This packet of information details the Room Selection/Lottery process for the 2021/2022 academic year. This process has been established to allow current students access to campus housing in the most logical, equitable, and fair way possible. The Room Selection/Lottery process will determine your housing assignment for the 2021/22 academic year. The first step in the Room Selection/Lottery process is to complete the online Housing Contract. This will be located on the Campus Life page of the Ringling website, under Sophomore/Upper Class Housing on Wednesday, March 3rd at 11:30am. It will also be sent to your Ringling issued email address that day. By completing the 2021/22 Housing Contract before capacity is reached, you are reserving/contracting a space in campus housing for the entire upcoming year. Do not complete a housing contract as a backup plan if you are looking at alternative housing options off campus. The Room Selection/Lottery process provides the system by which specific roommates (if applicable) and assignments are selected. We are again offering an opportunity for current students to Pre-Select sophomore housing. We have set aside the Cove (42 beds) and Ulla Searing Student Center (88 beds) for the Pre-Selection process. These buildings will be filled first-come, first- served based on when you submit the Pre-Selection Form. All students that submit a housing contract before capacity is reached will receive a Pre-Selection Form to their RCAD email. In previous years, housing available through Pre-Selection filled quickly. All parts of the Room Selection/Apartment Lottery process are date sensitive—from the date the contract is submitted, to the deadlines detailed in the attached timeline. Please pay close attention to these deadlines as they will play an important role in your housing assignment for the next academic year at Ringling College. If you know that you want to live on campus, you need to submit your Housing Contract as early as possible, as this is the first step of the Room Selection/Lottery process, and can impact whether or not you get into housing and a space that you prefer. The housing contract, room selection and lottery processes have changed slightly through the years, therefore some information you may hear from others is outdated. 2021/2022 Room Selection/ Apartment Lottery Process Please read this entire packet of information. You are responsible for following all procedures as described. The Department of Residence Life has developed the current Room Selection/Lottery Process in conjunction with the Office of Student Life. This guide includes the following: Timeline of important Room Selection/Lottery events and deadlines Eligibility requirements Instructions for Pre-selection of Cove and Ulla Searing Student Center Housing Accommodations Requests and Emotional Support Animals Instructions for the 4,3,2 person group lottery Housing terminology and an overview of the current housing inventory This process is designed to effectively meet the needs of individuals and roommate groupings. You are responsible for following all procedures as described in this packet and the terms of the Housing Contract Conditions, so please read this information thoroughly. The Department of Residence Life works continually to improve the Room Selection/Apartment Lottery process and we are interested in your feedback, please do not hesitate to contact us as at reslife@ringling.edu or schedule a meeting at https://calendly.com/ringling-residence-life/housing. There is limited space on campus for returning students. This means that when we reach our capacity in returner student housing, any students who submit Housing Contracts beyond that point will be added to the Stand-By list until we can accommodate them. If you are placed on the stand-by list once we reach capacity, you will not be permitted to participate in the Room Selection/Apartment Lottery process. We anticipate that we will reach capacity of contracted upper-class students shortly after the contract release at 11:30am Wednesday, March 3rd, 2021. Timeline of Events and Deadlines Wednesday, March 3, 2021 Returning Student Housing Contract available at 11:30am Located on the Campus Life page of the Ringling Website, under “Sophomore/Upper Class Housing.” The link will also be emailed to you exactly at 11:30am Wednesday, March 3, 2021. We expect to be at capacity very quickly. If you wait, housing will be full. Wednesday, March 24, 2021 Housing Accommodations and ESA Requests Due Submit by this date requests for housing accommodations and emotional support animals to Student Access Services at sas@ringling.edu. This includes students seeking to renew ESA agreement for campus housing. Tuesday, March 30, 2021 Cove Pre-Selection – Online Form Submission The form link will be emailed to all eligible students. Pre-Selecting a space will prevent students from participating in the group lottery for apartment style housing. Wednesday, March 31, 2021 Ulla Searing Student Center Pre-Selection – Online Form Submission The form link will be emailed to all eligible students. Eligibility Requirements Eligibility: Students with outstanding judicial matters such as incomplete sanctions or unresolved judicial incidents must have those matters resolved prior to participation in Pre-Selection or Room Selection/Apartment Lottery or have clearance from the Vice President for Student Life and Dean of Students. Students must be free of any outstanding financial obligations on their student account with no stops on the account. Students must be enrolled for the 2021/2022 Academic Year (Fall and Spring semesters). Any exceptions must be approved by the Department of Residence Life. Deadlines: To ensure the fairness of this process, dates and times are STRICTLY FOLLOWED. Due to the volume of transactions taking place, individual exceptions