  Area Director W-3 Kristi Dean is doing an amazing job, holding trainings on Pathways and
 holding club Speech Contests. Hopefully, she will be in the running for Toastmaster of the Year
 for this work.
  The Denver, Northern and Western Divisions will be holding their TLI on Jan 30 th. Recognition
 to Ann Hill for her help with scheduling and Zoom details.
  Excited about Speech Contest Season – most of the clubs are actively competing.
  Area Contests is being hosted by AD W-1 Nickie McCann with W2/W3 is being hosted by AD
 W-3 Kristi Dean
  All Area Directors are active with their clubs and we are so grateful for their work and
 dedication.
  Received email from Jim Roth to offer to take over the Western COT for Western DivD.
  Gratitude to all who have been open to my feelings of being overwhelmed and reaching out to
 support me.
7. Tom Marrs, Finance Manager [Report starts at 0:16:24 on Recording]
  Current status: Have reviewed and approved all expense reports received in Concur.
  Monthly reconciliation/monthly close and certification and narratives are up to date.
  Slightly ahead of schedule for mid-year Audit for TI. Generally speaking, we are ready for that
 Audit.
  Audit committee has been created and chair was announced – working with that team.
  Worked with DD to inventory the assets received from Justin Searles (Past Finance Manager
 2018-2019). This was to store them at CubeSmart (District Storage Facility) – consisted mainly
 of a laptop and printer.
  Followed up with District Finance with the Accrual Templates and Inventory Templates. We do
 not need the Inventory Template as we do not have a District Store. We are in process of
 wrapping up the Accrual. Will be working in the upcoming week with District Audit Committee
 on any questions that they have and to be ready to answer those question.
8. Keith Horowitz, Public Relations Manager [Report starts at 0:19:11 on Recording]
  Recognition of team for their work.
  Working on Public Relations Plan for Contests and Conference
  Realizing that one of the things that takes up time is video. Will be looking for people to work
 with video.
  Looking for PRM candidates for upcoming year.
9. Ann Hill, Logistics Manager [Report starts at 0:20:52 on Recording]
  PQD Team hit the ground running this New Year by conducting 4 nights of Zoom Speech
 Contest training for Division and Area Directors demonstrating how to schedule the Area
 Director contest using the Division Director’s Zoom account.
  Work behind the scenes with the Jan 10th & 17th TLIs.
  Email sent out on the remaining 2 TLIs to Club Officers and members.
10. D26 Division Highlight – Hugh Curley, Eastern DivD [Report starts at 0:24:30 on Recording]
  Welcome to Division E Shout-Out! We believe that the E stands for Excellence! Here are
 some examples:
  1: PEAK PERFORMANCE (an Advanced Club) is offering a Contestant Coaching Night on
 Jan 28th at 7PM (https://tinyurl.com/y5gkngf5 ) Enhance your International Speech and
 exaggerate your Tall Tales speech – Enthrall your audience and accept your trophy as
 evidence of your excellence in entertaining! Jan 28th by PEAK PERFORMANCE!
  2: We have made a proposal to the TRIO for a program of working with the Chamber of
 Commerce. We believe this has 2 key features to make this a success. A) The leader of this
 program has a long-time Chamber member with Chamber experience. B) His progress will be
 monitored by the District leadership through scheduled reviews to gather empirical evidence of
 what works and what does not.

 3: Working with Corporate Clubs – We have one company club that did a presentation to 40
 managers about how Toastmasters can help their customer-facing employees. We will hit the
 managers again to enroll their employees.
  4: We ARE NOT ACCEPTING ZOOM BURNOUT AS A REALITY! We are working to take
 advantage of what Zoom offers beyond what in-person meetings offer. A specific example of
 what we are doing is adding a Zoom master to our schedule. Extinguish that encroached
 erroneous idea that electronic meetings are ephemeral and will exit our corporate and personal
 environment! They are here to stay, and we need to adjust to them!
 Not Zoom burnout – but Zoom Opportunities!
  5: We are experimenting with offering a communication workshop that goes beyond
 Speechcraft! We are targeting the offering to an identified segment of like-minded people. We
 are charging the participants so that they have more incentive to eagerly participate.
  6: We are focusing on leadership in our clubs – DCP or Survival and we’re questioning – are
 they really mutually exclusive? We think not!
  7: We have 26 Clubs in good standing, 24 clubs have met at least 1 goal on the DCP.
 Seven have already met 5 or more goals. Clubs are engaging the Toastmasters
 Program!
  Division E is where it’s at! We’re here to raise the bar! Keep up if you can! E is for Excellence!

