1. ACADEMIC CALENDAR
• The academic year usually starts in August each year and comprises two semesters.
• Each semester normally includes 13 weeks of instruction and 2 weeks of examinations.
• There are no classes in Week 0 of Semester 1 of each academic year. There is no week 0 in
Semester 2.

2. REGISTRATION
• All students must be registered before commencing their studies at the University.
Registration refers to a formal process whereby a student enrolls at the start of his/her
period of study to become part of the NUS student community.
• Every registered student will be given a Student Card which allows him/her to access specific
buildings, libraries and computer facilities.
3. WORKING HOURS
• Please note that all full-time research students are normally expected to be in campus:
Monday to Thursday : 8.30 am – 6.00 pm
Friday : 8.30 am – 5.30 pm
• Unless students have specific arrangement from the Institute, it is expected that students be
doing their research work, attending classes or consultation with supervisor(s) on the
research work during the above stipulated hours or longer if required.
4. EMAIL ACCOUNT & COMPUTING FACILITIES
• All registered students will have an email account which will serve as their official point of
contact. It is the students’ responsibility to check their NUS email regularly and be aware of
important circulars/ notices issued by the university.
• Students should housekeep their NUS email accounts periodically.
• Students may refer to NUS Information Technology https://nusit.nus.edu.sg/ for more
information on computing facilities available in the campus.
5. NUS LIBRARIES
• For more information on the use of libraries facilities and resources, students may refer to
the library portal at https://libportal.nus.edu.sg/frontend/index
6. INTRANET FOR STUDENTS
Education Records System (EduRec)
• The Education Records System https://myedurec.nus.edu.sg/ has a Student Center page
which contains self-service functions organized into categories including Academics,
Finances and Personal Information. Here, students have a single-entry point to manage a
wide range of student-related transactions.
• In EduRec, students are able to view class timetable, enrolled modules, update personal
particulars, bank account details, apply for leave, submit Research Progress Report etc.
• Students must ensure that their personal information (email address, mailing address,
contact numbers) is the most updated one.

LumiNUS
• LumiNUS https://luminus.nus.edu.sg/ is a Course Management System for the NUS
Community, providing a wide range of resources and services. Students can access up-to-
date online syllabi, download notes, submit assignments, participate in discussion forums,
view webcast lectures, among other things.
Student Portal
• The Student Portal https://myportal.nus.edu.sg/studentportal/ allows students to access
students related information, systems and events.
7. FACILITIES WITHIN IORA
Office Work Space
• Only full-time graduate research students are allocated with office work space, subject to
availability.
• Allocation of work space is done by the Institute. Students are not allowed to request for
specific locations/spaces or to switch spaces/offices on their own.
• This is a privilege accorded to students. The Institute is not obliged to allocate work space to
students if there is insufficient supply.
• Students are expected to keep their respective offices clean and tidy. Personal belongings
should not be kept in the office and the Institute is not responsible for any loss of items.
• Students who damage or lose the office keys will bear related costs such as duplicating keys,
where applicable. The keys must be returned to the Institute when they submit their thesis.
• Students who violate any house rules risk having their work space permanently confiscated.
Common Computers
• Common computers are available for use in the office.
• To request for installation of additional software, please contact Ms Mya.
• Students are not allowed to store personal files in these computers. It is the students’
responsibility to ensure that their files are saved in their personal hard disks and are deleted
before switching off the computer.
• Files unrelated to the software usage will be deleted away after 90 days.
• Students are not allowed to access proprietary information for which they have not been
given the authorization to do so.
• Distribution and/or sharing of files are strictly prohibited.
Common Printer
• A common printer is available for use in the office.
• Students should manage their printing needs and consider going paperless where possible.
• Students should not exceed printing more than 120 papers in one print job.
• Students should alert Ms Mya, when the ink cartridges have run out. The Institute will
replace the ink cartridges.
• Students who need help in setting up the printer on their notebook/ computer may contact
Ms Mya.
Personal Webpage
• The details (name, email address, research areas etc.) of PhD students will be put up in the
IORA website under the section ‘PhD Students’. Students who wish to set up personal
homepages may contact Ms Mya for assistance. Students with personal webpages that are
hosted externally may also request to hyperlink it to the IORA website.

• All external webpages to be linked to IORA website are subject to the approval of the
Institute.
• If any report of violation of copyright issues is received, an investigation may be conducted
and the contents will be removed immediately.
• Students are reminded to abide by the Acceptance Record when creating and maintaining
content on their webpages, as outlined at
http://www.nus.edu.sg/registrar/administrative-policies-procedures/graduate/acceptance-
record
8. CANDIDATURE & RESIDENCY INFORMATION
• The Institute only offers full-time PhD programme.
• The maximum period of candidature for PhD is 5 years.
• Research scholars must reside in Singapore during the duration of the scholarship award
unless approval is granted otherwise.
9. FEE MATTERS

• Research scholars who are no longer in receipt of the research scholarship and have not
submitted their thesis for examination, will be required to pay fees.
10. IORA PHD GRADUATION REQUIREMENTS
• To fulfil the graduation requirements of IORA PhD programme, students must:
- Pass the coursework requirements;
- Pass the English module(s) (for students who are not exempted from it);
- Pass the PhD Qualifying Examination within 24 months of candidature;
- Complete a thesis and oral defense to the satisfaction of the examination panel;
- Maintain a minimum Cumulative Average Point of 4.0; and
- Complete the above requirements within the maximum candidature.

11. GENERIC TIMELINE FOR FULFILLING IORA PHD REQUIREMENTS
• The table below serves as a generic timeline for a student to fulfill the IORA PhD
requirements (for conferment of degree by the end of 5th year).

please ensure that you have completed the English modules of at
least up to the intermediate level

You should complete the coursework requirements by end of 4th
semester.

