to your wedding day.
3 A wedding planning meeting to discuss your wedding ceremony,
pre-drink and reception plans. Final wedding ceremony and reception
arrangements will be discussed.
3 Personal assistance with suggestions of suitable wedding décor,
floral suppliers, caterer etc. based on our bridal couples wedding
day needs and budget.
3 Venue site visit, at the wedding venue, to discuss your wedding
arrangements and setup. Final wedding ceremony and reception
arrangements will be discussed with venue manager and
bridal couple.
3 Managing the order of events for your wedding day by assisting
with the preparation of the wedding timeline and checklists prior
to your wedding.
3 Prepare and co-ordinate the wedding rehearsal with the Minister/
Officiate.
3 Overview of the supplier contracts, confirming the details and
services contracted to the suppliers.
3 Liaise with the suppliers to confirm arrangements and deliveries.
3 Manage the deliveries from suppliers at the wedding ceremony
venue and the reception venue
3 Manage the setup of the of the ceremony and reception venue and
ensure the respective venues are setup by service providers, as agreed.
3 Ensure wedding stationery and guest favours are correctly placed.

3 Assist with presenting the bride and bridal party with wedding
bouquets, pinning corsages and boutonnieres.
3 Ensure the wedding party are in the correct place and aware of
their proceedings.
3 Brief MC on his/her duties and responsibilities. Assist MC with
walk through before ceremony begins.
3 Deliver bridal bouquets and bridesmaid’s bouquets to bridal
room/ accommodation.
3 See that free parking gets coordinated.
3 Directing guests to their seats at the ceremony as well as for
reception, coordinating the movement of any flowers/ furniture/
décor to another area if need be.
3 Making sure lighting is balanced at all times (not too bright or too
dim). Dim lights for opening dance Informing couple & photographers
of key moments. For example, when we are ready for opening dance,
throwing of bouquet and garter, or when speeches can commence.
3 Lighting of candles before guests enter reception.
3 Ensuring bathrooms are immaculate at all times.
3 Making sure drinks are topped up and food is being circulated at all times.
3 Assist the bridal party and ensure they are in place; flowers are held
correctly and their timing is correct.
3 On the day coordination up to 13 hours (until 22h00 where we will
hand over to the venue manager unless other arrangements have
been made).
3 Manage any unforeseen events that may arise on your wedding day.

TERMS AND CONDITIONS
• Cultivar Guest Lodge does not take responsibility for any loss of property, injury or death while your function is taking place. All necessary steps
would be taken to insure that the property is in a good state of repair.
• All damages that the wedding party or its guest inflicts on the property would be inspected by the relevant Manager and would be invoiced to
client.
• All deposits and fees paid for the wedding are non-refundable in case of a cancellation by the wedding couple.
• A first R5 000.00 non-refundable deposit needs to be paid in order to secure the selected date.
• A second 50% deposit must be paid three months after date of booking (date when first deposit was paid).
• Full payment needs to be made 14 days prior to wedding day.
• A R2 000.00 refundable deposit needs to be paid for breakage. Up to R200 of breakage will be covered by Cultivar Guest Lodge.
• Kids menu and price on request. Babies and toddlers until up to the age of 3, are free of charge.
• The final number of guests needs to be confirmed 14 days before the wedding day.
• The wedding couple must inform the Manager and the inhouse wedding coordinator of all additional staff or service providers that would be hired
or appointed on the day.
• Cultivar Guest Lodge does not take any responsibility for loss of services like water, electricity, sanitary services which is in general due to
circumstances outside the control of the property.
• Cultivar Guest Lodge cannot be held accountable for bad weather or natural disasters whereby the function must be cancelled.
• Cultivar Guest Lodge may use images of your wedding for marketing materials (negotiable).

We change R5.00 per kilometre from Stellenbosch Should you wish to secure your date, please send us an email with

HOW MUCH EXTRA DO YOU CHARGE PER HOUR?
Should you require our services after 22h00 our hourly rate is R
1500.00 per hour.
WEEKEND WEDDING/ REHEARSAL DINNER NEEDS?
Our full wedding planner package is inclusive of assisting with planning
your wedding weekend, day before and day after your wedding.
Should you need coordination assistance on the additional two days
(excluding your wedding day) we charge a daily rate of R2 800.00 per
day to assist with coordination/ running of the additional event days.