  Nomination process for next year – Your Personal Growth opportunities – you have all received
 an email from Mike on this topic.
  Please see website at d26toastmasters.org/elected-officer-nominations-20-21/
  Deadline is 20 FEB 2021! Apply for elected roles by this deadline. Appointed roles (Area
 Director, etc has some wiggle room).
  Division Directors as well as TRIO roles require you to fill out the application. Make sure to
 include a headshot.
  Protocol 9 are the rules we have to abide by.
  Timeline is listed. We cannot extend this deadline.
  You can learn a lot about yourself – learn a lot about Toastmasters and pay it forward!
12. District Director comments on Succession Planning, [Report starts at 0:32:44 on Recording]
  If you are a Division Director, you should already be talking to people on your team – Area
 Directors, etc or emerging leaders at the Club level. We want to identify our emerging leaders.
  I know I’ve grown so much personally and have learned so much about myself from this leader
 role.
  Now is the time to look for those aspiring and emerging leaders! Don’t wait until June 30 th!
13. District Alignment Chair Mark Entrekin comments, [Report starts at 0:35:29 on Recording]
  Alignment takes place every year. Interesting year because of this situation. Looking for when
 we will start meeting again as clubs.
  Mark and District Director will review the 150 paid clubs of our 170 base.
  We stand to lose some clubs and will start the realignment work in February timeframe.
  Realign, rebuild, reclaim, reconstruct, re-ignite and re-start!
14. Denver Division Director report read by Admin Manager, [Report starts at 0:38:07 on Recording]
  Working on TLI for Jan 30th and Area Contest scheduled for Feb 27th and Div Contest
 scheduled for March 13th.
  Completed since last meeting Skyline Club #1038 D1 AD is planning on attending on Jan 18th
 – Challenged with low membership w/ only 17. Held holiday Zoom call that was well received.
  Downtown Speakeasy #7312 - Club Coach (Kamna Kirti) appointed Nov 20 th – reaching out to
 former members to increase membership.
  Leprino Foods – attended Club meeting on Nov 18th – great membership 32 members and
 continue to add more educational goals.
  Earth Speaks – membership at 9 – no responses form emails sent Aug, Sept, Nov, Dec.
  Denver Slalom Toastmasters - No change since last update
  Avocado Toast – did receive a response from former member David Hay.
  Stately Speakers achieved 20 members – working on DCP and will have officers attend TLI.
  Priorities to work on TLI & 2 dates for COTs and start discussions about Club Contests.