cannot be made. Students applying after the deadline do not qualify to participate in the Room Selection/Lottery Process, but will be assigned a bed space after the Room Selection/Lottery process is finished, based on space availability. Roommates: Begin talking with your current and future roommates. You should know with whom you intend to live next year. It is YOUR responsibility to openly communicate with current and potential roommates to prevent any confusion about decisions you are making. Once the Room Selection/Lottery Process is complete, changes in roommates are not permitted except in extenuating circumstances approved by the Department of Residence Life. If one roommate does not return for the next academic year, the remaining roommates will be reassigned or another student will be assigned into that space. These spaces are typically filled from the stand-by list of late applicants. Students without Roommates and Incomplete Groups: Students wishing to live on campus who are not part of a roommate group, or are part of an incomplete group, should join the RCAD Roommate Search 2021/22 on Facebook: https://www.facebook.com/groups/789609688601776 Canceling Your Housing Contract: Do not complete a housing contract for 2021/22 unless you are committed to living on campus the entire academic year. Once the 2021/2022 online Housing Contract is completed, the student is bound to this agreement and will be required to carry out the financial commitment for the term of the contract for both Fall 2021 and Spring 2022 semester(s). Per the Housing Contract Conditions, the only reasons a student may be released from financial liabilities are as follows: Permanent academic dismissal of the student from Ringling College of Art and Design Complete and permanent withdrawal by the student from the Ringling College of Art and Design prior to the opening of the semester 2/19/2021
Sophomore Housing - Pre-Selection Pre-Selection allows students to opt into living in predetermined Residence Halls without going through the housing lottery. Forms for each of the Pre-Selection opportunities will be emailed to your RCAD email account. Please submit the forms to Residence Life by following the instructions below. To be eligible to participate in the pre-selection, you must first submit your Housing Contract and not be on standby. Placement for Pre-Selection is on a first-come first-served based on the date/time of submission for the Pre-Selection form. Cove Pre-Selection Tuesday, March 30, 2021, online (the link to the form will be emailed to all eligible students) The Cove has three room types: single with half bath; double with full bath/shower; and triple with full bath/shower. Students living in the Cove must opt into one of the three meal plans (Simply 7, Flex 15, Ultimate 19) available for students. The default meal plan assigned to the Cove is the Ultimate 19. This can be lowered to the Flex 15 or Simply 7 by emailing reslife@ringling.edu no later than move-in day for the fall semester. Students applying for a single will apply individually. Students applying for a double must apply as a group of two, and those applying for a triple must apply in a group of three. The Cove is located on the south end of campus near the Academic Center. This tends to be a more quiet community. Ulla Searing Student Center Pre- Selection Wednesday, March 31, 2021, online (the link to the form will be emailed to all eligible students) The Ulla Searing Student Center is a traditional residence hall with 2 person bedrooms. Each room has a bathroom. Students will select their roommates and apply as a group of 2. Each space is equipped with a micro-fridge unit. Students living in the Student Center must opt into one of the three meal plans (Simply 7, Flex 15, Ultimate 19) available for students. The default meal plan assigned to Ulla is the Ultimate 19. This can be lowered to the Flex 15 or Simply 7 by emailing reslife@ringling.edu no later than move-in day for the fall semester. The Student Center is on the north end of campus near Goldstein and Scott Plaza. 2/19/2021
Housing Accommodations / Emotional Support Animals Housing Accommodations: If you have a documented disability and are requesting housing accommodations related to such disability, you must contact Student Access Services at sas@ringling.edu by no later than March 24, 2021. Please submit any relevant documentation related to your housing accommodations request. Students submitting requests for housing accommodations must have submitted a housing contract and not be on the standby list. Emotional Support Animals (ESA): Ringling College of Art and Design is committed to providing appropriate access to its facilities and programs in compliance with the Americans with Disabilities Act, Section 504 of the Rehabilitation Act of 1973, the Fair Housing Act, and applicable state law. These procedures establish the scope of access and procedures for individuals who use service animals, who are accompanied by a service animal (SA) in training, and for students living in College housing who require an Emotional Support Animal (ESA) as a reasonable accommodation to a disability. The College will determine, on a case-by-case basis and in accordance with applicable laws and regulations and these Procedures, whether a service or ESA may be present on College premises as a reasonable accommodation to a disability. Students who are seeking to register/renew an ESA to have in campus housing must do the following: 1. Submit the Housing Contract before capacity is reached and not be on the standby list. 2. Contact Student Access Services to apply for or renew the ESA agreement at sas@ringling.edu by no later than March 24, 2021. The Office of Student Access Services will communicate with the Office of Residence Life in regard to accommodations for students with an approved ESA. Students with trained Service Animals should communicate with the Office of Student Access if the Service Animal will be residing with the student on Ringling Campus to allow for communication with Residence Life. Students with approved Emotional Support Animals will not be housed in Keating Hall or Bridge Apartments. 2/19/2021