Research Complete and submit your RO paper before Oral QE
Qualifying Exam Attempt for Oral QE.
(Oral QE) Pass Oral QE by the 24th month.
Note: The Oral QE comprises the presentation of research oriented
(RO) paper and oral examination of 2 elective modules chosen by
student.
Year 3

Research Start to work on your thesis proposal.
Continue with your research.
Semester 6 English For students who are required to complete English module(s),

Research Continue working on your thesis proposal.
For students who are ready to submit the thesis proposal, you will
be required to defend your thesis proposal.
Year 4

Research Submit and defend your thesis proposal.
Following the successful defense of your thesis proposal, you
should start writing up your thesis.

Programme (GAP).
Ensure that the total number of hours required under the GAP is
completed before thesis submission.
Research Submit your thesis for examination (after being approved by your
supervisor(s) and IORA PhD Director) at end of Year 4
Year 5
Semester 9 Research Obtain results of your thesis examination and make revision if
to Semester required.
10 Proceed with oral defense.
Conferment of degree.
*Students who are recipients of MOE scholarships (e.g. NUS Research Scholarship, President’s
Graduate Fellowship etc.) must fulfil the requirements of Graduate Assistantship Programme (GAP)
by clocking a certain number of work hours as specified under the terms and conditions of the
scholarship. Students must ensure that the total hours required under the GAP is completed before
thesis submission.
12. MODULE REGISTRATION AND TIMETABLE
• Please note that not all modules are offered in every semester or academic year. Students
are responsible in ensuring that they do not register for modules with any timetable clashes
and are able to attend classes and sit for examinations as scheduled.

• For students who are required to complete the graduate English module(s), please note the
registration procedure at the CELC’s website
http://www.nus.edu.sg/celc/programmes/graduateprogrammes.html
• Students may use NUSMODS https://nusmods.com/ to find out the modules (and class
timetables) offered in each semester. Please note that the information listed is subject to
change without notice.
13. EXAMINATION MATTERS
• For exam timetable and all other matters relating to examination, please refer to the
Examination Directory
(https://myportal.nus.edu.sg/studentportal/academics/all/examination-directory.html).
• Students who fail to sit for an examination of a module, without a valid reason accepted to
the University will be given a Grade “F” (Fail) for the module which they are absent in.
• Students are not permitted to repeat any passed module taken previously.
• Students will be charged a module fee if they have to repeat the English module.
14. CAP FOR CONTINUATION AND GRADUATION
• All modules taken on graded basis are counted towards the students’ Cumulative Average
Point (CAP).
• All students must maintain a minimum CAP of 4.0 throughout the programme.
• Students who fail to maintain the CAP of 4.0 at the end of second year, or have CAP below
4.0 for two consecutive semesters, will be terminated from the programme.

15. RESEARCH THESIS SUPERVISOR
• New graduate research students are required to confirm their thesis supervisors by the end
of their first year in NUS.
• Students should take initiative to find out the research areas/ interests of the IORA faculty
and explore research opportunities.
16. RESEARCH PROGRESS REPORT
• Students are required to submit a bi-annual research progress report online. Students need
to provide a summary of the work that they have done in the previous semester.
• For research scholars, the scholarship renewal will be tied in with the semestral progress
report. For research scholars who are required to fulfil the requirements of the Graduate
Assistantship Programme (GAP), they must report on the number of hours they have
completed during the reporting semester.
• Students who are in their first semester of study are not required to submit the research
progress report.
17. GRADUATE ASSISTANTSHIP PROGRAMME
• Students who are recipients of MOE scholarships (e.g. NUS Research Scholarship etc.) must
fulfil the requirements of Graduate Assistantship Programme (GAP) by clocking a certain
number of work hours as specified under the terms and conditions of the scholarship.
• Students must ensure that the total hours required under the GAP is completed before
thesis submission. It is the responsibility of the students to track if they have fulfilled the
GAP requirements.
18. TEACHING AND/OR RELATED DUTIES
• Full-time students (including both research scholars and non-research scholars) may be
assigned teaching and/or related duties by the Institute/ School. Students are expected to
be responsible for the work assigned and to perform and complete the duties well and on
time.
• A research scholar’s award of scholarship may be terminated or suspended should the
Institute/ School deems the scholar to be not executing his/her duties in a professional
manner.
19. PHD BOOK & IT RELATED ALLOWANCE
• Each full-time graduate research student are entitled a ‘PhD Book & IT related Allowance’ of
up to S$200 (on reimbursement basis) per academic year.
• The purpose of this allowance is to support students for their study and research related
activities, subject to the guidelines as set out by the Institute.
• Expenses can be committed if they are incurred and invoiced in the same financial year. The
period is from April of the current year to March of the next year.
• Reimbursement of claims can only be submitted once per year. All claims shall be submitted
by 15 January for finalization of account.
• Please check with the IORA PhD Office for the procedure on claim submission.

20. CONFERENCE FUNDING FOR PHD STUDENTS
• Full-time graduate research students may apply for financial assistance to attend
conference, subject to the terms and conditions as set out by the Institute.
• To find out more information on the funding support, applicable conference types,
application procedure, please contact the IORA PhD Office.
21. LEAVE MATTERS
• Students who are holding scholarships are required to apply for leave in advance if they have
to be away at any time during their candidature (either for personal or academic reasons).
They can only be away after their leave applications have been approved. Find out more

• Students who are not scholarship holders are required to apply for Leave of Absence if they
have to be away during their candidature. For detailed information on Leave of Absence,

• Students who are absent without approved leave are subject to disciplinary actions.