15. Northern Division Director report read by Admin Manager,[Starts at 0:41:06 on Recording]
  No substantive changes from December report.
  Area Success plan for N-2 is completed and distributed to Clubs.
  Division success plan is in progress.
  Second round of Area Director visits are in progress.
  Issues are that Club Coaches are not found for 3 clubs in N-1. Speechcraft and YLP are being
 explored for N-1. Membership recruitment continues to be an issue.
  Priorities are the Contests for N-1, 3 and 4. No N-2 clubs will have contests nor will they send
 anyone. Area Contests are combined in planning stage.
  Continues to encourage clubs to create online presence and create Club Success Plans.
  Encouraging clubs to increase visibility in communities through use of press releases,
 speeches to community groups, leveraging partnership with Rotary Intl., Speechcraft and Youth
 Leadership Program.
 16. Asta Star, Southern Division Director [Report starts at 0:42:41 on Recording]
  Still has 21 clubs
  May be losing Rocky Mountain Eagles but will attempt contact one more time this month.
  Clubs with Club Coaches - (Currently Speaking, Pueblo West, Peterson, Chemical Weapons,
 Top Class and New Life)
  More clubs are coach eligible – New Life, FACC Masters, Artfully Speaking and 21 st Speaking.
  She has held her 7th Division Council. All ADs are planning and organizing their contests.
  Many club officers will be trained during TLIs.
  Biggest issue is that she would like to have some communication with Club Coaches and
 Division Director so that they could make for better teamwork.
  Priorities are to work on the TLIs.
 17. Victoria Cox, PQD Program Quality Report [Report starts at 0:44:45 on Recording]
  Currently entering attendance from the first 2 TLIs this week. Will be doing the attendance for
 the next 2 and get this out as soon as possible.
  COTs (4 on the calendar) Denver, Southern and Metro still need their dates. We do need to
 have all training done by last day of February.
  AREA CONTESTS: All on the calendar along with briefings.
  DIVISION CONTESTS:. Really happy to hear that everyone is organizing the Division
 Contests. Briefings are all scheduled and on Calendar as well.
  Conference Chairs:.Need Conference Chair and other chairs for this event. It will be a 100%
 Virtual Conference – Friday April 30th and Saturday May 1st.
  Special shout-out to Jacqueline as she is very patient with what I am doing and special
 acknowledgement to Logistics Manager Ann Hill.
 18. Jeff Scott Ruiz, CGD Club Growth [Report starts at 0:49:30 on Recording]
  Extension & Ad Campaigns: This week started 2 radio spots in Western Division on
 Colorado Public Radio that will run for 13 weeks. We’re also going to establish that in Northern
 Division next. We will also run local newspaper ads with concurrent digital newspaper ads.
  3 Prospective Clubs getting ready to launch.
  Demo Meetings – First Prospective Club Demo Meeting takes place Thursday 28 Jan at 4PM
  District Guest Night: - Wednesday Evening 27 Jan from 6 to 7:15PM
  18 Club Coaches assigned since July.
  Retention: Terry Ploski has been organizing Speechcraft as an alternative to Club Coaching.
 Terry reported that he reviewed District 26 Dashboard for clubs with 12 members and less and
 sent every Division Director and respective Area Director for these Clubs an invitation for them
 to attend a Speechcraft Open House on Tuesday 2FEB from 8-9AM. Homesteaders Club
 #7162 is launching the Speechcraft Program on Tuesday Feb 9, 2021 8-9AM.

  0 charter payments. Only two of the nine districts in Region 4 have chartered a club. There are
 a few on the horizon that will be discussed by Jeff Ruiz, Club Growth Director

  Submitted template authorizing the use of additional funds toward Club Growth or Marketing
 Outside of Toastmasters to WHQ by 12/31/2020 deadline.
  Nominations are being accepted for leadership for the 2021-2022 program year and applications

  Trio is involved in midyear training during January 2021, specifically on 01/09/21 and 01/23/21.
 Those are the core days, and we will also have some supplemental training.
  2nd Quarter Division Director meeting on 01/12/2021

  No chartered club to date.
  Broadcasting or promoting District events more effectively to ensure that all are aware
  Calendar events should be concise, clear, and complete
  Difficulty backfilling area director positions for D4, E1, E2, but affected Division Directors,
 Cynthia and Hugh have covered nicely.
  Some team members are not submitting reports in a timely fashion to allow AJ time for compiling
 information and preparing an agenda.
  Receiving minutes from November and December meetings and getting them posted online.

Finance Manager: Tom Marrs, DTM
 Current status 1/4/21
  Expense Reports - I have reviewed and approved all expense reports in Concur.
  Monthly Reconciliation, P&L, and Certification & Narratives are up-to-date.
Completed since last meeting 12/5/20
  Monthly P&L - Performed November 2020 reconciliation and P&L for all accounts (District
 Reserve, First Bank, and PayPal).
  District Assets/Inventory:
 Worked with the District Director to inventory the FM assets received from
 Justin Searles, 2018-19 FM and store them at our CubeSmart facility.
 Assets included a District-owned laptop and printer.
  Followed up with TI District Finance regarding the Accrual Template and Inventory Template
 (see Priorities until Next Meeting section for further details).).