Instructions for the Group Lottery Process The Group Lottery Process is how students seeking apartment style spaces select their housing assignments for the 2021/2022 academic year. All apartment style spaces and any spaces that are unassigned after the Pre-Selection and Housing Accommodations deadlines will also be available for the 4, 3, and 2 group processes. Only students who have submitted a Housing Contract and are not on the Stand-By list will be eligible to enter the group process. Placement into apartments will begin with the groups holding the highest cumulative credit totals. For groups with the same cumulative credit totals, we take into consideration which group submitted their housing contracts the earliest as a tie-breaker. Cumulative Credits: If a student decides to forego the Pre-Selection process and enter the Group Process, they will need to join with other students in a group seeking a certain type of housing (e.g. group of 4 seeking 4 person housing, etc.). Each student within this group has a cumulative credits total based on total credits earned at Ringling College of Art and Design; this does not include the current semester. The cumulative credits earned do not include credits transferred in or AP credits. The total of cumulative credits for the entire group will determine their place in the selection process. During the group process, the first groups to be placed into an apartment will be those with the highest cumulative credit total. The group with the next highest number of credits will choose next, and so on until all apartments have been selected. In the event of groups with the same amount of cumulative credits, groups with the earliest cumulative contract dates will be ranked above those groups whose members’ contracted cumulatively later. Groups of 4: Groups of four will submit their 4 person housing lottery form online on Tuesday, April 6, 2021. Students will complete one form per group and submit online before 11:59pm on April 6. A group of 4 must choose to live in a space that holds four occupants. All groups will be notified 2-3 business days after form submission their housing assignment. Groups that do not get placed into a 4 person space will need to decide whether or not they would prefer to participate in the 3 or 2 person Group Processes. Groups of 2/3: Groups of two or three will submit their 4 person housing lottery form online on Tuesday, April 13, 2021. Students will complete one form per group and submit online before 11:59pm on April 13. The group must choose to live in a space that holds two or three occupants. 2/19/2021
Additional Information Study Abroad: If you are studying-abroad and are interested in housing for next year, you will still fill out the Housing Contract to begin your participation. Then, you will contact us about what spaces you would be interested in for the 2021/2022 academic year and we will work with you on whatever forms you need to fill out. Stand-By List: If more students submit their housing contracts than the total supply of spaces, any student who contracts beyond the threshold will be placed on a Stand-By List in order according to the date and time they submitted the online Housing Contract. After the completion of the Room Selection/Lottery process, we work to accommodate students from the Stand-By list by placing them into openings that occur over the summer. Communication: You will receive communication regarding the Room Selection/Lottery Process via your Ringling issued email address. Please make sure to check your Ringling College of Art and Design issued email address on a regular basis so you don’t miss anything important! Consolidation Policy: Residence Life reserves the right to consolidate available spaces in order to accommodate requests for full occupancy of a space. Students who reside in spaces where vacancies occur during a semester must understand that they may be assigned a roommate at any time, or be relocated in order to consolidate students for the upcoming semester. Student Withdrawals and Dismissals: Any student who withdraws or is dismissed from Ringling College for academic, financial, or disciplinary reasons will result in an automatic withdrawal from housing. If a dismissed student is later reinstated, they will be assigned to available housing at the time of reinstatement, if available. Notification of Roommates: Students who withdraw from Ringling College coursework for any reason are responsible for notifying their roommates. The College will immediately assign the canceled spaces to students on the Stand-By list, if applicable. It is important to remember that the assignment process that places students into housing openings must happen quickly. 2/19/2021
Housing Terminology As we strive to make our Room Selection Process easier, we want to define the terminology of “singles,” “doubles,” and “triples.” The terms do not apply to an entire living unit only the amount of beds in a bedroom. For example, a 2 bedroom/2 bathroom Near Campus House with 1 student in one room and 2 in the other is not considered a “triple”, but the room housing 1 student would be a “single” and the room housing 2 students would be a “double”, all contained within a “3 person apartment”. Single: A bedroom with capacity for 1 student. There will be one bed space in each single room. Double: A bedroom with capacity for 2 students. There will be two bed spaces in each double room. Triple: A bedroom with capacity for 3 students. There will be three bed spaces in each triple room. 2/19/2021