  Monthly P&L – Perform December 2020 reconciliation and P&L.
 o Work with the District Director to complete the December 2020 Certification and
 Narratives.
  Kickoff 2020-21 Mid-Year Audit:
 o Meet with the Audit Team and walk them through our documents (e.g., P&L,
 Narratives,Bank Statements, Available Funds, etc.) on our Google Drive
 o Provide the Audit Team access to the preceding documents on our Google Drive
 so thatthey can perform the audit.
  Accrual Template and Inventory Template:
 o Work with the District Director to complete these documents.
 o The Accrual Template contains any expenses (goods and/or services) that were
 incurred before December 31, 2020, but will not be paid until after July 1, 2021.
 This is to ensure that these expenses are accounted for in the 2020 calendar year.
 I will work with the District Director to fill this out. We may just need to sign the
 blank template because we don't believe that we have expenses that fit this
 category.
 o The Inventory Template contains a list of all materials that the District has
 purchased from World Headquarters, with the intent to resell to the membership.
 This only applies to Districts with a District Store. Since District 26 does not have a
 District Store, there's nothing to do here. So, the District Director and I will sign the
 blank template.
 These templates are due on February 15, but we want to finish this task by mid-January so that
 we can focus on the 2020-21 Mid-Year Audit.

  150 Educational Awards Filed since 12/5/20, 0 DTM, 8 Path Completions
  Collected and consolidated reports and submitted to Trio in preparation for the monthly meeting.

Club Growth Director: Jeff Scott Ruiz, DTM
 Current status 1/15/21
 We have scheduled a District-wide Open House (Guest Night) for January 27th, 2021. The
 advertising is circulating. The news will be distributed within and without D26. The theme will be
 about leadership and communication in a virtual world.
 Extension — Three virtual clubs are in the process of organizing. Sponsors and mentors have
 been selected and/or assigned to all of them. A Demo Meeting is planned on January 28th,
 2021. A radio spot campaign has begun in the Western Division. Northern Division will have a
 similar one in the next few weeks.
 Retention — The Speechcraft program is continuing with two clubs, Homesteaders Club and
 Golden Orators Toastmasters. The Club Growth team is also providing digital and hard copy
 Speechcraft Programs to clubs who request them. One club has been suspended, and three others
 are in the process of dissolution.
 Club Coach — 18 club coaches have now been appointed to eligible clubs this program year. We
 anticipate renewed interest with the new calendar year upon us.

 A Speechcraft breakout session was conducted at our January 10th TLI.
 Issues since last meeting
 As of November 13th, there are 16 clubs that have not renewed their dues. 10 clubs are in LOW
 status, and 1 is in INELIGIBLE status. Some of them are awfully close to the minimum. Still no luck
 in contacting them.
 Priorities until next meeting
 We will continue to notify delinquent clubs and work with them on remaining viable. We will follow
 up on January’s Demo Meeting and Guest night to gain more members. More external ad
 campaigns are being implemented over the next month.

Public Relations Manager: Keith Horowitz, DTM

 higher Facebook impressions, still have to see if it grows guest stats.

 Thanks for stepping in as Area Director! I know what an important role it is, having served in the
 same capacity in a previous year.

 I have moved on from Home Advisor as well as the HAvocado Toast club. I hope they are able to
 continue the club in some form, but I think COVID-19 has made it difficult for them to maintain the
 club, as I’m sure it has impacted so many other Toastmasters clubs. Hopefully you can encourage
 them to keep the club going, or failing that, restart it once things have returned to some semblance
 of normal.

  Eastern Division COT is scheduled for February 13 at 3 p.m. for 2 hours. Keynote speaker is

  The only club with semiannual officer elections, Littleton Toastmasters, submitted
 its January officer list on Dec. 16.
  Clubs were encouraged to hold their speech contests in January and send
 contestants to the area contest.
  Since January 1, I have met weekly with M1 and M5 Area Directors to plan the
 February 13 Metro Area speech contests. Four clubs in M2 are currently eligible
 to compete. Each club may send two contestants to each contest. If they do,
 that's eight contestants in each contest.
 o Club Visits and Reports
  No reports submitted yet. TLIs and contests take precedence over the second
 round of club visit reports. Scheduling area contests in February instead of March
 places contests before club visit reports on my timeline.
 o Future Activities
  Recruit more functionaries for Metro area contests.

  Participate in the TLIs by leading a panel discussion breakout session for the

M-4 Ron Pierre
 Here is a quick report of all my clubs and as accurate as I can be.
 Toastmasters Clubs:
 1. 5280 Toastmasters is doing well and had been in contact with club President Andrew.
 This club is planning on participating in the M4 Area Speech Contest. I have not been able
 to attend their club meetings since December but had emails communications.
 2. Wry Toast Toastmasters is doing better than previously stated. I am planning on
 attending their Jan. 25 meeting as well as their Open House on Feb. 1st. I am also in
 contact via emails with Ann, the club President. Wry Toast is also planning to participate in
 the M4 Area Speech Contest.
 3. DTC Speakeasies Toastmasters is doing well. I have been in contact with Geol, the club
 President via emails. I have not visited this club since November but plan on visiting at their
 next meeting this month. This club is planning on participating in the M4 Area Speech
 Contest.
 4. Toast Of Inverness Toastmasters is doing well. I have been in contact with Debbie, the
 club President via emails. I have not visited this club since December but I plan on visiting
 this club their next meeting. This club is also planning on participating in the M4 Area
 Speech Contest.
 5. Spirited Speakers Toastmasters has not made any effort whatsoever to respond to my
 emails. I was in contact with Steve, the club President at some point in time. Steve told me
 that their members were not at all interested in meeting virtually during Covid and therefore
 may cease to meet until Covid has subsided.
 I do not believe they are meeting at all since Covid. They have not been responsive despite
 my continuous effort to communicate with them. I have had no updates on this club. It
 suffices to say this club will not be participating in our M4 Area Speech Contest.
 6. Ulteig Multiregional Toastmasters has not made any effort whatsoever to respond to
 my emails. Ian, the club President, was in contact with me at some point but has not made
 contact with me for quite some time now. I was even scheduled to attend one of their
 meetings and it was abruptly cancelled with no viable reasons given.
 I don't even know if they are meeting or not in any capacity be it virtual or otherwise.
 This specific club, I have had for 2 years and have never been successful in attending their
 meeting and it is definitely not due to a lack of efforts on my part. I have known nothing but
 frustrations with this club. This specific club may very well be the reason I will not seek a 3rd
 term as an Area Director for 2021-2022.
  M-5 Area Director Sarika Syamala
 o Castle Rock Toastmasters; Membership 6, hasn't been open to having a coach. I will
 talk to them again after the contest.
 o Parker: Membership 13, They will not be able to retain their Distinguished status this
 year. I am sad to see they are not even participating in the Speech Contest.
 o Highlands Ranch Toastmasters: Membership 11, This is the club that I most proud of.
 They almost got shut down before covid, due to conflicting internal politics, but the
 efforts of the 20-21 club officers have made this growth possible. I wish I had a way to
 recognize these officers, especially the president and VPE/VPM. A meticulous duo.
 Please let me know if you have any thoughts on how to recognize them.
 o Ranch Raconteurs Club: Membership 23, Trotting along.
 o Denver Techmasters: Membership 14, It is a corporate club. Like most corporate clubs
 they do not attend TLI or Speech Contests. I have been prodding them to at least attend
 the TLI.

 Current status 1/14/21
 U1 - Only 1 (Evening Stars) of my 4 clubs intend on competing in the Area Contest. Bob Ord &
 Evening Stars are going strong and working towards their DCP goals. Gates to Excellence is
 working on publicizing their club with the help of their club coach Will. Amico is weathering the
 storm at their company, and Mark will let me know if their club is meeting this month or not. I plan
 to attend as many Gates & Amico meetings as possible, until they are in a better position.
 U2 - No change. DTC Speaks is the only club that has said they will be competing.
 U3 - New executive committee at George Sutton who is preparing for their club contest. In
 constant contact. Lockmasters has not responded at all. Absolutely Articulate is also
 unresponsive. Simply Speaking is strong.
 U4 - Busy start to the new year. Toast-a-matics is putting members forward to the area contest.
 They are getting stronger! Toast of DEN is firing on all cylinders. MM is coach for the club and all
 the EC is working on the club success plan. Club is reaching out to former members. Aurorators
 is competing at Area Contest. AP Toastmasters is considering competing.

 U6 - TLI info has been sent out to all club officers..

 U4 - Member at Toast-a-matics gave a very divisive speech and asked for guidance on how to deal
 with the member. Encouraging club to establish their club culture for members to agree on.
